Job: Administrative Director of Pegasus and NYS Baroque
Pegasus Early Music and NYS Baroque’s inaugural full-time arts administrator is responsible for overseeing and executing all administrative operations that support two of New York State’s most respected early music ensembles. The Administrative Director will work in close partnership with the Artistic Director, board leadership at Pegasus and NYSB, and the part-time staff to manage the administrative operations and support the artistic visions of both organizations.
LOCATION:
The Administrative Director is expected to reside within commutable driving distance of one of Pegasus and NYSB’s three service areas (Rochester, Ithaca, or Syracuse).
REQUIREMENTS:
- This is a full-time position; the Administrative Director will be expected to work during the evening and on the weekends per the needs of the concert season.
- The Administrative Director should have access to a car, a valid driver’s license, and a clean driving record. The organizations provide reimbursement for work-related travel.
REPORTING:
The Administrative Director and Artistic Director collaboratively occupy the leadership positions at the organizations, and both report equally to the presidents of Pegasus and NYSB.
KEY RESPONSIBILITIES:
Key responsibilities include managing artistic planning and production, marketing/communications, development operations, and box office for both organizations (with the part-time support of a social media manager, concert manager, interns, and volunteers) and working in partnership with board leadership and part-time financial manager to develop budgets and support financial operations.
PRIMARY RESPONSIBILITIES:
Serve as the administrative liaison between Pegasus and NYSB.
- Partner with the Artistic Director and Concert Manager to ensure that artistic plans are produced and executed, resulting in smooth concert operations.
- Administer the Young Artists Program.
- Develop and implement an annual marketing and communications plan for Pegasus and NYSB to drive audience growth and increase earned revenue. Oversee the work of the Social Media Manager, contracted PR and website support, and external advertising partners and vendors.
Manage Box Office operations.
- Partner with the Artistic Director and Finance Manager to contract artists and book venues.
- Support board leadership and the Finance Manager in the development and management of budgets.
- Manage annual Development Operations, including maintaining lists, sending appeal letters, acknowledging gifts, and partnering with others to help plan fundraising events.
- Support the Artistic Director’s ongoing activities to solicit leadership gifts and write grants.

The Administrative Director should be:
- A strategic thinker with excellent interpersonal, written, and oral communication skills.
- Able to nimbly manage multiple projects, hitting deadlines and achieving goals in complex and rapidly changing environments.
- Knowledgeable about performing arts and event production.
- Experienced with budgeting and financial operations.
- Experienced in key operational aspects of managing marketing, development operations, and box office for a small nonprofit.
- Comfortable in a hands-on role, given the small staff and close collaboration with a board and volunteers.
- An effective collaborator with artistic partners.
- A team-oriented individual who is facile in communicating with various stakeholders, including staff, contractors, artists, board, volunteers, and the community.
- Familiar with nonprofit administrative best practices and how to implement them at a growing organization.
- Fully committed to accessibility, diversity, equity, and inclusion.
- Experienced with or able to learn new software platforms, for example: Microsoft Office Suite, MailChimp, Stripe, and website editing platforms such as WordPress.
EDUCATION:
Bachelor’s degree required/master’s degree preferred or equivalent educational background and experience.
COMPENSATION:
The anticipated compensation is $50,000. Employee benefits include generous paid time off, employer contributions toward health insurance, and a flexible work schedule.

Pegasus Early Music (founded in 2005 by lutenist Deborah Fox) and NYS Baroque (founded in 1987 by Baroque wind players Peter and Libby Hedrick) are two parallel successful concert organizations that present professional early music performances in Western and Central New York State; Pegasus is based in Rochester, and NYS Baroque in Syracuse and Ithaca. These organizations have joined forces to create world-class cultural and artistic performances in our area. Each concert is performed in Syracuse, Ithaca, and Rochester over one weekend. We present a five-concert subscription series that includes medieval, renaissance, baroque, and classical music, with musicians from around the country. Each year, our Young Artist programs feature 2-3 emerging ensembles or solo performers who receive mentoring, an artist stipend, and the opportunity to present free community concerts. We collaborate with other organizations and artists in a variety of styles and projects. We are passionately convinced that early music has a place in contemporary society, and we want to share that message with our communities.
