This is a list of items that seek to answer a spectrum of\u00a0 &#8220;how do I&#8230;.&#8221; questions raised by report users.<\/p>\n<h3><strong>Running a Report: Tips for Using the Variable Entry Screen<\/strong><\/h3>\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h2 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Entering Dates<\/h2><div class=\"bu_collapsible_section\" style=\"display: none;\"><br \/>\nHere\u00a0is something\u00a0that you may not know about: instead of entering date information in the long format that\u00a0SAP uses, you can enter dates using\u00a0simpler notation. Suppose you want to view all Internal Service Request (ISR) or Facilities Service Request (FSR) activity for a\u00a0Funds Center during a specified period. You know, I hope, that nearly all of the GL accounts associated with ISRs and FSRs begin with 89. Using this fact, you can run a report and specify <strong>GL \/ Commitment Item<\/strong> on the Variable Entry screen like this:<\/p>\n<p><a href=\"\/tech\/files\/2016\/08\/transaction_detail_isr_fsr.png\"><img loading=\"lazy\" src=\"\/tech\/files\/2016\/08\/transaction_detail_isr_fsr.png\" alt=\"transaction_detail_isr_fsr\" width=\"303\" height=\"176\" class=\"alignnone wp-image-101146\" \/><\/a><\/p>\n<p>All you need to do is enter 89, the first two digits of the GLs you seek, followed by a wild-card character (&#8220;*&#8221;). This specification\u00a0limits\u00a0report data to only GL account numbers that begin with 89, regardless of what characters follow these key digits. By the way, you can use this tip (or is it a trick?) when finding open commitments, as described in the previous tip.<br \/>\n<a href=\"\/buworks\/files\/2015\/06\/transaction_detail_isr_fsr.png\"><\/a><\/p>\n<p>Another example is this: suppose you want to see all supplies expenses. Examining the current list of GL account numbers posted on the Comptroller&#8217;s Resources page (<a href=\"http:\/\/www.bu.edu\/cfo\/comptroller\/resources\/\">http:\/\/www.bu.edu\/cfo\/comptroller\/resources\/<\/a>), notice that all numbers associated with supplies begin with 5100. Given that\u00a0pattern, you could specify this string in the <strong>GL \/ Commitment Item<\/strong> field on the Variable Entry Screen:<\/p>\n<p><a href=\"\/tech\/files\/2016\/08\/transaction_detail_supplies_gl.png\"><img loading=\"lazy\" src=\"\/tech\/files\/2016\/08\/transaction_detail_supplies_gl.png\" alt=\"transaction_detail_supplies_gl\" width=\"303\" height=\"186\" class=\"alignnone wp-image-101148\" \/><\/a><br \/>\n<\/div>\n<\/div>\n\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h2 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Create and use a Report Variant<\/h2><div class=\"bu_collapsible_section\" style=\"display: none;\"><br \/>\nDo you find that you frequently specify the same variable values when executing a BW report? By using a Variant, it is possible to save those variable values so they can be recalled, thereby avoiding the need to specify them again. Unlike a saved View (aka <em>favorite<\/em>), a Variant is available only to you and only to the report for which the Variant is created. Or have you needed to find all purchases that fall within a particular range of dollar amounts? Here is a video that provides two examples of adding calculations to a report: <a href=\"https:\/\/mymedia.bu.edu\/media\/t\/1_dlvlduvk\">BW How to &#8211; Create a Calculated Key Figure<\/a><\/p>\n<p><\/div>\n<\/div>\n\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h2 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Adding a Percentage Calculation to a Report<\/h2><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/p>\n<p>Did you know there is a BW built-in function that allows you to calculate the percentage one Key Figure represents relative to another Key Figure? To learn how, consider the example below (if you prefer watching a video, you can see this same example demonstrated in <a href=\"https:\/\/mymedia.bu.edu\/media\/t\/1_dlvlduvk\">this video<\/a>).