The Student Employment Office is excited to share a few recent enhancements and upcoming updates:

Fall Hires – Important Information

Recent system updates now allow users to hire students for Fall 2025 even if they are not enrolled in summer courses. This streamlines hiring for the upcoming semester and reduces enrollment-related hiring issues.

In preparation for the fall term, the 20-hour-per-week work restriction on JobX will be reinstated starting Friday, August 1. Please keep this in mind when submitting any late or remaining summer hires, as this restriction will impact hiring processes.

Federal Work Study (FWS) Enhancements – Now Live

A new FWS indicator is now available to help identify FWS-funded hires. Soon, the FWS Cost Object field will move closer to the FWS Award data, making it easier to confirm funding eligibility.

Federal Work Study fund number information has been updated as mentioned in an earlier communication.

Student Hire Screen Updates – Now Live  

To improve clarity and consistency in student job records:

  • “Employment Start Date” → “Job Start Date”
  • “Employment End Date” → “Job End Date”
  • These fields will now reflect the job’s anticipated duration.
  • Job Start/End Date fields will be locked and unable to be modified at time of hire.
  • If the hire date is outside the job date range, the job record must be updated first.
Coming Soon: Bulk Hire Enhancements

When hiring multiple students, users will soon be able to return to the data entry screen with fields repopulated if one student fails validation—eliminating the need to re-enter all names and IDs. Alternatively, users may deselect the student with the error and refresh to proceed with the rest.
