2023 at a Glance

January

  • January 4: Deadline to review Master’s student for January 2023 graduation.
  • January 6:  Deadline for RFs and TFs to be registered for Spring and hired in Student Employment.
  • January 10: First stipend payment of the semester for RFs and TFs.
  • January 17: 2023/2024 GRS Bulletin Program Page edits due.
  • January 20: If student withdraws or takes a LOA from spring semester on or before this date, 100% of tuition and fees will be refunded (refer to “bu.edu/reg/calendars/refund” for full schedule).
  • January 21: Spring 2023 Classes begin.
  • January 24: First non-service stipend payment of the semester (Dean’s Fellows, Dissertation Fellows). To ensure on time payment, make sure students are registered for Spring no later than 1/20/2020.
  • January 25: Official graduation date; Intent to Graduate Deadline for May 2020 Graduation.
  • January 28: Virtual Information Session for prospective master’s students.
  • January 31: Open Enrollment Deadline for Spring Only Student Health Insurance Plan (SHIP) coverage.

February

  • GRS begins collecting Spring TF Data and follow up on any outstanding data from the fall.
  • Spring GRAF and Lu Lingzi Scholarship will be announced.
  • February 3: Last Day to Add Standard Courses and Payment Deadline for New Students.
  • February 3: Spring payment deadline for new graduate students (Spring Admits). Their student account needs to be settled to avoid late fees.
  • February 12: Virtual Information Session for prospective master’s students.
  • February 13: Lu Lingzi Scholarship Application Deadline; nominations should be sent to the Assoc. Dean of GRS well in advance of this date.
  • February 15 (exact date TBD): GRS Summer Fellowship budgets for summer 2020 will be announced.
  • February 21: 2020/2021 GRS Bulletin Department Page edits due.
  • February 25: Last Day to Drop Standard Courses (without a ‘W’ grade) and Last Day to Change Standard Courses to Audit Status.
  • February 26: GRS Fin Aid will begin adjusting spring scholarships based on final registration data (will take approx. two weeks).

March

  • Outstanding Teaching Fellow Awards Call for Nominations.
  • GRS 3 Minute Thesis Competition.
  • The Campagna-Kervin fellowship will be announced.
  • March 1: Curriculum deadline for newly proposed ensuing spring courses.
  • March 1: Deadline for graduate students to apply for Federal Work Study for summer 2019
  • March 21: Spring GRAF Application Deadline.
  • March 29: Graduate Student Registration Opens for fall 2020 semester at 9AM.
  • March 31: Last Day to submit PhD admission offers for fall 2020 to GRS without needing prior approval from Dean Barman.
  • March 31 (exact date TBD): New tuition rates and fees for Academic Year 2020-21 will be announced.
  • March 31 (exact date TBD): International Students & Scholars Office (ISSO) will start sending out I-20s to international students.

April

  • Final Bulletin edit submission deadline to the central Bulletin Committee.
  • April 3: Last Day to Drop Standard Courses (with a ‘W’ grade).
  • April 3: Last Day to Hold PhD Final Oral Exam for May 2020 Graduation.
  • April 10: 2020/2021 GRS Bulletin course lists due.
  • April 10: Last Day for Submission of MFA Thesis/PhD Dissertation, Processing Fee, Signed Approval Page, PhD Exit Surveys and Contact Information Form for May 2020 Graduation.
  • April 15: Admissions response deadline given to all applicants with aid offer (based on the Council of Graduate Schools April 15 Resolution).
  • April 15: Deadline to submit Financial Aid forms (DARFs/SEAs) for summer 2020 to GRS (grsfdocs@bu.edu).
  • April 15 (exact date TBD): GRS will reach out to departments to schedule optional financial aid training.
  • April 15: Last Day to Take a Leave of Absence or Withdraw from the spring 2020 semester.
  • April 17: GRS course description updates are due for inclusion in the 2020/2021 Bulletin.
  • April 20: BA/MA application deadline for fall 2020 admission.
  • April 30: Last Day of Spring 2020 classes.

May

  • Outstanding TF Awards Ceremony occurs during the spring study period.
  • GRS Alumni Database is to departments/programs to be updated.
  • GRS will reach out to confirm any Incoming TFs and get names of continuing students who will be TFs for the first time in order to begin orientation planning and communication.
  • May 1: Deadline for graduate students to apply for Federal Work Study for Academic Year 2020-21.
  • May 11: Last Day to Submit Dissertation to ETD for Graduation in the next semester. Without registering for that semester; deadline to review tentative Master’s students for May graduation.
  • May 15: GRS PhD Hooding Ceremony.
  • May 19: May 2023 Graduation date.
  • May 20: Payment deadline for students who are registered in Summer I. Their student account needs to be settled to avoid late fees.
  • May 28:  Intent to Graduate Deadline for September 2020 graduation.

June

  • June 1: WebAdMIT configurations from programs due in early June for upcoming admissions cycle.
  • June 1: End of Fiscal Year approaching. Last day to request GRS Graduate Assistance and Graduate Allocation funding for Fiscal Year 2020.
  • June 1: 2020/2021 Bulletin goes live.
  • June 15: Deadline to submit Financial Aid forms (DARF, SEAs) for Academic Year 2020/21 to GRS (grsfdocs@bu.edu).
  • June 20 (exact date TBD): Student Employment rollover: service stipends (RF, TF, etc.) that were set up at the beginning of the summer with a start date in Summer I and an end date in Summer II will now have two records, one in Summer I with a June end date, and one in Summer II with a June start date. If you hire student for an additional job in Summer II, make sure that a job with the same code and a Summer II end date does not already exist in Summer II.
  • June 30: End of Fiscal Year 2020.

