BU OneCard

Our Service

Boston University’s Travel and Purchasing Card programs will transition to a newly combined “BU OneCard” product in mid-July. Issued by U.S. Bank, the BU OneCard consolidates both card programs into a single credit card with three profile types: Purchasing, Travel, or Purchasing + Travel (combined).

 

As part of this transition, we will launch a new module called Concur Request, whereby card administrators will be able to provision new cards, change credit limits, authorize one-time purchases, and issue cash advances.  Additionally, a Pre-Trip Approval process will be available to streamline permissions for travel and policy exceptions, all within the user’s Concur profile. For reports prior to July 7, 2025, containing only out-of-pocket expenses that were not submitted and approved in Concur, the submitter must resubmit the expenses in the new version of Concur using these instructions.

Prohibited Commodities

The BU OneCard is not to be used for purchases of items found in Guided BUying catalogs or with suppliers who are fully registered, except for small-dollar transactions. All transactions are reviewed monthly to ensure all cardholders comply with the BU OneCard Policy.

Service Expectations

In order to increase transparency and efficiency between the Travel and Card Services Department and the greater BU community, here are descriptions of many of the core services that we provide. For each service, there is a target service expectation, as well as an indication of the metrics the department will be using to maintain these service standards.

Please note that the service expectations in this document may be subject to certain constraints, such as:

  • Workload – An increase in workload, such as backlog due to power outages or fiscal year-end closing, may result in a temporary reduction of service level delivery.
  • Conformance Requirements – Finance policy changes and Internal Revenue regulations may alter procedures and service delivery timeframes.
  • Dependencies – Achievement of our service level commitment is dependent upon customer compliance with the policies and procedures of Boston University and the Travel and Card Services Department

Forms/Card Service Change Requests

To complete card changes such as transfer/cancellation, limit increase, lost/stolen, or cash withdrawals, please create a service request within Concur using the guide below.

*Form will not be processed without prior approval from Travel; please submit a ticket on the VPFA Customer Service Portal for more information.
