COVID-19 Paid Absence

Updated March 31, 2021: The University replenished all staff members’ COVID-19 Paid Absence balances to 80 hours (prorated by work schedule) for all staff effective April 1, 2021.

In response to the COVID-19 pandemic, Boston University introduced a supplemental paid leave program for staff, providing up to ten (10) additional days of COVID-19 Paid Absence leave. You may use this paid leave time if you are unable to work because of your own COVID-19 related illness, absence or other COVID-19 related disruptions that require you to care for immediate family members (including domestic partners and individuals who stand in loco parentis).

This program is designed to exceed Massachusetts COVID-19 Emergency Paid Sick Leave (H.3702).

These ten (10) COVID-19 Paid Absence (CPA) days are provided by Boston University in addition to your regular sick and vacation time.

  • Regular, non-temporary staff (non-faculty)
Reasons
  • You are sick with COVID-19 or COVID-19 symptoms.
  • You have received quarantine orders.
  • You are caring for a family member with COVID-19.
  • You are caring for a family member due to closure of daycare, school, or eldercare.
  • You are caring for family members who have received quarantine orders.
  • You require time off of work to receive a vaccination.
  • You are recuperating from side effects of a COVID-19 vaccination.
Process to Convert
Used Sick or Vacation Time
  • You may edit existing requests in Employee Self Service (ESS). You can access instructions here.
  • If you do not enter your time directly in ESS please contact your supervisor to request this conversion.
Process for Future CPA Requests
  • You will request the COVID-19 Paid Absence for up to 10 working days just as you would request Sick or Vacation absences in Employee Self Service (ESS). You can access instructions here.
  • If you do not enter your time directly in ESS please contact your supervisor to request this time.
Additional COVID-19 Special Pay
  • If your work requires you to be on-campus and you are placed on a mandated quarantine by Healthway, Human Resources will allocate up to 10 days of paid time through the COVID-19 Special Pay program (in addition to the COVID-19 Paid Absence program detailed above).
  • This time is not available for quarantines that are due to personal domestic or international travel.
Temporary Use of Sick or Vacation Time in Excess of Earned Hours
  • Effective June 1, 2020 CPA and COVID-19 Special Pay will replace the temporary use of sick or vacation time in excess of earned hours ( i.e. Negative sick and vacation time) for COVID-19 related absences

Time Available to Temporary Employees

Temporary employees are entitled to the same program, but with the following modifications:

  • These individuals will key regular hours worked on their timesheets (if hourly).
  • Managers should ensure that temporary employees do not exceed the entitlement under the law.
  • An employee who works 40 hours or more per week shall be provided 40 hours of COVID-19 emergency paid sick leave (entered as hours worked on their timesheet).
  • An employee who works less than 40 hours a week, but maintains a regular schedule with consistent hours per week, shall be provided COVID-19 emergency paid sick leave that is equal to the number of hours that such employee works per week, on average over a 14-day period of such regular schedule (entered as hours worked on their timesheet).
  • For an employee whose schedule and weekly hours worked vary from week to week, such employee shall be provided COVID-19 emergency paid sick leave that: (A) is equal to the average number of hours that the employee was scheduled to work per week over the 6-month period immediately preceding the date on which such employee takes the COVID-19 emergency paid sick leave, including hours for which such employee took leave of any type; or (B) if the employee did not work over such 6-month period, is equal to the reasonable expectation of the employee at the time of hiring of the average number of hours per week that the employee would normally be scheduled to work (entered as hours worked on their timesheet).
  • The COVID-19 emergency paid sick leave will not exceed $850 per week.
