Students may make student payments electronically on the Student Link or see Student Accounting Services for additional detail.

How do I open or close a petty cash fund?

To open: please complete the following form, have the form signed by your Dean or Department Head and submit the form to Cashier Services. The completed form may be submitted via our new Customer Service Portal at bu.service-now.com/fa, or presented at the Cashier Services office located on the First Floor of 25 Buick Street, Suite 130, Boston, MA 02215.

Petty Cash Action Form

What if a petty cash custodian leaves the University, transfers to another department or is no longer responsible for the petty cash fund?

The Dean or Department Head must submit a “Petty Cash Action Form” to close the fund. The custodian must complete a “Petty Cash Reimbursement” for any receipts on hand. If the new custodian has already been determined, he/she may accompany the departing custodian and the petty cash fund can be reopened at the same time.

Can someone other than the petty cash custodian replenish a petty cash fund?

If an individual is replenishing the fund on behalf of the custodian/alternate, the individual must bring a permission letter from the custodian allowing the individual to pick up the cash. The letter should include the name and Boston University ID number of the person replenishing the petty cash, the petty cash fund number, and must be signed by the custodian/alternate.

What do I bring to Cashier Services for Petty Cash Replenishment?

Bring a completed “Petty Cash Reimbursement” form and signed receipts (with a calculator tape attached) for reimbursement. Also, please remember that anyone who replenishes petty cash must have photo identification (BU ID card, Driver’s License, etc.) with them.

Are traveler’s checks and money orders considered cash or checks?

When depositing traveler’s checks and money orders, please list these items as checks.

How do I deposit loose coins?

Generally, both Bank of America and Cashier Services will only accept deposits of coins that are rolled into coined wrappers. When rolled, the various wrapper denominations are:

Quarters: $10.00
Dimes: $5.00
Nickels: $2.00
Pennies: $0.50

However, if the coin amount you wish to deposit is not enough to complete these wrapper denominations, both Bank of America and Cashier Services will accept the coins unwrapped.

How do I get a copy of a check I deposited?

To request a copy of a deposited check, please contact Cashier Services and provide the following information:

For checks deposited at Cashier Services:
1. The YC Document number.
2. The dollar amount of the check.

For checks deposited at a Bank of America branch:
1. The YC Document number.
2. The dollar amount of the check.
3. A copy of the deposit ticket.

May I Accept Credit Cards?

Boston University accepts credit card payments (MasterCard, Visa, American Express and Discover) for non-student accounting related transactions. Typically, credit card payments are for conferences, workshops, services, educational materials, etc.

Due to the complexities and security requirements associated with the acceptance of credit cards, please contact Cashier Services at least 45-60 days in advance of requesting to receive credit cards payments.

How often should I deposit funds?

Deposit all funds daily to Cashier Services located on the First Floor of 25 Buick Street, Suite 130, or Bank of America locations at the George Sherman Union (771 Commonwealth Avenue) or Kenmore Square (540 Commonwealth Avenue). All deposits must be in US currency.

When do I need a police escort or armored car service?

Departments must use a police escort for cash deposits in excess of $1,000.

If you require a police escort for disbursements or deposits, please contact the Boston University Police Department (617-353-2110). If a department requires an armored car service, please contact Cashier Services to arrange for this service.

Donations

Donations to Boston University are not accepted at Cashier Services. Also, departments are not allowed to deposit money directly into their -3 gift accounts. Instead, please notify the Development Office to make arrangements for gift deposits. For further information, please contact the Development Office directly at 617-353-9500.
