Here\u2019s what you need to know to submit the necessary forms.<\/p>\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h5 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Form I-9<\/h5><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/p>\n<p>This form is required by the United States Citizenship and Immigration Services (USCIS), a Department of Homeland Security division. The Form I-9 is used to verify the identity and employment authorization of individuals hired for employment in the United States, as outlined in\u00a0<a href=\"https:\/\/www.uscis.gov\/i-9\" target=\"_blank\" rel=\"noopener noreferrer\">Form I-9 instructions<\/a>. All US employers, regardless of size, must properly complete Form I-9 for every individual they hire for employment in the United States.<\/p>\n<p><strong>Form I-9 Breakdown<\/strong><\/p>\n<p>The Form I-9 consists of two sections. Please note that international students must complete\u00a0<a href=\"https:\/\/www.bu.edu\/isso\/getting-started\/checking-in-with-isso\/\" target=\"_blank\" rel=\"noopener noreferrer\"><em>the Initial ISSO check-in<\/em><\/a>\u00a0and have a job offer for on-campus employment BEFORE completing Section 1 and 2 of the I-9 process.<\/p>\n<p><strong>Section 1<\/strong>\u00a0\u2013 Must be completed on or before your first day of employment. You\u2019ll be prompted to complete section 1 of the\u00a0Form I-9 on the JobX Student Job Board when you\u2019re offered a job.<\/p>\n<p>If you were offered a job and haven\u2019t received a prompt or you are not sure where to go, check out this\u00a0<a href=\"https:\/\/www.bu.edu\/seo\/files\/2025\/10\/Form-I-9-and-other-Employment-Forms-for-Students.pdf\" target=\"_blank\" rel=\"noopener noreferrer\">guide to completing the Form I-9.<\/a><\/p>\n<p><strong>Section 2\u00a0<\/strong>\u2013 Must be completed in person with a supervisor, department administrator or other Boston University Authorized Representative no later than three business days after your first day of employment. You\u2019ll be prompted to select the location where you\u2019ll be completing section 2 of the Form I-9. If you cannot complete section 2 with your hiring department, you may opt to visit the FirstPoint University Service Center, located at 881 Commonwealth Avenue, 2nd floor.<\/p>\n<p>Remember, section 2 must be done in person no later than three business days after your first day of employment. You must supply\u00a0<strong>original, unexpired<\/strong>\u00a0<a href=\"https:\/\/www.uscis.gov\/i-9-central\/form-i-9-acceptable-documents\" target=\"_blank\" rel=\"noopener noreferrer\">identification documents<\/a> to verify your identity and employment authorization. Federal Regulations prohibit the use of\u00a0<strong>any reproductions, including scans and copies,<\/strong>\u00a0of the original documents.<\/p>\n<p><strong>Domestic students typically provide one of the following options: <\/strong><\/p>\n<ul>\n<li>Option 1: US Passport OR US Passport Card<\/li>\n<li>Option 2: Drivers License\u00a0<em>and<\/em>\u00a0Social Security Card\n<ul>\n<li>Duplicate Social Security Cards can be requested from the <a href=\"https:\/\/www.ssa.gov\/number-card\" target=\"_blank\" rel=\"noopener noreferrer\">Social Security Administration<\/a>.<\/li>\n<\/ul>\n<\/li>\n<li>Option 3: BU ID\u00a0<em>and<\/em>\u00a0Birth Certificate<\/li>\n<\/ul>\n<p class=\"alert\"><span class=\"material-icons\">\ue002<\/span><strong> Failure to complete the I-9 within the designated timeframe will delay the hiring process and payment release.<\/strong><\/p>\n<p>&nbsp;<\/p>\n<p><strong>International students provide different documents depending upon their status: <\/strong><\/p>\n<ul>\n<li><strong>F-1 students<\/strong>should present a passport, I-20, and I-94\u00a0<strong>directly to their hiring manager\u00a0<\/strong>to complete the I-9 as part of the new hire process.<\/li>\n<li><strong>J-1 students sponsored by BU<\/strong>must\u00a0<a href=\"http:\/\/www.bu.edu\/isso\/employment-internships\/on-campus-student-employment\/obtain-isso-work-authorization\/#j1-on-campus\" target=\"_blank\" rel=\"noopener noreferrer\">request ISSO authorization<\/a>\u00a0for on-campus employment authorization by presenting a passport, DS-2019, and I-94 to the ISSO during regular business hours.