A Reminder on Keeping SciENcv Biosketches and Common Forms Current

Recent discussions in the research administration community have raised questions about a SciENcv certificate update. In response, NCBI User Services indicated that documents certified using the previous certificate remain valid as issued and are not affected by the recent certificate renewal in September 2026. NCBI also noted that additional guidance from NIH Office of Extramural Research Administration (OPERA) is expected in a forthcoming FAQ.

While there is no current requirement to regenerate previously certified SciENcv documents, Boston University Sponsored Programs would like to use this opportunity to share a recommended best practice for proposal preparation.

BU Sponsored Programs Recommendation

Sponsored Programs recommends generating new SciENcv Biosketches and Common Forms within one week of the Sponsored Programs submission deadline.

This recommendation is not based on a current NIH requirement. Rather, it is a proactive practice intended to help investigators and administrators ensure they are working with the most current version of their documents and to minimize the impact of future system, certification, or policy changes.

Why Refresh Documents?

Downloading a fresh version of your SciENcv documents shortly before submission helps:

  • Ensure proposal teams are working from the most current version available in SciENcv.
  • Capture any updates made to publications, appointments, positions, or other profile information.
  • Reduce the likelihood of issues resulting from future changes to certifications or federal submission requirements.
  • Support a consistent proposal preparation process across investigators and departments.
  • Comply with the most recent requirements in the application.  The SciENcv application is adjusted to respond to new regulations, and even recent documents may be out of compliance.

Stay Informed

Investigators and administrators should continue to monitor NIH policy announcements and guidance for any future changes affecting proposal preparation requirements for NIH submissions.

Requirements to regenerate SciENcv documents are frequently communicated by NIH via the NIH Notices of Policy Changes webpage.

Key Takeaway

There is currently no requirement to regenerate previously certified SciENcv documents, and recent guidance from NCBI indicates that previously certified documents remain valid as issued. Additional guidance from the NIH is expected in a forthcoming FAQ. In the meantime, BU Sponsored Programs recommends generating new Biosketches and Common Forms within one week of the SP submission deadline as a general best practice to help ensure proposal documents remain current, accurate, and ready for submission.
