Residence Life COVID-19 Operations Information

March 12th, 2020

The following email was sent in the afternoon of Monday, March 23, to students who had completed the Personal Belongings Storage and Shipping application:

Dear Student,

Thank you for your continued patience and flexibility. We understand all the inconvenience of this moment. We are reaffirming our commitment to provide packing, storage, and shipping services. Please note that our highest priority is to leave your room and personal belongings undisturbed.

During the week of, March 23, we will begin to enter all rooms and remove food, trash, and other perishable items.

UPS
Boston University has partnered with The UPS store. BU will only work with The UPS store for packing, shipping, and storage. If you previously selected another company to pack, ship, or store your personal belongings, BU cannot accept responsibility for those costs. After Monday, March 23, 2020 BU will work exclusively with The UPS store for shipping and storage options. Packing of rooms will be managed by a BU approved moving company, at our expense.

Room Keys
If you are away from campus and are still in possession of your room key, please return your key (via US Mail) to BU Housing, 25 Buick ST. Boston, MA 02215. Staff will be available to give you access to your room when you are able to return to campus.

Packing
If we receive public health recommendations and requirements to use your room, we will pack and remove your belongings, and we will attempt to contact you, via the information you have given us, to discuss how you want to handle your personal belongings.

This is how we will pack, store, and/or ship your personal belongings:

1. Packing and shipping services are available through The UPS store.

2. If you have a roommate or suitemates, we will ask you to provide a brief inventory and description of your personal belongings, and we will make a best effort to separate them and pack the entire room, clearly labeling the boxes for storage.

a. We will provide storage until such time that BU resumes normal operations – when that occurs, we will provide instructions on the next steps to retrieve your personal belongings. Or you can elect to have your personal belongings shipped to an address in the continental United States. Please note that if you choose to ship, this process may take some time and will be subject to state and local governmental restrictions. Large items cannot be shipped, and will be stored.

3. Single room dwellers (apartments and suites) will have their room’s personal belongings packed and stored. Common area kitchen and living room items will be packed for the entire room and placed in storage.

a. We will provide storage until BU resumes normal operations – when that occurs, we will provide instructions on the next steps to retrieve your personal belongings. Or you can elect to have your personal belongings shipped to your domestic address. Please note that if you choose to ship, this process may take some time. Items from common areas cannot be shipped and will be stored. Please note that if you choose to ship, this process may take some time and will be subject to state and local governmental restrictions. Large items cannot be shipped, and will be stored.

4. If you are in a single room, we will pack your personal belongings and place them in storage until BU resumes regular operations – when that occurs, we will provide instructions on the next steps to retrieve your personal belongings. You may also elect to have your personal belongings shipped to an address in the continental United States. Please note that if you choose to ship, this process may take some time and will be subject to state and local governmental restrictions. Large items, cannot be shipped and will be stored.

Storage
BU has partnered with The UPS store to provide free storage for all residential students who chose to store their personal belongings through The UPS store. Please follow the link to make your storage arrangements.

Shipping outside of the Continental United States
International shipping is not available due to governmental restrictions. We will pay for the shipping of your personal belongings to an address within the continental United States (US address). Students with permanent international home addresses may choose to ship their personal belongings to a US address or choose storage at this time.

Safes and Micro-fridge Rentals
If you have rented a safe from BU Vending Services, your safe will be removed from your room and placed in locked storage until you return to campus. You will be refunded the unused portion of your Safe rental.

Your Micro-fridge will be emptied, cleaned, and returned to BU Vending Services. You will be refunded the unused portion of your Micro-fridge rental.

Mail and Packages
Our mailrooms will forward first-class mail and packages received via USPS to your permanent address. It may take several weeks for items to reach their destination. Once items leave the mailrooms, we no longer can track the mail or packages. To track your USPS package, please direct questions to USPS. Additionally, we are unable to forward items received by other carriers (e.g., FedEx, UPS, etc.), and we will return them to the sender.

Insurance
The UPS store automatically provides $300 of insurance coverage for each box. You may choose to purchase insurance for $3.00 for each $100 of additional coverage through The UPS store.

The following email was sent to all students in residence on the evening of Wednesday, March 18:

Dear Student –

Your questions throughout the day have helped us form this message with guidance for you as you make a decision about moving out or requesting to remain on campus.

For students who are not on campus, we advise the following – please do not return to campus. Your belongings are secure in your room and can remain there. Please log in to My Housing Portal and fill out the Personal Belongings Storage Information application. We will be in touch shortly to organize a conversation about shipping or storage at our cost.

For students on campus and moving out, we advise the following – please take only those essential belongings that you need and can easily carry with you when you depart. Your remaining items are secure in your room. Please log in to My Housing Portal and fill out the Personal Belongings Storage Information application, and we will be in touch shortly to organize a conversation about shipping or storage at our cost.

On campus, students who are moving out also have the option to work with our partner, the UPS Store, if they wish to box, store, or ship their possessions prior to departure.

For students who are awaiting a response to their appeal to remain on campus, the University will respond within 24 hours.

Deep apologies for any confusion. As Dean Elmore mentioned in an earlier message, we will be flexible with your schedule.

The following was sent on the morning of Wednesday, March 18, 2020, to all students in on-campus residences.

Dear Student,

President Brown has asked all of our undergraduate students to leave Boston University residences by Sunday, March 22, or sooner if possible.

In order to check out of your residence, please follow these steps:

  • Remove all of your belongings from your residence.
  • Update your home mailing address on the Student Link under Personal Information. If you receive your mail via USPS, update your information online at http://www.usps.com.
  • Return your residence key(s) to your Residence Life office by Sunday, March 22, 2020. The Residence Life offices are open 9 am to 5 pm, weekdays, to accept keys. At all other times, please place your keys in a key envelope; write your name, BUID number, and campus address (building name or street address, and room number) on the outside of the envelope; and drop your keys in the key drop box at your residence office. A supply of key envelopes is available outside each Residence Life office.

Through Sunday, March 22, the University’s parking lots and garages will be open and free to parents and family members of students who are moving out.

If you are currently on the Boston campus and are in need of assistance with shipping items elsewhere, Boston University partners with The UPS Store on storage and shipping. Details are available here.

If you are unable to remove your belongings and are interested in a mailing about packing and storage at a later date, please log into the My Housing Portal and complete the Personal Belongings Storage Information application. You can mail your keys to BU Housing, 25 Buick Street, Boston, Massachusetts 02215.

We have developed an appeal process for those who have extraordinary, extenuating circumstances that make vacating the halls by March 22 impossible. Students may submit their appeal request via this link, and a staff member will respond to your inquiry as soon as possible.
