Job: Operations and Engagement Coordinator
The Brookline Teen Center provides a safe place for teens to connect with one another, gain access to valuable support, and engage in unique opportunities that will reveal their strengths and interests. PRIMARY FUNCTION
The Operations and Engagement coordinator will have the opportunity to play a key role in supporting the organization by performing operational, project management, communication,
and administrative tasks. Reporting directly to the Director of Operations and Administration, the position will have involvement in many aspects of a non-profit organization including fundraising, event planning, stewardship, and operations management.
RESPONSIBILITIES:
Administration Ops- 40%
- Track all donations and communications within Salesforce and stripe.
- Support the organizations supply needs including but not limited inventory management, price sourcing and procurement.
- Work closely with Program Manager and Program Coordinator to proactively order program and special event supplies within budget.
- Communicate supply expenses and payments/donations to Accounting as needed.
- Assist in gathering audit materials as requested.
- Maintain financial physical files as necessary.
- Deposit checks as received and communicate to Accounting.
- Assist in fundraising events (planning and tasks) as directed by DOA and ED.
- Define and coordinate volunteer program alongside Program Manager, DOA, and ED
Facilities Management and Rentals – 20%
- Point person for all rental space and parking inquiries (both paid and unpaid).
- Coordinate rental contracts as directed by DOA.
- Coordinate, document, track, and communicate event logistics.
- Maintain shared Google event calendar.
- Point person for facilities repairs and facility vendor management.
- Work closely with leadership team to maintain and improve the BTC space while working within budget.
Engagement – 20%
- Accurately maintain SalesForce donor database including recording of gifts, pledges, and communication.
- Create, send, and track all donations and in kind acknowledgements. Work with ED to revise acknowledgement letter language quarterly and for specific events.
- Manage the Team Brookline/Team BTC Marathon program (recruitment, communications, stewardship, support and Marathon day activities) in collaboration with Team Brookline.
- Assist with Annual appeal communication plan and mailings in collaboration with the
DOA and ED.
- Proactively identify new engagement opportunities/partnerships within the community for donation opportunities. Work closely with Program Manager and Program Coordinator utilize and build relationships effectively.
Social Media – 20%
- Create and maintain social media calendar.
- Assist with fostering meaningful constituent engagement through effective communication and social media (letters, email, Constant Contact, website, Facebook, Tic Tok, and Instagram).
- Work closely with Program Manager and Program Coordinator to capture meaningful/useful content.
- Point person for all Social media postings.
- Design content in collaboration with part time social media support specialist.
REQUIRED QUALIFICATIONS:
Education:
- Associates or BA/BS degree or equivalent knowledge or experience.
Experience - 1-3 years in an administrative support role
- 1-3 years in customer/donor facing organization
- Knowledge of social media tools, process, and trends
- Non-profit experience a plus
Skills/Competencies:
- Strong organizational skills and attention to detail.
- Ability to communicate with external stakeholders in a professional manner.
- Excellent customer service skills.
- Capacity to manage and organize confidential information.
- Proficient in Word, Excel, PowerPoint, and Database Management.
- Strong proficiency in the use of SalesForce, Constant Contact, and Canva
- Ability to multitask, while staying on top of deliverables and deadlines.
- Excellent communication, interpersonal, and writing skills.
- Proactive and self-motivated.
- Ability to work effectively both as an individual contributor and as part of a team.
- Passion for youth development work
- Knowledge of the Brookline community is a plus.
- Strong interest in Non-profit operations.
