Job: Artistic Operations Manager

The Artistic Operations Manager is responsible for supporting rehearsals and performances by providing logistical support to artists and the production teams. In partnership with the Music Director and the Executive Director, the AOM is charged with creating a positive experience for audiences and artists on behalf of BGMC that is consistent with the organization’s values and goals. (This position is some stage management, production management, and administrative chorus wrangling.)

SUPERVISES:  Production contractors/consultants, Asst. Chorus Coordinator, MSC, and artists
STATUS: Regular, full-time, exempt from overtime, employment at will

RESPONSIBLITY AND DUTIES:

Stage/Production Management

  • Serves as primary liaison to advance and fulfill all performance-related requests and requirements while working within the designated budget; topics will include but not be limited to technical matters, equipment rentals, rehearsal, travel, hotel, and hospitality needs.
  • Directs artists, venue staff, and outside contractors via thoughtful, proactive communication to ensure a successful performance, coordinating technical aspects of production.
  • Serves as organizational representative at venues among artists, venue staff, contractors, etc
  • Coordinate all technical aspects of production including, advancing engagements and events, onsite details, stage management, props, etc.
  • Attend all auditions, rehearsals, retreats, and performances.
  • Manage the set-up, running and clean-up of venue for all rehearsals & performances, including supervising Chorus Coordinator or non-singing volunteers to set up chairs, etc. during rehearsals and serving as liaison with performance venues.
  • Actively maintains production-related documentation and equipment through rehearsals to the stage.
  • Maintain and manage storage facility, inventory, etc.
  • Transport items to and from office, storage and venues
  • Manage stage/backstage activities during concerts and rehearsals.
  • Supervise part-time assistants, BOH staff, and volunteers, and serve as the conduit between the MD and outside contractors (stage director, choreographers, costume designer, lighting designer, audio engineer, physical production, etc.)
  • Consult with ED, MD, and Director of Marketing to ensure the quality and public safety of performances
  • Supports artistic areas of large special events, such as the annual Gala.
  • Works with venues and executive team to coordinate masterclasses and other engagement logistics when applicable.
  • Collaborates actively with other BGMC departments to ensure that artist-related activities are fully integrated into the priorities of the organization and in line with the Strategic Plan

Administrative

  • Responsible for all administrative materials needed for rehearsal, like name tags
  • Oversee attendance tracking and maintenance of Chorus artist records via electronic tracking system and Chorus artist database
  • Facilitate Auditions
  • Prepare materials, such as forms, nametags, uploads to CRMs etc
  • Maintain Chorus artist data from auditions through performances in CRMs
  • Responsible for preparation, maintaining, and distribution of all music (physical and electronic)
  • Print Music
  • Music distribution sheets
  • Prep eMusic
  • Reconciling DropBox w/CC for e-music
  • Maintain online rehearsal tracks and distribution
  • Oversee Choral Artist Dues payments (CC setup and follow-ups)
  • Maintain archival choral artist and repertoire list per concert
  • Prepare choral artist membership ratification list for board meetings
  • Prepare artist appreciation communications, including the weekly artist newsletter
  • Work closely with Membership Services Committee (MSC) to facilitate member joy

Organizational Communication

  • Facilitates proactive communication between staff of the venue, artists, and BGMC.
  • Maintains regular contact with colleagues, especially the Music Director and other team members, but also in other departments to support cross-departmental projects that have artist and performance implications, including, but not limited to program book copy proofing, special events, educational and audience engagement initiatives, and staff meetings.
  • Represents the organization at select vendor events and meetings.
  • Uses in-house databases, Chorus Connection and Patron Manager, to facilitate cross-departmental conversation and coordination.

Other duties as needed.

PREFERRED COMPETENCIES AND QUALIFICATIONS:

  •  Experience in concert operations required, including familiarity with front and back of house and unions (eg IATSE, SDC, BMA/AFM)
  • Knowledge of performing required, knowledge of music preferred
  • Must have a Valid Driver’s license; personal vehicle is not necessary, but the ability to rent a vehicle in the Commonwealth of Massachusetts is.
  • Detail-oriented self-starter who can handle multiple simultaneous projects and excels in a fast-paced environment. Proactive, effective communication and follow-through are essential to success.
  • Ability to move and set up equipment weighing up to 50 pounds.
  •  Ability to maintain diplomacy and remain poised, tactful, and supportive in stressful situations.
  • Ability to achieve results when working collaboratively with a diverse group of personalities and wide variety of ideas.
  • Must have a can-do attitude and willingness to take on a variety of tasks and responsibilities and strives to exceed expectations.
  • Superior organizational skills, a focus on deadlines, and exceptional attention to detail and follow-through, and an ability to work both in structured and planned environments, and in situations where rapid response and instant decision-making is needed

POSITION DETAILS:

  • This position is in Boston, Massachusetts.
  • Salary: $50,000 – $60,000 / Per year
  •  1.0 FTE staff position, employment is at-will
  •  Benefits include: 22 days PTO per year, 12 paid holidays, 100% paid healthcare and dental.
  •  Work schedule will vary; as rehearsals, performances, special events, and meetings are often scheduled during evening and weekend hours, including holidays. Some In person office hours required M-F from 9a to 6p
    • Rehearsals tend to be on Wednesdays from 6pm to 10pm generally Sept. – June.
    • Appearances/performances tend to be on weekends
  • Overtime paid on any hours over 40 in a week – preapproved in advance.
  •  Some travel is required
