The General Manager is the executive responsible for the strategic and day-to-day operation of all aspects of Events & Conferences. Provide the vision and leadership to plan and direct high quality events and conferences with specific emphasis on balancing the priorities of supporting University institutional events and adding new business to the current portfolio. The General Manager also provides high-level leadership and direction to the staff responsible for the Tsai Performance Center.

The Client Services Manager will design custom registration sites, websites, and housing reservation sites for internal and external clients. The position will also coordinate the general client/program needs for summer overnight accommodations and year-round conferences, including creation of proposals and contracts, arranging and execution of services, and financial reconciliation. The position is responsible for crucial marketing and client services functions with Events & Conferences, including the creation and administration of client satisfaction surveys, gift campaigns for clients and service providers, social media, and email marketing. Provide general oversight of the Events & Conferences website and other software as needed. Manage up to 4 student employees, including hiring, training, scheduling, while providing day-to-day supervision, guidance, and support.

Serve as a primary contact for events and conferences including summer housing programs for University and non-University clients. Coordinate, arrange and support at all stages of event planning and execution. Develop and oversee preparation of proposals, contracts, event diagrams, and printed/published event materials. Advise clients on, event set-ups, menus, budget, timelines and other logistics. Establish and maintain collaborative relationships with University and non-University vendors while making negotiations and arrangements both in planning and as an onsite liaison during events. Provide exceptional customer service as a resource and guide for new and returning clients to ensure the overall success of each program.

Reporting to the Associate Director of Finance & Administration, this position is responsible for the day-to-day execution of business and administrative activities for the department. Responsibilities include: process and audit billing for external and internal clients; track, analyze, and report on departmental revenue and expenses as well as event-related data; coordinate student payroll processing including budgeting, hiring, and weekly approval; serve as a departmental resource regarding Sourcing and Accounts Payable; and assist other areas of the department with routine duties as needed.

Serve as the front-line point of contact for conference and event inquiries that come in via phone, email, webform, and third-party sites. Assess and analyze requests to proactively anticipate needs, provide proposals, and coordinate the locations and services. Create, track, and monitor reports on past and current inquiry requests. Execute site tours. Fully coordinate a limited number of programs annually from inquiry to financial reconciliation. Assist with sales & marketing initiatives. Manage and collaborate with student employees. As needed provide support to other areas within Events & Conferences such as Commencement, registration, and summer conference housing.

Student Staff

Our team is made stronger by the students that work with us. We are now hiring to fill positions in our Summer Conference Housing program.

Summer Conference Housing Program hosts more than 15,000 overnight guests in our residence halls each summer. E&C employs a large student staff that plays an integral role in ensuring that our guests receive quality service while staying on campus. Hiring is now closed for positions to join our Summer 2022 team.

Summer Office Positions are available to support Event and Registration Services. E&C employs several students that work primarily in our office at 925 Commonwealth Ave. as well as onsite at events, conferences, housing check-ins, or registrations. Work hours are typically Monday-Friday between 9am-5pm but nights, early-mornings, and weekends will be required on occasion. On-campus housing is included with all full-time summer positions. Hiring is now closed for our Summer 2022 positions.

The Tsai Performance Center employs students each academic year as production assistants. Positions are part-time and available to current BU students, with or without work-study grants. Typically, hiring occurs at the beginning of fall semester, with additional staff hired at the beginning of spring semester. (more)
