IPL Part Time Administrative Assistant
The International Policy Lab (IPL) at MIT’s Center for International Studies (CIS) encourages academically informed solutions to major public policy challenges. The IPL works with faculty and researchers at MIT to develop engagement strategies that lead to two-way dialogues between scholars and policymakers, helping to ensure that public policies are informed by the best available research and that scholars understand the potential policy impact of their own work.
The IPL Administrative Assistant will assist the IPL Managing Director with managing the IPL’s annual call for proposals and end of year project evaluations. Activities will include:
- Promote the Call for Proposals to MIT faculty
- Creating and distributing flyers
- Looking for on campus opportunities to make announcements about the program
- Reaching out to faculty lunches on campus to arrange talks about the IPL given by the IPL managing director
- Managing calendar and arranging meetings
- Arranging meetings between the IPL Managing Director and faculty interested in the Call for Proposals
- Arranging meetings between all faculty who apply in the call for proposals and IPL affiliated faculty and staff
- Compile and formatting all proposals received into a summary document
- Logistical support of end of year evaluations for all 53 ongoing IPL projects:
- Create end of year evaluation google survey forms
- Distribute forms to faculty
- Compile results of end of year evaluation forms
- Follow up with faculty who have not filled them out
- Other admin support as needed
- Some miscellaneous help with IPL events (e.g. arranging travel, catering, etc)
Job Requirements: demonstrated organizational skills and meticulous attention to detail; proficient with Microsoft Office (Excel, Word, PowerPoint and Outlook); experience with google docs, forms, and sheets; strong interpersonal and oral and written communication skills; discretion and good judgment with confidential issues/information; and demonstrated initiative and ability to learn quickly.
Preferred Skills: Experience working with faculty and demonstrated interest in science policy.
Minimum commitment: 10-20 hrs/week October 2018 – March 2019 with potential to continue
