Request on Behalf of & Team Buying

 

 

Requisitioners have the ability to ‘Request on Behalf of’ another Requisitioner if that Requisitioner has access to Guided BUying. Values from that Requisitioner’s Personal Profile will populate at checkout and they will be added to the PR as a Watcher.

Team Buying functionality in BU’s Guided BUying environment will allow multiple members of a team to collaborate on purchases. Please find the full training guide here. Teams are made up of three types of individuals: Team Owners, Contributors, and Viewers.


Team Owner (cannot be changed): Creates and manages the team, including adding and removing members. There is only one Team Owner and this role cannot be changed. The Team Owner is set as the Requester for all team purchase requisitions (PRs). PRs will display the Team Owner’s shipping and account assignments, but these may be changed on PRs in composing status. Team Owners should be an individual with the knowledge and understanding of all team purchases, as the Team Owner will be responsible for approving all invoices and managing invoice exceptions for the team’s orders.


Contributor (default role for additional members): Has the ability to create PRs on behalf of the Team Owner, other team members, or themselves, however only the Team Owner can approve invoices and manage invoice exceptions. When a Contributor creates a PR the default shipping and account fields will need to be updated with the correct information for the order. Contributors can add members to a team and can edit team PRs.


Viewer (used to monitor orders): Views PRs created by other team members, however they can neither create nor edit PRs created by the team. A Viewer cannot add or remove team members. The Viewer role should be used for providing visibility to Team PRs to other colleagues.


When a Contributor purchases as part of a team, the Team Owner will always appear as the Requester of the PR. The Team Owner will be the approver for all invoices, manage all invoice exceptions, and appear as the Requester on the purchase order and in BW reporting.


To make it easier to select the correct team from the drop down menu within Guided BUying, it is strongly recommended Team Owners use the following naming convention when creating a team: “owner name – department – member initials.” For example, John Doe, the owner, creating a team for Sourcing & Procurement purchases, with three team members, names the team: “John Doe – Sourcing Procurement – IP HMG JMR”
