Office 2007 Rollout Communications
- Robin Whelton will communicate directly with the department’s director (or other designated personnel) approximately a week and a half before the proposed deployment date, outlining our plan and asking if the date is acceptable, and also asking them to inform their staff if it is. Included in the communication will be:
- information on Early Adopter feedback
- a list of Early Adopters in the director’s department
- information on the success of previous departmental deployments
- timing, subject lines, and sender information for communication that will be sent to involved staff (see below)
- a link to the Office 2007 resources page on the ESO website
- If the director/designee agrees to the deployment date, Robin will email Early Adopters in that department under the subject line “Office 2007 Deployment on <date>” to give them a heads-up on the deployment and ask them again to serve as low-level resources for their peers. It will be explicitly stated that Early Adopters are NOT expected to be the primary support for Office, and that they should steer their coworkers toward NetHelp if they don’t readily know the answer or if the issue is an actual malfunction.
- Approximately one week before deployment, César Spinola will email all staff whose computers will receive the upgrade, under the subject line “Office 2007 Deployment on <date>.” They will be given:
- instructions on what they need to do in advance of the upgrade
- a link to the resources page on the ESO site
- a list of Early Adopters in their department
They will be told that the Early Adopters are there for simple questions, but if they require further support, they should contact NetHelp through the usual channels.
- Three or four days before deployment, the deployment team leader will follow up with the director/designee to confirm that department staff are ready for and aware of the upcoming deployment.
- On the last business day before the deployment, César will send a reminder to the staff receiving the upgrade, under the subject line “Office 2007 Deployment This Weekend,” reiterating the points in the message from the previous week.