July

  • July 1: Start of Fiscal Year 2021.
  • July 1 (exact date TBD): GRS Graduate Assistance and Allocation budgets for Fiscal Year 2021 will be announced and sent to departments/programs.
  • July 1: Deadline for fall 2020 ISSO immigration processing (will continue to process but cannot guarantee student will arrive in time for semester start).
  • July 6: Payment deadline for students who are registered in Summer II. Their student account needs to be settled to avoid late fees.

August

Date TBD

  • GAAC Announced – This committee is comprised of DGS’ so it is possible that Dean Jeffries may reach out to see if a particular DGS is available to serve for the upcoming academic year.
  • August 4 (exact date TBD): Fall payment deadline for continuing students. Their student account needs to be settled to avoid late fees.
  • August 14: Last Day to Hold PhD Final Oral Exam for September 2020 Graduation.
  • August 17: Deadline for review of tentative Master’s September graduates.
  • August 20 (exact date TBD): The current admission cycle (spring 2024 & fall 2023) will close. Any application that is supposed to roll over to new cycle needs to be in deferral status.
  • August 21: Last Date for Submission of Thesis/Dissertation to ETD, Processing Fee, Signed Approval Page, PhD Exit Surveys and Contact Information Form for August 2023 Graduation.
  • August 22 and 23 GRS First time TF Orientations.
  • Summer Graduation date: August 25.

September

  • As early as possible in the new academic year (no later than November 1st) departments should submit any curriculum proposals – new degree programs (MA, MS, MFA, PhD, Grad Certs, etc.), changes to existing programs, new course proposals, or changes to existing courses – that they would like to take effect for the following Fall.
  • GRS begins collecting fall teaching fellow data.
  • September 1: Master’s and PhD Orientations
  • September 1: New admission cycle (spring 2024 & fall 2024) opens to applicants. Make sure everyone has access to Webadmit, email grs@bu.edu if you need to add user.
  • September 1 (the day before the semester start): Last day to waive the Sports Pass via the Student Link.
  • September 1: If student withdraws or takes LOA on or before this date 100% of tuition and fees will be refunded (refer to “bu.edu/reg/calendars/refund” for full schedule).
  • September 1: Deadline given to new admits to submit final, official transcripts.
  • September 1 (exact date TBD): International Students & Scholars Office (ISSO) Orientation for incoming students, refer to ISSO website for date & location.
  • September 5: Fall 2023 classes begin.
  • September 11: First stipend payment of the semester for RFs, TFs. To ensure on time payment, make sure students are registered for Fall and hired in Student Employment no later than 9/7/2023.
  • September 13: Graduate Student Resource Fair
  • September 16: Last Day for Students to Add Standard Fall 2023 courses.
  • September 16 (exact date TBD): Fall payment deadline for new graduate students (Fall Admits). Their student account needs to be settled to avoid late fees.
  • September 20: Open Enrollment Deadline for the Annual Student Health Insurance Plan (SHIP) policy. Last day to waive or upgrade insurance coverage.
  • September 25: First Payroll of the semester for non-service stipends (Dean’s Fellows, Dissertation Fellows). To ensure on time payment, make sure students are registered for Fall no later than 9/21/2023.
  •  September 25: New Teaching Fellow Breakfast.

October

  • Early in the month, fall GRAF will be announced in advance of the November 1st application deadline.
  • October 7: Last Day to Drop Standard Fall 2023 Courses (without a ‘W’ grade) and Last Day to Change Standard Courses to Audit Status.
  • October 8: GRS Fin Aid will start adjusting fall scholarships based on final registration data (will take approx. two weeks).

November

  • CAS & GRS Bulletin editing process begins – GRS Graduate Affairs Associate will email DGS’ to establish department/program bulletin coordinators and begin working with them to make updates and edits as necessary.
  • November 1: Fall GRAF Application Deadline; students will be notified of their award decision at the end of the month.
  • November 1: Curriculum deadline for newly proposed ensuing Fall Programs or classes, and changes to existing courses or programs.
  • November 6: Last Day to Drop Standard Fall 2023 Courses (with a ‘W’ grade).
  • November 15 (exact date TBD): Number of GRS funded fellowships for Academic Year 2023-24 will be announced.
  • November 15: Deadline for spring 2024 ISSO immigration processing (will continue to process but cannot guarantee student will arrive in time for semester start).
  • November 30: Deadline to submit Financial Aid forms (Aid Change Forms, SEAs) for spring 2024 (if not previously submitted) to GRS (grsfdocs@bu.edu).
  • November 30: BA/MA application deadline for spring 2024 admission.

December

  • December 1: Last Day to Officially Take a fall 2020 Leave of Absence or Withdraw.
  • December 4: Last Day to Hold PhD Final Oral Exam for January 2024 Graduation.
  • December 12: Last Day of Fall 2023 classes.
  • December 11: Last Date for Submission of Thesis/Dissertation to ETD, Processing Fee, Signed Approval Page, PhD Exit Surveys and Contact Information Form for January 2024 Graduation.
  • December 15 (exact date TBD): Spring payment deadline for continuing students. Their student account needs to be settled to avoid late fees.
  • December 15 (exact date TBD): Student Employment rollover: service stipends (RF, TF, etc.) that were set up from September through April at beginning of the academic year will now have two records, one in fall with a December end date, and one in spring with a December start date.
  • December 31: Deadline for students to request Fall Only Student Health Insurance Plan (SHIP) coverage if, in spring, they will not register (January graduates), or, if domestic, register as part-time or for less than 9 credits.
