Dear Faculty Member,
This is a final reminder that starting Saturday June 1, 2024, Boston University will enforce a 150GB storage limit on BU Google storage accounts for faculty. Our records show that your account currently exceeds this new maximum. Google defines an individual’s “storage” as the combined usage across Google apps, including Drive, Gmail with attachments, and Photos.
IMPACT
You will still retain the ability to view files, delete data, or transfer data to another storage option to comply with the quota and remove these constraints.

This follow up to our communication of March 13th is a friendly reminder that, beginning June 1, 2024, Boston University will be implementing a 150GB storage limit on BU Google storage accounts for faculty. According to our records, your account currently exceeds this new maximum. Google deems an individual’s “storage” as the total across your Google apps including Drive, Gmail with attachments, and Photos. We acknowledge this represents a change to our Google Service and have information to help you. HOW WILL THIS AFFECT ME?
You will retain the ability to view files, delete data, or transfer data to another storage option to get back under your quota and release your account from these restrictions.

This is a follow up to our communication of October 2023 regarding the change in quotas for Boston University Google storage. To continue to provide Google Workspace services to the BU community, on May 31, 2024, we will implement a 150GB storage limit on BU Google accounts for faculty. According to our records, your account currently exceeds this new maximum. Google deems an individual’s “storage” as the total across your Google apps including Drive, Gmail with attachments, and Photos. Deferral of BU Google Storage Quotas (December 14, 2023)

We are writing to let you know that we will be deferring the January 8th implementation of storage quotas for BU Google accounts until a later date during the Spring 2024 semester. We will update you once this new date has been finalized.
In the interim we encourage you to review your current data usage in your BU Google account, delete any documents, photos and emails that are no longer needed. If you have a large volume of research data stored, please contact research computing for assistance with research storage options. Google deems “storage” as the total amount of data on Drive, Gmail with attachments, Shared Drives, and Photos. To determine the amount of storage you are currently using, please visit our Frequently Asked Questions page. Updated BU IS&T Storage Quotas for Faculty (October 26, 2023)

Dear Faculty Member,
We appreciate your feedback to our communication of September 14th announcing the change in quotas for Boston University Google storage. In an effort to better meet the service needs of the faculty community, we will be setting the quota for faculty at 150 GB. Please note this adjusted quota only applies to faculty. WHAT’S CHANGING? As indicated in the previous communication, in January 2022 Google began charging all higher educational institutions for the amount of storage being used. In collaboration with other institutions, we negotiated pricing and a total storage capacity, based upon our utilization and other services we have available. We are now working to bring our storage use to the agreed level. As a result, we will be implementing quotas for all BU Google accounts beginning on Monday, January 8, 2024 WHAT DO I NEED TO DO? Please review your current data usage in your BU Google and/or Microsoft accounts, delete any documents, photos and emails that are no longer needed. If your Google storage use exceeds the 150 GB faculty quota, please move some files to another storage option to be within your Google storage quota prior to January 8, 2024. Google deems “storage” as the total amount of data on Drive, Gmail with attachments, Shared Drives, and Photos. To determine the amount of storage you are currently using, please visit our Frequently Asked Questions page. In the coming days, you will be notified if your usage exceeds the new quota. Once the quota is implemented, accounts with excessive storage will need to take immediate action as Google will automatically prevent storing new documents or photos, creating new files or edit existing ones in Google Docs, Sheets, etc. You will still be able to view files and can delete or move data to another storage option to get back under your quota and release your account from these restrictions. Changes to BU IS&T Storage Quotas(September 14, 2023)

We are writing to let you know of changes to the storage quotas of some BU technology services.
WHAT’S CHANGING? In January 2022, after a decade of free services, Google began charging all higher education institutions for the amount of storage used. Currently, BU’s Google storage is significantly over the maximum we have negotiated with Google. To bring our storage use to the agreed level, we will be implementing a quota of 15 GB for all BU Google accounts beginning on Monday, January 8, 2024. Additionally, Microsoft recently announced they will be instituting quotas for data storage for all educational institutions by August 1, 2024. We do not yet know what these quotas will be. WHAT DO I NEED TO DO? Please review your current data usage in your BU Google and/or Microsoft accounts, delete any documents, photos and emails that are no longer needed.
