Huron COI Instructions Page

Your Disclosure Profile Dashboard looks like this:

To determine why your award is on Compliance Hold, please check to ensure that your Triggering Event is complete and project-specific Research Certifications have been “managed”.

1. To access Huron: https://fcoiresearch.bu.edu
2. Sign in using your BU Kerberos credentials.
3. Select the COIConflict of Interest Learn about BU's Financial Conflict ... tab.
4. Navigate to the Triggering Events tab.
   
5. All Triggering Events that list you as Principal Investigator, Research Personnel, or Primary Contact will appear here.
6. Locate the Triggering Event in your list and click to open it.
7. If the Research Personnel List looks like this, it means that the Triggering Event has not yet been “managed,” which is what creates the request for disclosure from each person on the project.
8. Click Edit Triggering Event to open the project information.
9. Make sure that the Aims or Statement of Work box is filled in with the project’s aims. Hit Save or Finish once done.
10. Return to the Triggering Event. Hit Manage Certifications.
11. Make sure to hit OK on the popup to confirm the Manage Certifications action.
12. Once the project-specific Research Certifications have been created, your profile will return to an Action Required state.
    
13. If there are no updates to be made to your Disclosure Profile, click Complete Disclosure Profile Update.

    

14. You will be taken to a page that contains the following statements:
    • You understand your obligations under the BU Investigator Financial Conflicts of Interest Policy for Research;
    • You have disclosed any participation in foreign talent recruitment programs and understand BU’s Policy on Participation in Malign Foreign Talent Recruitment Programs prohibiting participation in malign foreign talent recruitment programs;
    • For those with project(s) sponsored by the Department of Energy, your submission is complete and accurate, and will be updated during the award period should circumstances change.

    Submitting this page indicates your agreement and certification of these statements. Your submission of this page can be provided to federal funding agencies as proof of the University’s compliance with the applicable requirements of the funding agency.
    

15. Hit Update to the left of each Triggering Event Title. Enter a statement regarding how the project is related or unrelated to your disclosed entities.
    
16. Hit OK to submit.
17. Your profile will return to a No Action Required state.
18. All Research Personnel will need to complete their disclosure profile update in order for the Compliance Hold to be lifted.
19. If it seems as if all disclosures have been submitted, or you are unsure what is needed, please email coi@bu.edu

4. Navigate to the Disclosures tab. In the future, this page will tell you if any action is required for your Disclosure Profile.
5. Please select Edit Disclosure Profile.
   

• If you have nothing to disclose:
1. Select No for the question “Do you have any financial interests and/or outside activities to report?”
2. Click Continue.
3. Select the Complete Disclosure Profile Update button and then click OK.
   

   Note: The Disclosure Profile will move to a No Action Required state. You will also receive an email from coi@bu.edu confirming your submission.

• If you have any financial interests:
1. Select Yes for the question “Do you have any financial interests and/or outside activities to report?”
2. Under Entity disclosures, click +Add to add a new Entity. Select the Entity by using the search bar to find the entity that you have an interest in. If you are unable to locate the entity using the search, you can write it in by clicking the “…” button.
3. Enter the information for Relation to discloser and Disclosure types. For each Entity you disclose, check all disclosure types that apply (e.g. Consulting, Equity). You may be prompted to answer additional questions depending on your disclosure type.
   Note:Please provide complete information. For example, if you disclose consulting, provide information about the nature of your consulting and/or the specific activities being performed.
4. Repeat steps 8 and 9 for each Entity that needs to be added to your Disclosure Profile.
5. Click Continue.
6. Select the Complete Disclosure Profile Update button and then click OK.
   

   Note: The Disclosure Profile will move to a No Action Required state. You will also receive an email from coi@bu.edu confirming your submission.

Updating your Disclosure Profile if you have new interests to disclose:
1. Select Yes for the question “Do you have any financial interests and/or outside activities to report?”
2. Under Entity disclosures, click +Add to add a new Entity. Select the Entity by using the search bar to find the entity that you have an interest in. If you are unable to locate the entity using the search, you can write it in by clicking the “…” button.
3. Enter the information for Relation to discloser and Disclosure types. For each Entity you disclose, check all disclosure types that apply (e.g. Consulting, Equity). You may be prompted to answer additional questions depending on your disclosure type.

