FAQs regarding Microsoft Enterprise Licensing Agreement

Enterprise Agreement coverage.
The EA covers university owned assets. Assets owned by BU affiliates, such as the BMC, are not covered.
Access to download files.
Access is restricted to faculty and staff. Student employees managing work computers much speak to their supervisor, who will then download the files for them.
Activation from on campus
Office for PC and Windows 7 must be activated within 30 days of installation. The preferred method is KMS. A backup method is MAK.
Key Management Service (KMS) – Preferred Activation Method
If the client’s machine is joined to AD or AD2 they will activate automatically using the University run KMS server. The software will re-activate every six months.
KMS is preferred due to the automated nature of the activation.
To join their machine to domain (AD or AD2), a client must involve their local IT OU admin support. For departments not supported by Desktop Services, the following link has more information.

Multiple Activation Key (MAK) – Last Resort Activation Method
MAK numbers have a limited number of uses before they must be renewed. Therefore they are not recommended for general university use, and should only be used as a last resort. The following MAK numbers are considered university property, and may not be shared or published.

Activating from off campus using VPN
To activate software on a university owned machine, or a personally owned machine used as part of the Work at Home program (see below), the machine should be connected to the BU network using VPN.

Work at Home program
Faculty and staff are entitled to install one copy of Office (Windows or Mac) on a home computer under the following conditions:
- • It is used for work related purposes only.
- • If the employee leaves the university, they must uninstall the software.
To activate, the client must connect to the BU network via VPN.
Home Use Program
University full time employees (faculty and staff) may purchase a copy of Office for Mac and PC at a substantially reduced price directly from Microsoft. They will require a Program code and must use their BU email address for verification. The code, along with link to the Microsoft sales site, can be found here:
