I-9 Process
Based on the requirements of the Immigration and Reform and Control Act of 1986, all new employees of Boston University must complete a Form I-9 within their first three days of employment. Employees who do not complete a Form I-9 within their first three days of work will not be able to continue working at the University until a Form I-9 has been completed.
On the Charles River Campus, HR will send an email notification (or in some cases a written notification) to new employees once an offer has been accepted. New employees will complete Section 1 of the Form I-9 electronically at the BU Form I-9 site on their own on or prior to their first day of work. Section 2 of the Form I-9 will be completed on the new employee’s first day of work in Human Resources at a designated time set up by the HR representative who hired the employee.
Â
In some very limited cases (location, shift or other circumstances), a department may be required to complete a paper Form I-9Â for the employee. In these cases the paper Form I-9 will be completed by a trained department designee and then the paper Form I-9 will be sent to your Employee Relations Representative. If a paper Form I-9 needs to be completed, please contact your Employee Relations Representative for complete instructions.
Â
On the Medical Campus, for all posted positions, HR will communicate with the new employee regarding completion of Section1 of the Form I-9. For all other positions, faculty, research associates, post-docs, casual employees and those paid on a TEPV, the department administrator will email the new employee requesting he or she complete Section 1 of the Form I-9 electronically at the BU Form I-9 site on or before the day employment begins. Human Resources must receive a copy of this email so that HR is prepared to greet our new employee and complete the Form I-9.
Information on how to access Form I-9 instructions and a list of acceptable documents is available on the BU Form I-9 site. This information should also be included in the email and employment confirmation letter.
Section 2 of the Form I-9 will be completed on the new employee’s first day of work in Human Resources between the hours of 8:30 and 4:30, Monday through Friday.
If you have questions regarding the I-9 process, please contact your HR Consultant.
Please note that it is unlawful to employ individuals who do not present appropriate I-9 verification.