Updating existing financial interests in your Disclosure Profile :
1. Retain the Yes response for the question “Do you have any financial interests and/or outside activities to report?”
2. Under Entity disclosures, click Update to the left of the existing Entity.
   

3. Update the selected Entity information. For each Entity you disclose, ensure you have selected all disclosure types that apply (e.g. Consulting, Equity). You may be prompted to answer additional questions depending on your disclosure type.
   Note:Please provide complete information. For example, if you disclosure consulting, provide information about the nature of your consulting and/or the specific activities being performed.
4. Repeat steps 8 and 9 for each Entity that needs to be added to your Disclosure Profile.
5. Click Continue.
6. Select the Complete Disclosure Profile Update button and then click OK.

   

   Note: The Disclosure Profile will move to a No Action Required state. You will also receive an email from coi@bu.edu confirming your submission.

Updating your Disclosure Profile if you no longer have interests to disclose:
1. Change the response for the question “Do you have any financial interests and/or outside activities to report?” to No.
   

2. Select the Complete Disclosure Profile Update button and then click OK.

   

   Note: The Disclosure Profile will move to a No Action Required state. You will also receive an email from coi@bu.edu confirming your submission.

Please make sure you have completed all the steps outlined in My Disclosure Profile Dashboard says No Action Required, but my project is on Compliance Hold. What do I need to do?.

Don’t panic!

When you change the response for the question “Do you have any financial interests and/or outside activities to report?” from Yes to No, there is now a message informing you that proceeding will delete data from the Entity Disclosure table.

Did you proceed and delete the Entity disclosures table?

• Unfortunately, you will need to re-enter the deleted information
• Follow instructions for how to submit your financial interests under I need to submit my Disclosure Profile in Huron for the first time.

1. Log into Huron by following the link included in the email you received or go to: https://fcoiresearch.bu.edu
2. Sign in using your BU Kerberos credentials.
3. Select the COI tab.
4. Navigate to the Disclosures tab.
5. Make any necessary updates to the Entity Disclosure information that is in the Entity disclosures table.
6. Please make sure to select Complete Disclosure Profile Update rather than Finish when you are done updating your Entity Disclosures.
   
7. From your dashboard, click on Submit response to respond to this clarification request (on the left hand side of the page). If you do not submit your response in Huron, your review cannot be completed.

   

8. For each clarification request that requires a response, click the Update button to open the response box.

   

9. Enter your response in the Response textbox. Please provide a specific, concise, and clear response. Hit OK.

   Note: If you are unsure what Triggering Event the Request for Clarification refers to, please locate the ID number following your name. Go to Triggering Events and search by ID for this number in order to bring up the Triggering Event.

   

10. You will return to the Pending clarification request window. Hit OK.
11. Once submitted, and if no other certifications are required, your Disclosure Dashboard will show:

    

1. To access Huron: https://fcoiresearch.bu.edu
2. Sign in using your BU Kerberos credentials.
3. Select the COI tab.
4. Navigate to the Triggering Events tab.
   
5. All active Triggering Events will appear in the Open Triggering Events tab.
6. If you have a long list of Triggering Events:
   
   • You can use any of the blue column headers to help sort the Triggering Events in ascending or descending order.
   • You can select a field from the drop down menu next to Filter by to search by Principal Investigator last name, Sponsor Name, or Name of Triggering Event.
   • Tip: Use % as a wild card in your search (eg: %neuroanatomic will find all TE with “neuroanatomic” in the title; neuroanatomic% will find all TE that begin with “Neuroanatomic”)
7. Click on the Triggering Event to open it.
8. Click on the Read-Only Certifications tab of the Personnel List table. This will show all personnel listed on the Triggering Event, the date of their last Disclosure Profile Update and the Review Status of their Research Certifications for this specific Triggering Event.
   
9. If the Review Status next to an investigator name says:
• No Review Required → You are all set! No further action required.
• Under Review → No further action required. The COI team will review your disclosure and reach out with any questions.
• Clarifications Requested →Respond to the COI team’s questions so that your disclosure can be reviewed.
• Committee Review → No action required at this point. Your disclosure will go to the Faculty Review Committee on Research Conflicts of Interest for review. The COI team will reach out to you for additional information leading up to the review and will notify you once a decision has been made.
• Awaiting Profile Update → You have not submitted a certification for this project. Please make sure you are hitting the “Complete Profile Update” button when submitting. The “Finish” button will not submit your Disclosure Profile.
• Withdrawn → This certification was withdrawn after submission. It does not count as a disclosure against a project. If this certification was withdrawn by accident, please resubmit. If you need help, email coi@bu.edu

3. Hit OK to submit.
4. Your profile will return to a No Action Required state.

• If you have updates to make to your Disclosure Profile
1. Follow the instructions in here.