<\/li>\n<li><strong>J-1 students sponsored by a third party (not BU)<\/strong>should present written authorization to work on the BU campus from their program sponsor in addition to a passport, DS-2019, and I-94 to the ISSO during regular business hours.<\/li>\n<li><strong>Students in all other non-immigrant categories<\/strong>should present documentation proving their identity and employment authorization to the ISSO during regular business hours. Documentation will vary depending on immigration status (see the\u00a0<a href=\"https:\/\/www.uscis.gov\/i-9-central\/form-i-9-acceptable-documents\" target=\"_blank\" rel=\"noopener noreferrer\">list<\/a>\u00a0of documents USCIS accepts for I-9 purposes).<\/li>\n<\/ul>\n<p><strong><a href=\"https:\/\/www.uscis.gov\/i-9-central\/form-i-9-acceptable-documents\" target=\"_blank\" rel=\"noopener noreferrer\">View the complete list of identification options. <\/a><\/strong><\/p>\n<p><\/div>\n<\/div>\n\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h5 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Social Security Number<\/h5><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/p>\n<p><strong>You\u2019re able to start working without a valid Social Security Number (SSN) in the Student Payroll system. <\/strong>However, for tax purposes, all student employees are required to have a valid SSN on file by the end of the calendar year. You can report your SSN to Student Payroll in one of three ways:<\/p>\n<ol>\n<li>Enter it into Section 1 of the Form I-9<\/li>\n<li>Provide it to your supervisor during the hiring process<\/li>\n<li>Give it directly to Student Employment in-person or electronically:\n<ul>\n<li><strong>In-person:<\/strong> Go to the FirstPoint counter at 881 Commonwealth Ave, 2nd floor with your Social Security Number card and BU ID.<\/li>\n<li><strong>Electronically:<\/strong> Send a secure email by visiting <a href=\"https:\/\/securecontact.me\/seo@bu.edu\" target=\"_blank\" rel=\"noopener noreferrer\">https:\/\/securecontact.me\/seo@bu.edu<\/a>. Please use your BU email address and the subject line: \u201cSSN Submission\u201d. The email message must include your full Social Security Number and UID. (Please do not share your SSN via regular email or phone).<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<p>Once Student Payroll has your SSN, your payroll file is updated for the duration of your time at Boston University. If you don\u2019t have an SSN on file by the end of the calendar year, your taxes may be affected\u2014and you could even receive a tax penalty.<\/p>\n<p>Supervisors and staff should refer to our information regarding <a href=\"\/seo\/payroll-coordinators\/policies\/ssn-sup\/\">students without Social Security numbers<\/a>.<br \/>\n<\/div>\n<\/div>\n\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h5 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Confidentiality and Privacy Agreements<\/h5><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/p>\n<p>Depending on the information you have access to during your employment, you may also be required to sign a\u00a0Family Educational Rights and Privacy Act (<a href=\"https:\/\/www.bu.edu\/reg\/academics\/ferpa\/\">FERPA<\/a>) Non-Disclosure agreement\u00a0and a\u00a0Student Employment Confidentiality agreement. These forms will be required during the hiring process and stored within Student Employment.<\/p>\n<p>Student employees must understand that any student information they obtain on the job must remain in the workplace. Students must not, under any circumstances, release student information to anyone unless their position specifically requires them to do so. In addition, students may not acquire student records information that is not relevant to their jobs.<\/p>\n<p><\/div>\n<\/div>\n\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h5 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Federal Work-Study Program Paperwork<\/h5><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/p>\n<p>For off-campus Work-Study positions, your hiring manager must complete an\u00a0<a href=\"\/seo\/off-campus-employers\/off-campus-work-study\/\">Off-Campus Work-Study Authorization Form<\/a>\u00a0and have it approved by the\u00a0<a href=\"https:\/\/www.bu.edu\/seo\/contact-us\">Off-Campus Payroll Coordinator<\/a>\u00a0before you can accept the job.<\/p>\n<p><\/div>\n<\/div>\n\n","protected":false},"excerpt":{"rendered":"<p>If this is your first time working at Boston University, you must complete pre-hire paperwork.
