{"id":131073,"date":"2020-09-28T16:38:36","date_gmt":"2020-09-28T20:38:36","guid":{"rendered":"http:\/\/www.bu.edu\/tech\/?page_id=131073"},"modified":"2021-04-21T13:16:42","modified_gmt":"2021-04-21T17:16:42","slug":"planning-public-meetings","status":"publish","type":"page","link":"https:\/\/www.bu.edu\/tech\/services\/cccs\/collaboration\/online\/zoom\/getting-started\/meeting-security\/planning-public-meetings\/","title":{"rendered":"Planning Public Meetings"},"content":{"rendered":"<p>When planning for public meetings, it&#8217;s important to balance access with control. <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/conf\/online\/zoom\/zoom-webinars\/\" target=\"_blank\" rel=\"noopener noreferrer\">Zoom Webinars<\/a> or <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/av\/webcasting\/\" target=\"_blank\" rel=\"noopener noreferrer\">streams<\/a> may not always be practical for times when you want high levels of interaction between your participants.<\/p>\n<h2><strong><span style=\"margin-right: 5px;\">1.<\/span><\/strong> Initial Considerations<\/h2>\n<p>Before scheduling your meeting, ask a few questions first:<\/p>\n<ol>\n<li><strong>Who are your participants?<\/strong> If this is an event for the BU community, you can <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/conf\/online\/zoom\/getting-started\/meeting-security\/meeting-authentication\/\" target=\"_blank\" rel=\"noopener noreferrer\">restrict access<\/a> accordingly.<\/li>\n<li><strong>How are you publicizing the event?<\/strong> If you plan to advertise via social media, consider linking to BU hosted web page or <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/conf\/online\/zoom\/getting-started\/meeting-security\/registration\/\" target=\"_blank\" rel=\"noopener noreferrer\">requiring registration through Zoom<\/a> or an event management platform.<\/li>\n<li><strong>Who can help you run the event?<\/strong> Having a co-host or two available to manage crowds and questions will help the event organizer focus on the content at hand.<\/li>\n<\/ol>\n<h2><strong><span style=\"margin-right: 5px;\">2.<\/span><\/strong> Scheduling the Meeting<\/h2>\n<p>When scheduling your meeting, look for and enable appropriate security options:<\/p>\n<ol>\n<li>Enable <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/conf\/online\/zoom\/getting-started\/meeting-security\/registration\/\" target=\"_blank\" rel=\"noopener noreferrer\">registration<\/a> so you can easily monitor attendance numbers and avoid publishing your meeting URL directly.<\/li>\n<li>Enable <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/conf\/online\/zoom\/getting-started\/meeting-security\/waiting-rooms\/\" target=\"_blank\" rel=\"noopener noreferrer\">Waiting Rooms<\/a> if not already on or required by your account. Using the option to automatically admit members of the BU community can help make large events manageable.<\/li>\n<li>Disable the ability for participants to join before the host.<\/li>\n<li>Enable <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/conf\/online\/zoom\/getting-started\/meeting-security\/meeting-authentication\/\" target=\"_blank\" rel=\"noopener noreferrer\">authentication<\/a> for your meeting. Use the &#8220;Boston University&#8221; option if all of your participants are members of the BU community. If not, add custom email domains, add an authentication exception for guest presenters, or use &#8220;Sign In to Zoom.&#8221;\n<ul>\n<li>Using authentication for a public meeting can discourage malicious participants from joining.<\/li>\n<\/ul>\n<\/li>\n<li>Designate an <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/conf\/online\/zoom\/getting-started\/alternative-hosts-and-co-hosts\/\" target=\"_blank\" rel=\"noopener noreferrer\">alternative host<\/a> who can assist with waiting room and security management.<\/li>\n<\/ol>\n<p>After scheduling your meeting, you can publish the event registration information on a web page, calendar, or social media post. <em>It is never recommended to post a meeting link, ID, and\/or passcode on social media directly.<\/em><\/p>\n<h2><strong><span style=\"margin-right: 5px;\">3.<\/span><\/strong> Hosting the Meeting<\/h2>\n<p>There are many elements to consider when hosting a public meeting. Maintaining a productive and safe environment will be a key to success.<\/p>\n<ol>\n<li>Familiarize yourself with the <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/conf\/online\/zoom\/getting-started\/meeting-security\/in-meeting-security\/\" target=\"_blank\" rel=\"noopener noreferrer\">In-Meeting Security Menu<\/a>, which provides quick access to many critical features:\n<ul>\n<li>Disable participants&#8217; ability to share their screens. Unsolicited screen sharing can be highly disruptive. If a select number of participants should be able to share, you can <a href=\"https:\/\/www.bu.edu\/tech\/services\/cccs\/conf\/online\/zoom\/getting-started\/alternative-hosts-and-co-hosts\/#cohost\" target=\"_blank\" rel=\"noopener noreferrer\">make them a co-host<\/a>.<\/li>\n<li>Disable the ability for participants to unmute their microphones or start their video if you have a panel of speakers. Much like screen sharing, unwanted audio and video can be disruptive.<\/li>\n<\/ul>\n<\/li>\n<li>Establish expectations.