If you do not have any existing grant proposals, and do not plan to submit to any grant proposals to OSP, that match up directly with your IRB submission, then you would create the Triggering Event (what Huron calls projects) for your IRB submission in Huron COI following the steps below:

1. Log into Huron COI Huron COI and navigate to the Triggering Events tab (COI → Triggering Events).
2. Click Create Triggering Event on the left.
3. For the BU primary contact (Question 2), select your grants or department administrator (instead of yourself) so that they can also edit and manage the Triggering Event.
4. Fill out the project details, and for question 3 Event Type, select “IRB Proposal.”
5. Add research personnel and details for the project.
6. For Unfunded or Internally Funded projects, list Boston University as the Sponsor.
7. Add the Aims or Statement of Work. Failure to provide this information will lead to delays in reviewing and clearing any compliance holds on the project.
8. Once you have added all required details and saved, click Manage Certifications (left menu of the Triggering Event page) from the Triggering Event’s workspace. This will send out an email notification to all research personnel listed on the project that they need to provide certification that their Disclosure Profile is up-to-date.

If you plan to submit a grant proposal to OSP related to your IRB protocol, please do not create a new Triggering Event, as this may create duplicates in the system and may lead to unnecessary Compliance Holds. Once OSP submits the proposal the proposal record will be queued up for migration. Although the migration occurs nightly, please allow 1 business week for all back end processes to occur. If you are still unable to locate a Triggering Event related to your IRB submission, email coi@bu.edu.

For projects that do not route through OSP, you or your Primary Contact need to create the Triggering Event (what Huron calls projects) in Huron COI following the steps below:

4. Navigate to the Triggering Events tab.
   
5. Click Create Triggering Eventon the left.
6. For the BU primary contact (Question 2), select your grants or department administrator (instead of yourself) so that they can also edit and manage the Triggering Event.
7. Fill out the project details, and for question 3 Event Type, select “Post Award.”
8. Add research personnel. Please ensure all research personnel involved in the design, conduct, or reporting of research activities have been listed.
9. For Unfunded or Internally Funded projects, list Boston University as the Sponsor.
10. Make sure that the Aims or Statement of Work box is filled in with the project’s aims. Failure to provide this information will lead to delays in reviewing and clearing any compliance holds on the project.



11. Hit Save or Finish once done to return to the Triggering Event page.
12. HitManage Certifications (left menu of the Triggering Event page) from the Triggering Event’s workspace. This will send out an email notification to all research personnel listed on the project that they need to provide certification that their Disclosure Profile is up-to-date.



13. Make sure to hit OK on the popup to confirm the Manage Certifications action.
    

14. Once the project-specific Research Certifications have been created, your profile will return to an Action Required state. You can see this by navigating to the COI tab then the Disclosures tab.



15. If there are no updates to be made to your Disclosure Profile, click Complete Disclosure Profile Update.

For BU Ignition Awards only, a Huron Triggering Event will be manually created for you. You will be notified via email once this has been done. Please follow the below instructions to complete COI disclosure requirements.

1. To access Huron: https://fcoiresearch.bu.edu
2. Sign in using your BU Kerberos credentials.
3. Select the COI tab.
4. Navigate to the Triggering Events tab.
   
5. Locate the Ignition Award Triggering Event in your list and click to open it.
6. Click EditTriggering Event to review your project information.
7. For the BU primary contact (Question 2), select your grants or department administrator (instead of yourself) so that they can also edit and manage the Triggering Event.
8. Update any project details, as necessary. Please ensure all research personnel involved in the design, conduct, or reporting of research activities have been listed. If you have external investigators that should be listed, please let us know via email coi@bu.edu so we can request an Affiliate Account.
9. Hit Save or Finish once done to return to the Triggering Event page.
10. Hit Manage Certifications (left menu of the Triggering Event page) from the Triggering Event’s workspace. This will send out an email notification to all research personnel listed on the project that they need to provide certification that their Disclosure Profile is up-to-date.



11. Make sure to hit OK on the popup to confirm the Manage Certifications action.
