Job: Executive Director

 

As the Executive Director of VOICES Boston Children’s Chorus, you will be responsible for ensuring the smooth and effective operation of the organization and all its projects. You will work closely with the board of directors, artistic director, staff, donors, and other parties to achieve the organization’s goals and objectives.

VOICES Boston is open to an ED role that is part time for full time. You will work remotely for much of the time with weekly (flexible) in-person staff meetings or rehearsals. We seek someone who loves music, children and who is organized and a natural leader.

JOB DESCRIPTION: 

Administrative and Management (25%)

  • Managing all HR duties for all employees and independent contractors
  • Managing direct reports
  • Running, planning, and following up on duties assigned during weekly staff meetings
  • Meeting with all members of staff as needed
  • Receiving and appropriately dealing with all mail
  • Ordering or overseeing the ordering of all supplies and sheet music
  • Transporting materials needed for rehearsals, performances, and other events
  • Assisting in the preparation of annual reports and all other administrative paperwork as needed
  • Handling all parents’ concerns that go beyond basic logistics
  • Managing schedules for regular rehearsals, outside collaborations, workshops, events, and opera camp
  • Maintaining and developing relationships with community constituents and collaborators
  • Organizing or overseeing all logistical aspects of tours

Financial Management (20%)

  • Creating and managing budgets for the organization and its projects
  • Ensuring the timely payment of bills and employees’ salaries
  • Negotiating contracts with vendors, contractors, and other parties
  • Managing the billing process for tuition and other services
  • Handling all banking activities, including reconciling accounts with the accountant
  • Filing all tax and financial reports in collaboration with the accountant
  • Categorizing all expenses in QuickBooks
  • Analyzing and approving all tuition assistance applications

Development (20%)

  • Responsible for all grant writing and reporting
  • Implementing new fundraising strategies, such as silent auctions, events, and raffles
  • Writing and distributing the annual appeal letter
  • Attending meetings with donors as needed
  • Cultivating and prospecting new donor relationships
  • Overseeing donor data tracking and reporting
  • Soliciting gifts in writing and in person

Marketing (15%)

  • Overseeing and approving all marketing materials
  • Strategizing recruitment and event-based marketing efforts
  • Assisting with social media marketing
  • Developing word-of-mouth relationships to assist with marketing
  • Canvassing marketing materials, alongside the PM

Board Relations (10%)

  • Reporting directly to the board of directors
  • Initiating and directing the development of policies and long-range planning
  • Developing short- and long-term goals for the organization
  • Establishing operating procedures in collaboration with the Board and deciding all matters of administrative and supervisory detail in connection with the operation and maintenance of the organization
  • Preparing the ED report for regular board meetings and agenda items for co-chair, committee, and board meetings
  • Keeping the board fully informed on the organization’s condition, progress, and all-important factors influencing it
  • Attending all board, co-chair, and board committee meetings
  • Taking part and leading board and committee meeting discussions as appropriate
  • Supporting the implementation of all board policies
  • Guiding the board in the cultivation and recruitment of board members

Community Partnerships (10%)

  • Developing, overseeing, and planning all programmatic projects with the BLO, including the middle school audition workshop, high school workshop, opera camp, and BLO classroom visits
  • Acting as the point person for outside collaborations as needed in collaboration with the Artistic Director
  • Maintaining and developing relationships with community constituents and collaborators
  • Speaking and acting as “the face” of VOICES Boston at all concerts and events
