Overview

Gordon-Conwell is a multidenominational, protestant graduate school, unique with its broad array of over 1,300 students and 200 faculty and staff from 78 denominations and over 50 countries. We offer a residential model of education at South Hamilton, MA (our main campus); an urban context in Boston, MA; adult educational models in both our Charlotte, NC campus and our offerings in Jacksonville, FL; in addition to online and cohort models involving students from around the world.

Rooted in the gospel and God’s Word, the seminary seeks to develop Christian leaders who are thoughtful, globally aware, spiritually mature, and ready for a broad array of ministries. Position Summary

Under the broad supervision of the Dean of the Latino and Global Ministries Program (LGM), the Executive Assistant will work closely with the Dean to manage a wide range of administrative responsibilities pertaining to the ongoing needs of our campuses academic programs and developing domestic and international partnerships. The Executive Assistant will help the Dean stay organized and prepared for upcoming meetings and related action items that require attention and follow up, facilitating interactions with all pertinent seminary functions. For this reason, the role requires considerable energy and the ability to take initiative in accomplishing known tasks without regular prompting or oversight. This is a part-time position at 20 hours per week.

Key Responsibilities

• Meetings & Calendars: Communicates and coordinates all aspects (e.g., calls, mails, emails, supporting documents, reservations, expenses, hospitality, etc.) of Dean’s public functions (e.g., meetings, appointments, recruitments, travels, speech engagements, teachings, events, etc.). Will often serve as the recorder of the minutes in meetings. (25%)

• Administrative Support: Oversee administrative details for domestic and global engagements; coordinate, communicate and connect administration and faculty with relevant leaders from partner institutions to ensure successful operations. (20%)

• Reporting: Gathers data, writes, edits, transcribes, types, and organizes to assist the Dean in the production, publication and curation of documents, reports and speeches of varied nature – administrative, accreditation, public, legal, pastoral or academic. (15%)

• Faculty Contracts & Records: Maintains faculty records for the Dean, processes faculty teaching stipends and/or overload pay and ensures effective communication and administrative support pertaining to regional faculty. (10%)

• Budget & Expenses: Track and manage LGM related academic budget and expenses, submit/approve reimbursements, coordinate annual budget planning with related offices. (10%)

• Event Coordination: Coordinate annual commencements as well as other LGM events. (10%)

• Support Curriculum Planning: work with dean to plan annual course offerings, communicate with the registrar and others about course needs from an institutional standpoint, communicate with faculty about course preferences, and submitting the final schedule to the registrar. (10%)

Key Competencies

• Administrative Support: Soundly developed administrative, secretarial, and clerical skills, including organizational and coordination skills to serve a multi-site office.

• Communication and Interpersonal Effectiveness: Strong preference for bilingual fluency in English/Spanish, additional language abilities in Portuguese would be helpful. Must have strong written and verbal communication skills, including experience in research, reporting, writing, and editing.

• Cultural Intelligence: Demonstrated ability to collaborate and serve in a team environment that requires collegiality and regular collaboration across matrixed, multi-campus environment. Evident abilities to interact professionally and graciously with faculty, staff, students, Board of Advisors, and external relations.

• Technical Knowledge: Experience with Microsoft Office Suite and video-conferencing apps plus an aptitude to learn and use other applications that facilitate organizational efficiency.

• Knowledge and discernment: Broad awareness of the range and content of the Dean’s responsibilities and duties, along with the clear recognition and significance of confidentiality in the activities of the Dean’s Office.

• Clear understanding of the mission of Latino and Global Ministries program and the willingness to abide by the Community Life Statement of GCTS.

Education and Experience

• Bachelor’s degree in a relevant field.

• 2+ years of previous experience in an administrative assistant role, or other relevant experience.
