This one targets managers and payroll coordinators and demonstrates, using the <em>Employee Master Data &#8211; History Range<\/em> report, how to develop a list of employees who were hired or terminated during a particular period of time. More information about the sessions scheduled for the Charles River and Medical campuses follows below.<\/p>\n<p>In addition, the workshop unveiled in August,\u00a0<em>BUworks BW Reporting: Review of BW Basics<\/em>, continues to be popular, especially among employees who don&#8217;t use BW reports very often. If you fall into this category, I encourage you to join me for a review of basic BW concepts, including filtering and grouping data, and saving a custom View.<\/p>\n<p>I hope you find this issue of the Newsletter informative. Please <a href=\"mailto:wstewart@bu.edu\">let me know<\/a> if you have any questions, comments, or suggestions for future BW Newsletters<\/p>\n<p>Bill Stewart<\/p>\n<h2><span style=\"color: #800000;\"><strong>Reporting News<\/strong><\/span><\/h2>\n<p><strong>SRM: Vendor Payment Terms<\/strong><\/p>\n<p>A new Characteristic &#8211; \u00a0Vendor Payment Terms &#8211; has been added to the <em>Purchasing Document Lifecycle (<\/em>PDL) report. This new field shows the payment terms a vendor agreed to when they registered. When brought into the report, this Free Characteristic indicates values like &#8220;net 30,&#8221; (payment due with 30 days), &#8220;net 60&#8221; (<span>payment due with 60 days<\/span>) and &#8220;1% 10 days, Net 30.&#8221; (<span>payment due with 30 days; payment within 10 days will result in a 1% discount<\/span>).<\/p>\n<p><strong>HCM: Personnel Administration Folder Changes<\/strong><\/p>\n<p>This month and next we will be cleaning up the long and somewhat daunting list of reports in the Personnel Administration folder. The folder is\u00a0accessible only to Payroll Coordinators and Managers, so this news may or may not be of interest to you.<\/p>\n<p>The reports to be removed this month are all associated with hiring and\/or termination Actions. Based on an analysis of usage statistics, removal of these seldom-used reports will\u00a0affect only a small number of users, but what can you do if you need to view\u00a0activity related to hiring or termination Actions? We have two options for you:<\/p>\n<ol>\n<li>Refer to either of the\u00a0recently\u00a0published\u00a0Help Guides that contain\u00a0step-by-step instructions describing how\u00a0to use the <em>Employee Master Data &#8211; History Range<\/em> report to view either type of action. The Guides:<\/li>\n<\/ol>\n<p style=\"padding-left: 60px;\"><a href=\"https:\/\/www.bu.edu\/tech\/files\/2016\/10\/BW-How-to-View-Employee-Hires-Rehires.pdf\">How to View Employee Hires\/Rehires<\/a><\/p>\n<p style=\"padding-left: 60px;\"><a href=\"https:\/\/www.bu.edu\/tech\/files\/2016\/10\/BW-How-to-View-Employee-Terminations.pdf\">How to View Employee Terminations<\/a><\/p>\n<ol start=\"2\">\n<li><a href=\"http:\/\/www.bu.edu\/phpbin\/training\/register\/index.php?admingroup_id=22&amp;course_id=1793\">Attend a 90-minute instructor-led workshop<\/a> that will cover both Action types and the steps necessary to develop a hire\/rehire or termination report. Sessions have been scheduled in early November on both the Charles River and Medical campuses. If you have a question that you\u00a0believe would serve as a future newsletter tip\/trick, send me <a href=\"mailto:wstewart@bu.edu\">email<\/a>.<\/p>\n<p><span>Note: all of the Tips posted in BW\u00a0newsletters are <\/span><a href=\"https:\/\/www.bu.edu\/tech\/support\/buworks\/newsletters\/bw\/tips-tricks-archive\/\">archived on this page<\/a><span>.