<\/p>\n<p>Suppose you have run a report to view budgets and cumulative expenses (the screenshots in this example are based on the GM Budget versus Actual report, but the following steps can be applied in any situation in which you want to determine percentages). As you can see, the data in the report has been pared to the point where we see only budget amounts and corresponding expenditures. Imagine that we want to determine what percentage of each line item budget amount has been spent thus far this year.<\/p>\n<p style=\"padding-left: 60px;\"><img loading=\"lazy\" src=\"\/tech\/files\/2018\/09\/Buworks_BW_newsletter_grant_pct1.jpg\" alt=\"\" width=\"206\" height=\"120\" class=\"alignnone wp-image-116732\" \/><\/p>\n<p>Here are the steps to generate a new column (i.e., a Calculated Key Figure) showing the expenditures as a percentage of the budget:<\/p>\n<p style=\"padding-left: 60px;\"><img loading=\"lazy\" src=\"\/tech\/files\/2018\/09\/Buworks_BW_newsletter_grant_pct2-636x207.jpg\" alt=\"\" width=\"566\" height=\"185\" class=\"wp-image-116734 alignnone\" srcset=\"https:\/\/www.bu.edu\/tech\/files\/2018\/09\/Buworks_BW_newsletter_grant_pct2-636x207.jpg 636w, https:\/\/www.bu.edu\/tech\/files\/2018\/09\/Buworks_BW_newsletter_grant_pct2-768x250.jpg 768w, https:\/\/www.bu.edu\/tech\/files\/2018\/09\/Buworks_BW_newsletter_grant_pct2.jpg 865w\" sizes=\"(max-width: 566px) 100vw, 566px\" \/><\/p>\n<ol>\n<li>I want to place the new percentage Key Figure to the right of the Expenditures column, so I right-click on the <strong>Cumulative Expenditures<\/strong> Key Figure to display the context menu (the new column will placed to the right of the Key Figure I clicked on).<\/li>\n<li>Slide the cursor down to <em>Calculations and Transformations <\/em>and move right across <em>Formulas<\/em> to click on <em>New Formula<\/em> to display the <em>Formula Editor <\/em>window.<\/li>\n<\/ol>\n<p style=\"padding-left: 60px;\"><img loading=\"lazy\" src=\"\/tech\/files\/2018\/09\/Buworks_BW_newsletter_grant_pct4.jpg\" alt=\"\" width=\"363\" height=\"330\" class=\"wp-image-116737 alignnone\" \/><\/p>\n<ol start=\"3\">\n<li>Enter a <em>Description<\/em>. This will be the name of the new Key Figure<\/li>\n<li>In the <em>Available Operands<\/em> column, click on the expenditures Key Figure, <strong>FY 2019 Cum Expenditures Per 03<\/strong>,\u00a0to insert this data field into the <em>Formula<\/em> window<\/li>\n<\/ol>\n<p style=\"padding-left: 60px;\"><img loading=\"lazy\" src=\"\/tech\/files\/2018\/09\/Buworks_BW_newsletter_grant_pct5-1.jpg\" alt=\"\" width=\"236\" height=\"282\" class=\"alignnone wp-image-116744\" \/><\/p>\n<ol start=\"5\">\n<li>Click the yellow\u00a0<em>%\u00a0_A<\/em> button to insert the percentage operator into the <em>Formula<\/em> window<\/li>\n<li>Click on the <strong>Cum Budget<\/strong> operand. In those cases, you may\u00a0want to <span style=\"text-decoration: underline;\">show<\/span> one or more of those &#8220;hidden&#8221; metrics.<\/p>\n<p>Why might you want to <span style=\"text-decoration: underline;\">hide<\/span> a Key Figure? For that reason, it is worth taking a few minutes to examine\u00a0this command more closely.<\/p>\n<p style=\"padding-left: 30px;\">Virtually any report Characteristic can be filtered. For example, you can filter by:<\/p>\n<p style=\"padding-left: 60px;\">Account numbers or text associated with Funds Centers, Internal Orders, or G\/L&#8217;s,&#8230;<\/p>\n<p style=\"padding-left: 60px;\"><a href=\"\/tech\/files\/2016\/08\/bw_newsletter_filter_example_text_or_number.png\"><img loading=\"lazy\" src=\"\/tech\/files\/2016\/08\/bw_newsletter_filter_example_text_or_number.png\" alt=\"bw_newsletter_filter_example_text_or_number\" width=\"181\" height=\"153\" class=\" wp-image-101149 alignnone\" \/><\/a><\/p>\n<p style=\"padding-left: 60px;\">&#8230; detailed descriptions,&#8230;<\/p>\n<p style=\"padding-left: 60px;\"><a href=\"\/tech\/files\/2016\/08\/bw_newsletter_filter_example_text.png\"><img loading=\"lazy\" src=\"\/tech\/files\/2016\/08\/bw_newsletter_filter_example_text.png\" alt=\"bw_newsletter_filter_example_text\" width=\"179\" height=\"154\" class=\" wp-image-101150 alignnone\" \/><\/a><br \/>\n&#8230; or dates.