The Process Applications group will review all group change requests and approve them. The current Group Manager will be on the public watch list for this request and will be notified about it. If the Group Manager is being changed, the new Group Manager will be on the public watch list for the request.<\/p>\n<p>If you want to make changes to specific staff access, please use the <a href=\"https:\/\/bu.service-now.com\/sp?id=sc_cat_item&amp;sys_id=bedf62f1dba3f700471a84eb0b961999&amp;sysparm_category=296ff05bdbc8c050471a84eb0b96199c\">Grant New Access<\/a>,\u00a0<a href=\"https:\/\/bu.service-now.com\/sp?id=sc_cat_item&amp;sys_id=69979e67db20c05053c1d77648961904&amp;sysparm_category=296ff05bdbc8c050471a84eb0b96199c\">Change Access<\/a>, or\u00a0<a href=\"https:\/\/bu.service-now.com\/sp?id=sc_cat_item&amp;sys_id=9882d17adb50c01053c1d776489619a3&amp;sysparm_category=296ff05bdbc8c050471a84eb0b96199c\">Revoke access<\/a>\u00a0forms.<\/p>\n<p>If you want to have a new assignment or resource group created or to change the name of an existing group, please log a ticket in ServiceNow directed to the Process Applications group. At this time we do not have a form to make those type of requests although one may be developed in the future.<\/p>\n<h3><a name=\"_Toc45887853\"><\/a>How to find the Update a ServiceNow Group Form<\/h3>\n<ul>\n<li><span>Navigate to the MyTechWeb portal: <\/span><a href=\"https:\/\/bu.service-now.com\/sp\"><span>https:\/\/bu.service-now.com\/sp<\/span><\/a><span><\/span><span>\u00a0<\/span><\/li>\n<li><span>Click on \u2018Get Help,\u2019\u00a0<\/span><span><\/span><\/li>\n<li><span>Click on Categories &gt;\u00a0\u201cIT Management\u201d\u202f\u00a0<\/span><span><\/span><\/li>\n<li><span> <\/span><span>Select the ServiceNow\u202fsubcategory\u00a0<\/span><span><\/span><\/li>\n<li><span>Select\u00a0<\/span><span>Update a ServiceNowGroup form <\/span><span>\u00a0<\/span><span>\u00a0<\/span><\/li>\n<\/ul>\n<p>If you cannot see this form, it is because you are not currently a group manager in ServiceNow.<\/p>\n<p><img loading=\"lazy\" src=\"\/tech\/files\/2020\/09\/above-filling-out-the-update-a-SN-group-rqst-heading-636x245.png\" alt=\"\" width=\"636\" height=\"245\" class=\"alignnone size-medium wp-image-131195\" srcset=\"https:\/\/www.bu.edu\/tech\/files\/2020\/09\/above-filling-out-the-update-a-SN-group-rqst-heading-636x245.png 636w, https:\/\/www.bu.edu\/tech\/files\/2020\/09\/above-filling-out-the-update-a-SN-group-rqst-heading-1024x394.png 1024w, https:\/\/www.bu.edu\/tech\/files\/2020\/09\/above-filling-out-the-update-a-SN-group-rqst-heading-768x295.png 768w, https:\/\/www.bu.edu\/tech\/files\/2020\/09\/above-filling-out-the-update-a-SN-group-rqst-heading.png 1147w\" sizes=\"(max-width: 636px) 100vw, 636px\" \/><\/p>\n<h3><a name=\"_Toc45887854\"><\/a><span>Filling out the Update a ServiceNow Group Request form\u202f<\/span><span>\u00a0<\/span><\/h3>\n<p><span>The\u202f\u2018Opened by\u2019 field will automatically be populated with your name.\u202f\u202f<\/span><\/p>\n<p><span>The\u202f\u2018Group Name\u2019\u202ffield may be updated with the name of any\u00a0ServiceNow group.<\/span><span>\u00a0<\/span><\/p>\n<p><span>The current group manager for the selected group will be automatically filled in and they will be added to the Public Watch List on the request so they will receive emails on any communication. \u00a0If any others should receive communication about this request, you may add them to the Public Watch List.<\/span><\/p>\n<p><span>To update the group manager, enter a name in the \u2018New Group Manager\u2019 field.\u00a0 Only staff members who already have ServiceNow access are available to select. The employee entered in this field will be added to the Public Watch List<\/span><span>.<\/span><\/p>\n<p><span>The group members are displayed, but they may not be updated on this form.\u00a0 To change group members, use the Add, Change, or Revoke ServiceNow Access forms.<\/span><\/p>\n<p><span>The \u2018Current Group Description\u2019 is displayed and may be updated in the \u2018New Group Description\u2019 field.\u00a0 If the new group description field is left blank the group description will remain unchanged.\u202f\u202f\u202fThese descriptions are an important reference for people selecting groups to assign tickets to and selecting groups to request access to.<\/span><\/p>\n<p><span>The \u2018Current Distribution Email\u2019 is displayed, if applicable.\u00a0 To update the distribution list address, enter an \u2018@bu.edu\u2019 address or you may remove the distribution email by selecting the \u2018Clear Distribution Email\u2019 checkbox.<\/span><span>\u00a0<\/span><span> These are only used in cases where you do not want all members of the group to receive ServiceNow notifications about new tickets arriving for the group. These email distribution lists are maintained outside of ServiceNow by the Service Desk.<\/span><\/p>\n<p><span>Click \u2018Submit\u2019 to send your request to the ServiceNow team.<\/span><\/p>\n<p><img loading=\"lazy\" src=\"\/tech\/files\/2020\/09\/above-how-a-update-gr-rqst-is-fulfilled-636x589.png\" alt=\"\" width=\"636\" height=\"589\" class=\"alignnone size-medium wp-image-131196\" srcset=\"https:\/\/www.bu.edu\/tech\/files\/2020\/09\/above-how-a-update-gr-rqst-is-fulfilled-636x589.png 636w, https:\/\/www.bu.edu\/tech\/files\/2020\/09\/above-how-a-update-gr-rqst-is-fulfilled.png 674w\" sizes=\"(max-width: 636px) 100vw, 636px\" \/><\/p>\n<h3><a name=\"_Toc45887855\"><\/a>How an Update to a ServiceNow Group Request is Fulfilled<\/h3>\n<p>Upon submission the Request Item is sent to the ServiceNow team (Process Applications group).\u00a0 If there are any question or comments, they can be discussed using the Activity on the Requested Item via <a href=\"https:\/\/bu.service-now.com\/sp\">the portal<\/a> or from the request item inside ServiceNow.
