It can even be used to simply share your free and busy times with your colleagues.<strong> When you <a target=\"_blank\" href=\"https:\/\/www.bu.edu\/tech\/support\/google\/enable\/\" rel=\"noopener noreferrer\">configure your desktop or device client for use of email with Office 365<\/a> the calendar interface that&#8217;s associated with that email client will also be configured, automatically.<\/strong><\/p>\n<p>The pages in this section of TechWeb provide helpful instructions for some common Exchange calendaring tasks, and the instructions below will get you started with the basics of making a meeting.<\/p>\n<div class=\"highlight-yellow\">Please note, when creating an <strong>all day<\/strong> event in O365 your availability will be changed from <em>busy<\/em> to <em>free<\/em>. You will need to manually adjust your availability back to busy if you intend to block off that time on your calendar.<\/div>\n<h2><strong>Basic Steps for Creating a Meeting Invite<\/strong><\/h2>\n<p><strong>NOTE: For more information, <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/email\/office-365-outlook\/calendars\/meeting\/\">see our more detailed instructions<\/a> or those provided on <a href=\"http:\/\/office.microsoft.com\/en-us\/outlook-help\/schedule-a-meeting-with-other-people-HP001230384.aspx\">Microsoft.com.<\/a><\/strong><\/p>\n<p>1. From Office 365, you can create a meeting request in one of the following three ways:<\/p>\n<ul>\n<li><span>From the Inbox, select\u00a0<\/span><b class=\"ocpUI\">New Items<\/b><span>\u00a0&gt;\u00a0<\/span><b class=\"ocpUI\">Meeting<\/b><span>\u00a0or use the keyboard shortcut\u00a0<\/span><b class=\"ocpUI\">Ctrl + Shift + Q<\/b><span>.<\/span><img loading=\"lazy\" src=\"\/tech\/files\/2020\/04\/O365_Schedule1.png\" alt=\"\" width=\"264\" height=\"304\" class=\"size-full wp-image-127064 alignnone\" \/><br \/>\n<br style=\"clear: both;\" \/><\/li>\n<li><span>From the calendar, select\u00a0<\/span><b class=\"ocpUI\">New Meeting<\/b><span>\u00a0or use the keyboard shortcut\u00a0<\/span><b class=\"ocpUI\">Ctrl + Shift + Q<\/b><span>.<img loading=\"lazy\" src=\"\/tech\/files\/2020\/04\/O365_Shedule2.jpg\" alt=\"\" width=\"239\" height=\"90\" class=\"size-full wp-image-127065 alignnone\" \/><br style=\"clear: both;\" \/><\/span><\/li>\n<li><span>From an email message in the Inbox, select the\u00a0<\/span><b class=\"ocpUI\">Reply with Meeting<\/b><span>\u00a0button.<img loading=\"lazy\" src=\"\/tech\/files\/2020\/04\/O365_Shedule3.png\" alt=\"\" width=\"241\" height=\"147\" class=\"size-full wp-image-127066 alignnone\" \/><\/span><\/li>\n<\/ul>\n<p>2. Add attendees in one of two ways:<\/p>\n<ul>\n<li>Add your attendees to the<span>\u00a0<\/span><b class=\"ocpUI\">To<\/b><span>\u00a0<\/span>line of the meeting request and skip to step 4.<\/li>\n<li>If you&#8217;re using an Office 365, use the<span>\u00a0<\/span><b class=\"ocpUI\">Scheduling Assistant<\/b><span>\u00a0<\/span>to see attendee schedules.<\/li>\n<\/ul>\n<p>3. In the<span>\u00a0<\/span><b class=\"ocpUI\">Scheduling Assistant<\/b>, either click the box under your name and type an attendee&#8217;s name or email address or click the<span>\u00a0<\/span><b class=\"ocpUI\">Add Attendees<\/b><span>\u00a0<\/span>button to bring up your address book.<\/p>\n<p class=\"\">Click the icon next to the attendee&#8217;s name in the Scheduling Assistant to mark a specific attendee as a<span>\u00a0<\/span><b class=\"ocpUI\">Required Attendee<\/b><span>\u00a0<\/span>,<b class=\"ocpUI\">Optional Attendee<\/b>, or a<span>\u00a0<\/span><b class=\"ocpUI\">Resource<\/b>. When you start typing an attendee&#8217;s name, Outlook will provide suggestions for you based on the people you&#8217;ve met with or emailed recently. Choose a name from the list to add an attendee.<br style=\"clear: both;\" \/><img loading=\"lazy\" src=\"\/tech\/files\/2020\/04\/O365_Shedule4.jpg\" alt=\"\" width=\"337\" height=\"128\" class=\"size-full wp-image-127067 alignnone\" \/><\/p>\n<p>*Note that you can use the <strong>Scheduling Assistant<\/strong> to <strong>check the availability of all invitees<\/strong>. This is a key benefit to use of Office 365 calendaring.\u00a0\u00a0If you would like to have a room or resource set up in Exchange so that it can be scheduled in a meeting invitation, please submit a <strong>Help<\/strong> request.<\/p>\n<p itemprop=\"name\">4. Add a meeting subject, start time and end time, and location. If you wish to book a resource such as a conference room, please follow <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/email\/office-365-outlook\/calendars\/meeting\/\">these instructions<\/a>.<\/p>\n<p itemprop=\"name\"><span>5. To attach a file to a meeting request, on the\u00a0<\/span><b class=\"ocpLegacyBold\">Insert<span>\u00a0<\/span><\/b><span>menu, select\u00a0<\/span><b class=\"ocpLegacyBold\">Attach File<\/b><span>, then choose the file you want to add.<\/span><\/p>\n<p>6. Once you are happy with the meeting, click on <strong>Send<\/strong>. The meeting will then appear in your calendar and in the calendars of all invitees, giving them the opportunity to <strong>Accept<\/strong>, <strong>Decline<\/strong>, or make <strong>Tentative<\/strong>.
