Below you will find the Club Sports Handbook and other policies. If you have question or need clarification on any of our policies, please contact your advisor as soon as possible.
In addition, you’ll see all of the BU Club Sports forms that your club may need to submit throughout the year. Most forms can be submitted electronically (via an online form or email submission), but some must be filled out and delivered by hand to your advisor.
Along with Club Sports specific policies, participants are bound by general University policy which can be found here.

All players should be advised to read through the Club Sports Handbook. Remember, some polices may change throughout the year, so please check back to this page for initial guidance on managing your team.

These are the important dates for First Night Officer Trainings, Presidents’ Council Meetings, and Van Driver Trainings for the 2022-23 school year.

Boston University requires licenses for products featuring our name, logos, and other marks as a way to preserve our reputation as a center of academic excellence and outstanding athletic performance. This document will outline those vendors who have received licensing approval from the University. All CUSTOM Club Sports apparel produced by club sport teams should be done only by vendors on this list. If your item does NOT include BU logos – you do NOT need to adhere to this list. If you have any questions, please reach out to your Advisor.
For more information on all Boston University’s approved vendor use this Collegiate Licensing Company (CLC) webpage. Just type in “Boston University” in the “Pick A School” section then hit “Search” and you will be provide with the +130 University approved vendors.
Complete and deliver to the Club Sport Office along with your deposit.
Check Request Form
Complete and submit to your advisor. Must be accompanied by proper backup documentation (W-9, invoice, official league/tournament communication, referee payment form, etc).
Community Service Report Form
Fill out and submit this form when your team completes a community service event. Submit at least 2 photos (1 group picture) to your advisor via email.
Purchase Request Form
Complete and submit (along with invoice) to your advisor. Please remember, there is a 10-day deadline on purchase requests.
Van Travel Request Form
Complete and submit this form to email@example.com. The Club Sports Office will make every effort to accommodate your request. However, please note that PERD van usage is in high demand and we may not be able to accommodate all requests.
Charter Bus Request
If your club requires a bus (generally +30 members travelling), please fill out this form then contact your club’s advisor saying you submitted a request. Boston University has approved transportation vendors. It is important to submit any bus request to your club’s advisor, so your club is adhering to University guidelines as well as receiving the discounted member rate.
Airline Passenger Information Template
Complete and submit to your advisor or Direct Travel rep via email if traveling with 10 or more athletes using an airline’s group booking.
Travel Itinerary Template
Complete and submit to your advisor via email, or deliver to the Club Sports Office when picking up van keys.
This form is to be completed by new vendors and submitted either directly to your advisor by the vendor, or along with your Purchase Order or Check Request Form.
Official/Referee Payment Form
To be completed by game officials and a team representative and submitted to your advisor along with the Check Request Form and a W-9.
Facility Request Form
Complete and submit this form to your advisor via email two weeks or more prior to hosting an event in which participants are nonmembers of the University.
Equal Opportunity Office – Incident Report Form
Boston University encourages community members to report any acts in which they believe to be an incident of harassment, discrimination, or sexual misconduct. This form was developed to capture these reports.
