On this page, you will find a few tips to help you build a strong partnership with your new hire, help them become a successful member of your team, and to have a great first year at BU.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">It is important to note that the tips below are suggestions. Please customize your approach depending on the scope of the new hire\u2019s responsibilities and your team\u2019s structure. However, what is vital is that you take the time to build a partnership with your new hire, facilitate relationships with team members, and support their engagement with the BU community.<\/span><\/p>\n<p><strong><div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h3 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Before They Start<\/h3><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/strong><\/p>\n<p><span style=\"font-weight: 400;\">Transitioning to a new job and Institution can be both exciting and overwhelming. While the Human Resources team at BU will provide an orientation to your new hire, here are a few things you can do to prepare for your new hire.\u00a0\u00a0\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Review information on the <a href=\"https:\/\/www.bu.edu\/hr\/manager-resources\/onboarding\/\" target=\"_blank\" rel=\"noopener noreferrer\">HR website<\/a> related to onboarding your new hire<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Start the process for obtaining the necessary equipment and software<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Start the process for getting them an ID and necessary access to buildings as needed<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Check-in with them to ensure they are completing the onboarding process and if they have questions<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Prepare your team<\/span><span style=\"font-weight: 400;\">. Invite them to be part of the welcome process<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Invite your new hire to explore the <\/span><a href=\"https:\/\/www.bu.edu\/odl\/what-we-offer\/new-hire-resources\/\"><b>New Hire \u2013 Great Place to Start<\/b><\/a><span style=\"font-weight: 400;\"> page on this site<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Identify a \u2018buddy\u2019. This can be a member of your team who can help answer questions, take them out to lunch on their first day, and help them become oriented to the Institution<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">If your new hire will have remote work arrangements, <a href=\"https:\/\/www.bu.edu\/hr\/lifebu\/remote-work\/\" target=\"_blank\" rel=\"noopener noreferrer\">review these tips<\/a> to help you onboard them successfully<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">If the new employee will be on-site, even partially, plan for team members to be available to welcome, onboard, and meet them<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Prepare materials to provide on new hire\u2019s first day, such as an organizational chart, mission, and values statement, list of important names, and contacts, and a \u2018who to call if\u2026\u2019 list, and any other information pertinent to their role. <a href=\"\/odl\/files\/2023\/07\/Acronyms-and-Common-Terms-New-Hire.pdf\" target=\"_blank\" rel=\"noopener noreferrer\">Download the BU Acronyms &amp; Terms<\/a> list and feel free to add your unit-specific information to it.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Prepare their physical space. Ensure their phone is set up and instructions are available for setting up their voicemail. Provide a few office supplies to get them started\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Include items to help them feel welcomed, such as a card signed by all members of the team, flowers, or BU swag, depending on the team budget<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Send an introductory email to your team and to key departments that the new hire will work closely with. Include their bio and photo<\/span><\/span><strong><\/div>\n<\/div>\n<\/strong><\/li>\n<\/ul>\n<p><strong><div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h3 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">During Their First Ninety Days<\/h3><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/strong><\/p>\n<p><b><i>Partner with Your New Hire<\/i><\/b><\/p>\n<p><span style=\"font-weight: 400;\">The first day and weeks are an excellent opportunity to help your new hire feel welcomed, inspire them, and help them become engaged not only with your department but also with the larger Institution. Plan to spend time with your new hire:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Provide an onboarding schedule with details for meetings and tasks for the first few days and weeks<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Support to complete any paperwork<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Review the functional area \u2013 its purpose, organizational structure, and goals<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Share how your department\u2019s work impacts and adds value to the Institution<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Review their job description, the outline of tasks, and expectations; explain how their role fits into the work of the department and how they will add value. Share details and check for understanding and clarity<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Share how you like to communicate \u2013 be as specific as possible. Let them know when and how they can access you<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Schedule ongoing check-in meetings \u2013 this might be weekly at first and then bi-weekly or monthly. Regardless of your preference, ensure new hire knows when and how they can access you between meetings<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Share information about staff meetings and regularly scheduled activities, how the team manage, communicate, coordinate, and share calendars<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Provide information on the platforms (ex. Slack, Zoom, WebEx, Trello, Outlook MS Teams, etc.) your team uses to communicate and connect. <\/span><span style=\"font-weight: 400;\">Offer training on the use of tools if necessary<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Clarify when remote employees must be online and available and which forms of communication require an immediate response and which are less urgent<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Discuss how meaningful feedback will be shared and the best way for the new hire to provide feedback and ask questions<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Explain your process for goal setting and how you review performance. Explain what success will look like as clearly as possible<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Schedule the three- and six-month performance check-in. This should be in addition to and separate from your ongoing check-ins<\/span><\/li>\n<\/ul>\n<p><b><i>Help them Build Relationships with the Team<\/i><\/b><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Review your department organizational chart with new hire<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Schedule meetings with team members and other key employees<\/span>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Plan for meetings with key members of the team and cross-functional partners<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Plan an informal meet and greet to allow team members to get to know the new hire. If your team is hybrid\/remote, please schedule virtual meetings or plan for everyone is on-site that day<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Prepare Your Team:<\/span><span style=\"font-weight: 400;\">\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">In addition to preparing for the new hire, prepare your team. When new people enter a team, this often creates a change in team structure and might even impact the roles of existing team members. Taking the time to help your team will result in better team relationships in the future.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Share how new hire\u2019s expertise and strengths will add value to the team\u2019s work<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Clarify any change in roles or expectations for existing members because of the new hire\u2019s role<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Invite team members to share their concerns and provide clarity and reassurance. Be open and honest<\/span><\/li>\n<\/ul>\n<p><b><i>Invest in Their Professional Development<\/i><\/b><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Provide role-based training<\/span>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Identify which colleagues and central departments are available to answer questions and provide support while new hire is training<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Follow up and ask how you can support them to practice what they learned<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Explore the <\/span><a href=\"https:\/\/www.bu.edu\/odl\/what-we-offer\/\"><span style=\"font-weight: 400;\">What We Offer<\/span><\/a><span style=\"font-weight: 400;\"> section to learn more about the learning opportunities available to your new hire and provide suggestions<\/span><\/li>\n<\/ul>\n<p><b><i>Help them Engage with the BU Community<\/i><\/b><\/p>\n<p><span style=\"font-weight: 400;\">Employees feel most fulfilled at work when they feel connected and included in the community and larger Institution. We are all in this together. You can help BU achieve the Community, Big Yet Small pillar of the Strategic Plan 2030.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">To meet the goals outlined in this plan, BU has launched many initiatives and created spaces and programs to help all employees find the right community. Ensure your new employee has information about these opportunities. You have an opportunity and responsibility to help them continue to feel successful in their role but also feel inspired to chart their career at BU.<\/span><\/p>\n<h4><b><i>Partner with Your New Hire<\/i><\/b><\/h4>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Prepare for the\u00a0annual performance review\u00a0process and discuss:<\/span>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Their experience at BU to date<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Check if the role met their expectations. Share your near term and long term vision and strategy for the department and their role\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Share accomplishments and successes\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Acknowledge their strengths and share areas for growth<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Ask how you can continue to support them.
