BUworks Form Deadlines
Form deadlines are established by central University offices to ensure effective processing of Organizational Management (OM) and Personnel Administration (PA) forms in SAP. The deadlines ensure:
- New employees are set up appropriately for their first day
- Existing employees are set up appropriately in time for their first day in a new position
- Employees are paid on-time
- Overpayments are prevented
- All approvers have time to review and approve forms
- Central departments have time to resolve form crashes and complete required corrections
Reminder: Forms can, and should, be submitted prior to their effective date whenever possible.
Form Types
Organizational Management (OM) Forms:
- Create Position
- New permanent positions need to be evaluated by Compensation before submitting to SAP. Please take into consideration that an evaluation could take up to 2 weeks to complete.
- Maintain Position
- Delimit Position
Personnel Action (PA) Forms:
- New Hire and Rehire
- Additional/Recurring Payments
- Position Change
- Transfer
- Employee Position Update (EPU)
- Salary Change
- Salary Cost Distribution
- Secondary Work Payment
- Leave of Absence
- Termination
- Retirement
OM and PA Form Instructions
Forms for hourly paid employees
- OM forms must be submitted by the Tuesday before the weekly payroll processing day.
- New permanent positions need to be evaluated by Compensation before submitting to SAP. Please take into consideration an evaluation can take up to 10 business days to complete.
- PA forms must be submitted by the Friday before the weekly payroll processing day. This allows time for all approvals by central departments.

Forms for monthly salaried employees
PA form deadlines can be found on the Payroll Calendars webpage. As a reminder, if an OM form is required, it must complete workflow before initiation of any related PA form. Please plan accordingly.