<a href=\"\/buworks\/files\/2015\/07\/filter_example_text.png\"><br style=\"clear: both;\" \/><\/a><\/p>\n<p style=\"padding-left: 60px;\"><a href=\"\/tech\/files\/2016\/08\/bw_newsletter_filter_example_date.png\"><img loading=\"lazy\" src=\"\/tech\/files\/2016\/08\/bw_newsletter_filter_example_date.png\" alt=\"bw_newsletter_filter_example_date\" width=\"64\" height=\"119\" class=\" wp-image-101151 alignnone\" \/><\/a><\/p>\n<p>Once you have identified the Characteristic(s) to be\u00a0filtered, either of two types of filter can be applied:<\/p>\n<table>\n<tbody>\n<tr>\n<td><strong>Filter\u00a0Type<\/strong><\/td>\n<td><strong>Description<\/strong><\/td>\n<\/tr>\n<tr>\n<td>Inclusive<\/td>\n<td><span>Only those records that match the (one or more) parameters specified by the user are displayed. Filtering by inclusion is the default mode when applying a filter<\/span><\/td>\n<\/tr>\n<tr>\n<td>Exclusive<\/td>\n<td><span>Filter by exclusion: any record that matches the parameters specified is\u00a0<em>excluded<\/em> from the display, i.e., all records <\/span><em>except<\/em><span> those records that match are shown<\/span><\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<p>Furthermore, there are different ways to implement\u00a0a filter. A\u00a0common process involves right-clicking on a column heading (i.e., on the name of a\u00a0Characteristic) and setting up the filter, like this:<\/p>\n<p><a href=\"\/tech\/files\/2016\/08\/filter_long.png\"><img loading=\"lazy\" src=\"\/tech\/files\/2016\/08\/filter_long.png\" alt=\"filter_long\" width=\"277\" height=\"125\" class=\" wp-image-101153 alignnone\" \/><\/a><\/p>\n<p>In this case, you are\u00a0essentially saying &#8220;show me a list of all the values for <strong>Grant<\/strong> in my report. I will look through this list and select the value (or values) on which I want to restrict my view.&#8221; This is the <em>long form<\/em> of establishing a filter. The <em>shortcut forms<\/em> of filtering either by inclusion or exclusion are described in <a href=\"https:\/\/www.bu.edu\/tech\/support\/buworks\/help\/bw\/filter-shortcuts\/\">this video<\/a>.<\/p>\n<p>For an overview of filtering using any of these methods, refer to this\u00a0Help guide: <a href=\"\/tech\/files\/2015\/12\/BW-How-to-Filter-Report-Data.pdf\">BW How to &#8211; Filter Report Data<\/a>.<\/p>\n<p><span><\/div>\n<\/div>\n<\/span><\/p>\n<p><span><div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h2 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Organizing Report Data on the Basis of Column Position<\/h2><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/span><\/p>\n<p><span>The ability to organize data according to your needs is a powerful feature that every report user should be familiar with.\u00a0<\/span><span><a href=\"https:\/\/bostonuniversity.sumtotal.host\/core\/pillarRedirect?relyingParty=LM&amp;url=app%2Fmanagement%2FLMS_ActDetails.aspx%3FActivityId%3D7583%26UserMode%3D0\">This video<\/a> describes how to use column positions when organizing\/sorting data within a report.