<\/span><\/p>\n<h3><strong>Understanding SRM Delta Values and Delivery Costs<\/strong><\/h3>\n<p>The questions: (1) How to understand the <strong>Delta Value<\/strong> Key Figure in the <em>Purchasing Document Lifecycle (<\/em>PDL) report, and (2) how can I view shipping costs?<\/p>\n<p>The approach: we will run the PDL to take a closer look at <strong>Delta Value<\/strong>. We can then use the <em>BU Spend (<\/em>BUS) report to examine delivery costs and will tie these to the Delta calculation.<\/p>\n<div id=\"attachment102105\" style=\"width: 659px\" class=\"wp-caption alignnone\"><a href=\"\/tech\/files\/2016\/10\/bw-newsletter-2016-oct-pdl.jpg\"><img aria-describedby=\"caption-attachment102105\" loading=\"lazy\" src=\"\/tech\/files\/2016\/10\/bw-newsletter-2016-oct-pdl.jpg\" alt=\"bw newsletter 2016-oct pdl\" width=\"649\" height=\"201\" class=\" wp-image-102105\" srcset=\"https:\/\/www.bu.edu\/tech\/files\/2016\/10\/bw-newsletter-2016-oct-pdl.jpg 921w, https:\/\/www.bu.edu\/tech\/files\/2016\/10\/bw-newsletter-2016-oct-pdl-636x197.jpg 636w\" sizes=\"(max-width: 649px) 100vw, 649px\" \/><\/a><p id=\"caption-attachment102105\" class=\"wp-caption-text\">Purchasing Document Lifecycle (PDL) sample output<\/p><\/div>\n<p>The <em>Purchasing Document Lifecycle<\/em>\u00a0report includes the <strong>Delta Value<\/strong> Key Figure (C), a calculation based on the difference between <strong>Purchase Order Value<\/strong> (A), the anticipated cost of items on a PO, and <strong>Invoiced Value<\/strong> (B), the amount recorded on the vendor invoice. As this example shows, there are several purchase orders for which the invoiced amount is greater than the expected purchase amount (D, E).<\/p>\n<p>One likely cause for this difference is shipping costs, which may not have been included in the purchase order value. To confirm that hypothesis, we need to run the <em>BU Spend<\/em> (BUS) report, as it is the only SRM report that contains delivery costs. Here\u2019s the BUS output corresponding to the purchase orders displayed in the PDL example:<\/p>\n<div id=\"attachment102104\" style=\"width: 765px\" class=\"wp-caption alignnone\"><a href=\"\/tech\/files\/2016\/10\/bw-newsletter-2016-oct-bus.jpg\"><img aria-describedby=\"caption-attachment102104\" loading=\"lazy\" src=\"\/tech\/files\/2016\/10\/bw-newsletter-2016-oct-bus.jpg\" alt=\"bw newsletter 2016-oct bus\" width=\"755\" height=\"208\" class=\" wp-image-102104\" srcset=\"https:\/\/www.bu.edu\/tech\/files\/2016\/10\/bw-newsletter-2016-oct-bus.jpg 991w, https:\/\/www.bu.edu\/tech\/files\/2016\/10\/bw-newsletter-2016-oct-bus-636x175.jpg 636w\" sizes=\"(max-width: 755px) 100vw, 755px\" \/><\/a><p id=\"caption-attachment102104\" class=\"wp-caption-text\">BU Spend (BUS) report sample output<\/p><\/div>\n<p>Our investigation shows\u00a0that the delta values for each of the PO\u2019s identified by (D) in the PDL results correspond to the delivery costs displayed in the BUS report. Take a closer look at PO 8500234215 (E), though. In this case, the $30 delivery cost doesn\u2019t match the $9.00 delta calculation. How else to explain the difference, then? Note that the BUS <strong>Invoice Amount<\/strong> (G) shows a value of $84. This reduced cost of the item plus shipping yields a <strong>Total Invoice Amount<\/strong> (F) that is $9 more than the anticipated PO amount. This agrees with the delta calculation. Keep this example in mind, as it demonstrates that a non-zero <strong>Delta Value<\/strong> does not always derive solely from shipping costs.<\/p>\n<h2><span style=\"color: #800000;\"><strong>End Notes<\/strong><\/span><\/h2>\n<h3><strong>Custom Training Sessions<\/strong><\/h3>\n<p>Have you ever thought that it would be really useful if you could get members of your department together with a trainer to focus on BUworks functionality that is specific to the work your department does?
