Join us and take charge of your professional growth today!<\/p>\n<p>.<strong><\/strong><\/p>\n<p><!--  <strong>Professional Development<\/strong>\n\n\n<h4>Receiving<\/h4>\n\n\nReceiving is the first step in establishing physical accountability for equipment at Boston University. The process ensures that the correct equipment is received and is in good working order. Equipment received must be inspected and any errors within the shipment or defects with the equipment must be addressed in a timely manner to uphold warranty and liability claim timeframes.\nProcedure for receiving and checking equipment shipments:\n\n\n<ul>\n \t\n\n<li>Was the shipment delivered to the correct destination?<\/li>\n\n\n \t\n\n<li>Is there external package damage?<\/li>\n\n\n \t\n\n<li>Does the package contain all necessary documentation, such as a packing list?<\/li>\n\n\n \t\n\n<li>Is this the exact item described on the PO?<\/li>\n\n\n \t\n\n<li>Was the correct quantity of items shipped?<\/li>\n\n\n \t\n\n<li>If the invoice is included, is the correct dollar amount indicated?<\/li>\n\n\n \t\n\n<li>Are all components included?<\/li>\n\n\n \t\n\n<li>Are all items and components in good condition?<\/li>\n\n\n \t\n\n<li>Were any items received that were not ordered?<\/li>\n\n\n<\/ul>\n\n\n<span style=\"color: #993300;\"><strong>Note<\/strong><\/span>: Any discrepancies must be resolved. The Department Property Administrator should coordinate all efforts with the buyer, the Principle Investigator (PI), or the custodian, along with the manufacturer and\/or shipping company. Records for each purchase and delivery must be retained by the department's Property Administrator.\n\n\n<h4>Off-Campus Equipment<\/h4>\n\n\nIf an asset is to be located at a personal residence or other off-campus location, the address must be recorded within the Asset Accounting Module. Contact Property Management (PM) to have the equipment tagged if it is required to be quickly delivered to its final location (equipment should not be shipped directly from the vendor to a person\u2019s home).\n\nOn occasion, when it is impractical to ship the equipment directly to BU, fill out a <a href=\"\/cfo\/files\/2022\/06\/Tag-By-Mail-Form.pdf\" target=\"_blank\" rel=\"noopener noreferrer\">Tag-By-Mail-Form<\/a> and email the completed form and email the completed form to<a href=\"mailto:property@bu.edu\"> property@bu.edu<\/a>. Property Management will arrange the tagging of the equipment with the custodian or user of the equipment at the off-campus location.\n\nWhen equipment is located off -campus, 100% of its use must benefit Boston University or the sponsored project for which the asset was acquired. If the equipment will be off campus less than 30 days, recording the movement in a sign-out log will suffice.\n\n\n<h4>Tagging<\/h4>\n\n\nOnce an Asset ID number is assigned to capital equipment, a Property Management Administrator will affix a bar-coded label to the <strong>front of the item<\/strong>. When it is not possible to affix the label to an item, the label will be maintained on file within Property Management\u2019s office. Examples of these untagged assets are when:\n\n\n<ul>\n \t\n\n<li>Equipment is too small, sensitive, or fragile to affix the label<\/li>\n\n\n \t\n\n<li>Equipment or room can reach extreme temperatures which may destroy the label<\/li>\n\n\n \t\n\n<li>Equipment may get wet causing the label to fall off<\/li>\n\n\n \t\n\n<li>Equipment is inaccessible by PM or custodians<\/li>\n\n\n \t\n\n<li>Equipment is government owned and labeling is prohibited<\/li>\n\n\n<\/ul>\n\n\nThe label that is affixed is the equipment\u2019s identification tag. By attaching the label to the front of the equipment, PM, custodians, and users can identify the tag number quickly and efficiently, with minimal disruption to the workplace. BU has thousands of capital equipment items that must be inventoried biennially and proper tagging reduces the amount of reconciliation a Property Management Administrator has to perform.\n\n\n<h4>Utilization &amp; Storage<\/h4>\n\n\nProper care, handling, maintenance, and storage of moveable capital equipment are required to ensure maximum use and availability. When an asset is no longer needed by one department, it should be made available to other departments rather than storing or disposing of the item. BU utilizes equipment titled to government agencies that is received or acquired through sponsored awards. The utilization of these assets is only for the purpose of fulfilling the requirements of the award. These items must be kept in good condition and the department should provide normal maintenance and repair when necessary. <strong>These assets will be disposed of only as directed by the government agency<\/strong> . Federally funded equipment may be used on other federally sponsored projects with prior authorization by the government agency. Contact Property Management to obtain information on the proper usage of sponsored equipment.\n\n\n<h4>Damaged Equipment<\/h4>\n\n\nRisk Management handles all claims for assets that become damaged or lost. Insurance claims may only be fi led for items identified within the Asset Accounting Module. Information regarding procedures for fi ling claims can be located within the <a href=\"https:\/\/www.bu.edu\/cfo\/risk-management\/workers-compensation\/property-damage\/\"><span style=\"color: #993300;\"><span style=\"color: #000000;\">Property Damage<\/span><\/span><\/a> section of the Risk Management website.\n\n\n<h4>Consumption<\/h4>\n\n\nThe Department Property Administrator is responsible for monitoring the proper use and condition of capital equipment within their department\u2019s possession. For federally sponsored equipment, material consumption is considered to be unreasonable when consumption exceeds amounts supported by bills of material, material requirement lists, or similar material planning documents. If the federal government determines that consumption of federally sponsored equipment is unreasonable, the University department may be required to reimburse the sponsor.\n\n\n<h4>Movement<\/h4>\n\n\nMovement is considered the act of custodian change and\/or relocation to another room, building, or off-campus facility, and <strong>title remains with Boston University<\/strong>. If the accountability of an asset is changed between departments or custodians, but the asset does not physically move to another location, it is still classified as movement and documentation of the transaction should be retained. Once the Department Property Administrator approves of the movement of any equipment, Property Management must be notified to update records accordingly. Complete and email or mail a <a href=\"\/cfo\/files\/2022\/06\/Moveable-Capital-Equipment-Management-Form-.pdf\">Moveable Capital Equipment Management Form<\/a>\u00a0to Property Management and list the following information:\n\n\n<ul>\n \t\n\n<li>BU-Tag Number<\/li>\n\n\n \t\n\n<li>Manufacturer<\/li>\n\n\n \t\n\n<li>Model &amp; Serial Numbers<\/li>\n\n\n \t\n\n<li>Brief description of the item<\/li>\n\n\n \t\n\n<li>Old &amp; New Building and Room Numbers (if applicable)<\/li>\n\n\n \t\n\n<li>Old &amp; New Custodian (if applicable)<\/li>\n\n\n<\/ul>\n\n\nWhen a major move is planned (e.g., the entire department), the department should contact Property Management for assistance prior to the move.