\u00a0<\/span><\/p>\n<p><span><\/div>\n<\/div>\n<\/span><\/p>\n<p><span><div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h2 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Using Swap to Operate on Two Characteristics Simultaneously<\/h2><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/span><\/p>\n<p>As an experienced user, you are probably\u00a0familiar with adding and removing Characteristics and Key Figures in a report. The process of creating and using a View is described in this <a href=\"https:\/\/BOSTONUNIVERSITY.sumtotal.host\/core\/pillarRedirect?relyingParty=LM&amp;url=app%2Fmanagement%2FLMS_ActDetails.aspx%3FActivityId%3D7789%26UserMode%3D0\">Video<\/a> and this <a href=\"\/tech\/files\/2015\/12\/BW-How-to-Save-and-Use-a-View.pdf\">Help Guide.<\/a><\/p>\n<p>When it comes to running one of your saved Views &#8211; if it contains a filter &#8211; it&#8217;s important to exercise care. Depending upon how the filter was applied, it&#8217;s possible your View may not display data added to the warehouse after you saved it. Consider these use-cases:<\/p>\n<p>1. Using the GM Budget vs. Actuals report, you create a View to display all of the active grants that you are responsible for. You can achieve this by setting a filter that excludes any grant with a closed status. In this case, your View will always show only your active awards; even if a grant is closed after the date on which you saved the View, the filter to exclude closed grants will correctly apply. That is, the filter you applied is <em>dynamic<\/em>.<\/p>\n<p>2. The technique outlined for identifying Concur data in a BW report includes a step in which all active Concur expense items are selected using a filter. If you save your customized report as a View, it will be based on a <em>static<\/em> list of account numbers. The next time you run your View, you must be careful to update the filter with Concur account numbers that are in effect at that time.<\/p>\n<p>The moral of the story? If your View contains one or more filters, you must be aware of whether those filters are static or dynamic. Thus, if you can run the report, you can view the organizational assignment of any member of the faculty or staff across the University. Here&#8217;s an important tip that should help with this problem: the <strong>Report Name <\/strong>field in a Concur report is\u00a0used to populate the <strong>Text<\/strong> field in the BW <em>Transaction Detail<\/em> report (this is the report used in the how-to guide mentioned previously). The <strong>Report Name<\/strong> field, then, is where you should add any descriptive text you will need to understand the purpose of an expense item when later reviewing data in your BW report. Refer to the Help Guide for full details on how to view Concur activity using a BW report.<\/p>\n<p><span><\/div>\n<\/div>\n<\/span><\/p>\n<p><span><div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h2 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">View Purchase Order Costs Distributed Over Multiple Cost Objects<\/h2><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/span><\/p>\n<p>Multiple items can be ordered via a single Purchase Requisition (PR). Furthermore, costs for those items may be spread across more than one cost object. For example, unrestricted departmental funds may be used to pay for some of the items and one or more grants may be used to pay for other items. For situations like this, how can a BW report be used to view the cost objects involved?<\/p>\n<p>One way to do this is to use the<span>\u00a0<\/span><em>Purchasing Document Lifecycle<\/em><span>\u00a0<\/span>(PDL) report located in the Procurement\/Guided BUying folder. In the screen shot below, the PDL report was run for a specific Purchase Order and the Free Characteristic<span>\u00a0<\/span><strong>PO Item Description\u00a0<\/strong>(<span style=\"color: #339966;\"><strong>A<\/strong><\/span>) was added to show the individual items in the PO. With these two Characteristics visible, it is now possible to see how the charges for these two items were split across three cost objects: a cost center (<strong>3<\/strong>) and two grants (1, <strong>2<\/strong>).
