Job: Advancement Coordinator

 

South Shore Conservatory seeks a highly organized Advancement Coordinator to provide exceptional administrative support as part of a comprehensive institutional advancement strategy. The Advancement Coordinator serves as the first point of contact for the Advancement team, fostering positive, productive relationships with internal and external stakeholders. This is an exciting growth opportunity for a motivated individual to actively contribute to South Shore Conservatory’s success through the advancement of its philanthropic and external relations priorities.

Responsibilities – Essential Functions and Skills:

  • Manage donor database and gift processing, entering and tracking gifts and ensuring accurate and timely acknowledgement.
  • Coordinate individual giving and business partner donor membership programs, preparing and sending solicitation and renewal communications and acquiring relevant donor/business recognition information for marketing materials.
  • Manage grant process including drafting grant proposals and reports and tracking key deadlines and deliverables, in partnership with Program Directors and Advancement leadership.
  • Assist in the preparation of donor reports and briefings, drafting and preparing correspondence, proposals, and presentations.
  • Maintain digital and physical Advancement files.
  • Generate accurate and timely CRM reports on a regular basis, including lists for mailings, events, and donor recognition.
  • Provide event support as needed, including tracking RSVPs; this may entail working at events on and off campus, sometimes outside of normal business hours.
  • Research new and prospective individual and institutional donors, developing profiles to help assess future giving.
  • Coordinate Institutional Advancement team, project and committee meetings.
  • Prepare meeting agendas and take notes, tracking key action items and next steps.

Education, Experience and Qualifications:

  • Education and Relevant Experience: A minimum of a Bachelor’s Degree or equivalent experience required. The ideal candidate has two or more years of relevant professional experience, preferably in a non-profit setting.
  • Organizational Skills and Attention to Detail: Must be highly organized and able to manage multiple priorities through effective project planning, efficiency, and time management. Excellent attention to detail and accurate work product, with an ability to manage workflow and meet deadlines.
  • Relationship Management: Strong interpersonal skills, with a demonstrated commitment to customer service. High level of integrity and emotional intelligence, with the ability to appropriately handle confidential and sensitive information. Strong collaboration and problem-solving skills.
  • Communication and Collaboration: Outstanding verbal and written communication skills. Ability to adapt communication style to suit different audiences. A team player not afraid to roll up their sleeves.
  • Technology and Database Management: Advanced computer skills with demonstrated experience using software applications such as Google Suite, Microsoft Office Suite, Outlook/Office 365, Adobe Creative Cloud and Zoom. Prior experience and proficiency with CRM/database management a plus, with a willingness to learn new technology.

Additional Information:

  • The pay range for this role is $45,000 to $50,000 annual salary.
  • This job operates in a school-based office environment, with requirements consisting of the ability to sit at a desk, frequent walking, bending, and standing as necessary.
  • While the designated days and schedule of work will be primarily Monday through Friday, some weekend, evening and early morning work may be required as part of SSC’s meetings and events calendar.
