Automated captions allows participants to read spoken conversation as captions or a full transcript with speaker attribution. Automated captions can be helpful for improving accessibility for participants who may be in loud environments, may not have access to headphones or speakers, or might otherwise benefit from hearing and seeing content simultaneously.<br \/>\n<a name=\"requirements\"><\/a><\/p>\n<h2>Requirements and Limitations<\/h2>\n<ul>\n<li>Automated captions are enabled by default for all Zoom hosts. See <a href=\"#enabling\">Enabling Automated Captions<\/a> below for additional information.<\/li>\n<li>A meeting participant must start automated captions before they can be used. Any conversation produced prior to enabling the feature will not be transcribed.<\/li>\n<li>Automated caption transcripts will not automatically save with local recordings. You can save them manually, however. Cloud recordings will still generate transcripts as before.<\/li>\n<li>Automated captions may be generated in English or <a href=\"https:\/\/support.zoom.us\/hc\/en-us\/articles\/8158738379917\">one of Zoom&#8217;s other supported languages<\/a>. Only one language can be transcribed at a time.\n<ul>\n<li>Translations are not available by default, but may be requested as a premium add-on. To learn more about pricing, please <a href=\"https:\/\/bu.edu\/tech\/contact\">contact us<\/a>.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<div class=\"highlight-yellow\">While automatic captions and transcription provides value for all meetings, it is not a replacement for an accommodation. Meetings, classes, or webinars that include one or more individuals with documented reasonable accommodations by the <a href=\"https:\/\/www.bu.edu\/disability\/\" target=\"_blank\" rel=\"noopener noreferrer\">BU Office of Disability &amp; Access Services<\/a> or <a href=\"http:\/\/www.bu.edu\/eoo\/\" target=\"_blank\" rel=\"noopener noreferrer\">Equal Opportunity Office<\/a> that require closed captioning, <em>must<\/em> include a live captioner or other accommodation as documented.<\/div>\n<p><a name=\"enabling\"><\/a><\/p>\n<h2>Enabling Automated Captions<\/h2>\n<p>Automated captions are enabled by default for all meeting hosts. If you wish to verify this setting or turn it off, you may do so at any time by following these steps:<\/p>\n<ol>\n<li style=\"list-style-type: none;\">\n<ol>\n<li><span><a href=\"https:\/\/bostonu.zoom.us\/signin\" target=\"_blank\" rel=\"noopener noreferrer\">Log in<\/a><\/span> to Zoom Meetings using your BU Login.<\/li>\n<li>Click the &#8220;Settings&#8221; link, located on the sidebar to the left of the page.<\/li>\n<li>Scroll down to &#8220;In-Meeting (Advanced)&#8221; and locate the &#8220;Automated captions&#8221; option.<\/li>\n<li>Turn the Automated captions setting on by clicking the slider, if necessary.<\/li>\n<li>Check &#8220;Allow live transcription service to transcribe meeting automatically<span data-v-0a8bd64f=\"\" class=\"zm-checkbox\"><span class=\"zm-checkbox__label\">,<\/span><\/span>&#8221; then click &#8220;Save.&#8221;<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<p><img loading=\"lazy\" src=\"\/tech\/files\/2023\/10\/zoom-automated_captions-toggle-636x117.png\" alt=\"Screenshot of Zoom's automated captions option. Any ongoing meetings must be restarted before captions is available.<\/p>\n<h3>Additional Options<\/h3>\n<p>In addition to the above option, Zoom allows you to customize your caption and transcription access extensively. You can review the following options on the same page:<\/p>\n<ul>\n<li><strong>Automated caption languages:<\/strong> Available languages can be added or removed as needed. This affects the list of languages presented when starting captions in a meeting.<\/li>\n<li><strong>Allow only the following users to enable captions for the meeting:<\/strong> All participants can start captions by default. You can use this option to limit this privilege to hosts and co-hosts only.<\/li>\n<li><strong>Full transcript:<\/strong> Toggling this option controls whether participants are allowed to see the live meeting transcript. This must be enabled for captions to be saved.<\/li>\n<li><strong>Save Captions:<\/strong> Allow participants to save the meeting transcript to a file. This can be adjusted to all participants, internal participants, hosts, or hosts and co-hosts to save transcripts as needed. Transcripts must be saved manually.<\/li>\n<\/ul>\n<p><a name=\"starting\"><\/a><\/p>\n<h2>Starting Automated Captions<\/h2>\n<p>Once your meeting has started, participants may start captions at any time. Until it has been started by a participant, captions and the transcript will not be generated.<\/p>\n<ol>\n<li>From the meeting control bar, click the &#8220;Show Captions&#8221; button.<\/li>\n<li>Select the meeting&#8217;s language, then click Save. They can view captions as well by clicking the &#8220;Show Captions&#8221; button.<\/p>\n<h3>Starting Captions Automatically<\/h3>\n<p>If you would like to always show captions in meetings you host or participate in, you can configure your Zoom app to show them by default.<\/p>\n<ol>\n<li>Open your Zoom app&#8217;s settings.<\/li>\n<li>Navigate to the Accessibility section and check &#8220;Always show captions.&#8221;<\/li>\n<\/ol>\n<p><img loading=\"lazy\" src=\"\/tech\/files\/2023\/10\/zoom-always_caption-636x531.png\" alt=\"Screenshot of the Zoom app settings. To get the most out of a machine-generated transcript, consider the following tips:<\/p>\n<ul>\n<li><strong>Use a headset or dedicated microphone<\/strong>: Headsets, including the ones that come with most smartphones, or dedicated microphones produce clearer, louder audio than microphones built-in to a laptop. Higher quality speech input will result in more accurate transcripts.<\/li>\n<li><strong>Take turns or pause between speakers<\/strong>: Zoom will attempt to identify the speaker in the transcript, but rapid or overlapping conversation may result in misattribution. Taking time between speakers can improve accuracy.<\/li>\n<li><strong>Speak slowly<\/strong>: Speaking slowly can produce more accurate transcripts and allow readers to keep up with the pace of the meeting. Consider enabling <a href=\"https:\/\/support.zoom.us\/hc\/en-us\/articles\/115001286183-Nonverbal-feedback-during-meetings\" target=\"_blank\" rel=\"noopener noreferrer\">Nonverbal Feedback<\/a> so participants can indicate that they&#8217;d like the speaker to slow down.<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Automatic, real-time, captioning and transcription is now available from Zoom at no additional cost.
