Planning a social event is exciting, but renting the right venue comes with many questions. Whether you’re organizing a wedding reception, gala dinner, or private celebration, we’ve compiled answers to the most common questions about our rental process, facilities, and services. These quick facts are designed to help you make an informed decision and ensure your event runs smoothly. What is the Guest Capacity?
- Ideal for 50–120 guests
- Higher counts possible for informal events with heavy hors d’oeuvres or stations
What is included in the Rental Fee?
- Dedicated Events Specialist (planning, catering, AV, parking; vendor referrals available)
- Standard 5-hour rental period
- House tables (high tops, rounds) and chairs; Chiavari chairs available for an additional fee
- Custodial services (pre-, during, post-event)
- Two private lounge-style rooms
- Access up to 2 hours before the event for setup
What are your policies about Catering at events?
- Exclusive caterer: Catering on The Charles (except cakes)
- Event Specialist assists with menu planning; please share dietary needs as early as possible
- Tastings available (fees may apply), weekdays only
- Bar service: max 5 hours; ends 30 minutes before event conclusion
- No shots (per University policy)
- Final guest count and entrée selections due 10 business days prior
- No open flames (city ordinance)
- Outside cakes allowed; cake-cutting fee applies
What are some additional considerations for renting 43 Hawes?
- Onsite ceremonies available for a fee; optional 1-hour weekday rehearsal (3–6 PM)
- Dance floor rented separately if needed
- Accessible rear entrance off the parking lot
- Band and DJs must provide their own equipment; speakers for informal DIY music available for an additional fee
- No onsite storage—please remove all items after the event
- Referrals to nearby hotels that may offer shuttle service
- Limited onsite parking; nearby garages available
- 5-minute walk to Green Line C (Hawes St.)
What are the Booking & Payment Policies?
- Recommended planning timeline: 6–12 months
- Contract + non-refundable facility fee deposit due within 2 weeks of booking
- Full payment due prior to event per contract schedule
- Accepted payments: check or credit card (MC, Visa, AMEX, Discover)
- Insurance required: $1,000,000 policy naming Boston University as additionally insured (available at https://tulip.ajgrms.com/)
- The location contains hallways, stairs, a balcony, and historic furnishings and décor. Minors must be supervised; additional requirements may apply per BU policies
