Helpful Hints
- Academic Administrators (AAs) have access to UIS functions CC40/CC43 to add/update/change instructor names even after other UIS access to a semester has ended.
- Instructors must be officially linked to a section/class in UIS (CC40/CC43) to be able to view/access class list/Blackboard/etc; you will need to link new faculty after they have received a University ID.
- AAs also have access to CC21 to close open sections and open closed sections (generally for enrollment management) even after UIS access to a semester has ended.
- Send an email to schdform@bu.edu should you need a second name line added to a class (that is, to add an additional instructor) once UIS access to a semester has ended. Only the first instructor’s name will be visible on the Link.
- Use the “Add a Directed Study” form available here (under “Class Schedule”) to add classes at these levels: 401/402, 491/492, 699, 981-6. No scheduling (time/location) information is needed for arranged sections needed. These sections are always print suppressed.
General Guidelines on the Format of “Meets with” Comments in the Line Comments Section
- When two CAS classes meet together, such as AA207 and SO207, the note for SO207 A1 would read, “Mts w/AA207 A1.”
- When three CAS classes meet together, such as CH111 A1, CH 111 HP, and CH181 A1, the note for CH 111 A1 would read, “Mts w/CH111 HP & CH181 A1.”
- When two CAS classes (BI421 C4 AND CH421 C4), a GRS class (BI 621 C4) and a MET class (MET CH421 B4) meet together, the note for CAS BI421 C4 would read, “Mts w/CH421 C4, GRS BI621 C4 & MET CH421 B4.”
- When a CAS class meets with a GRS class or any class from another school), the note for CAS BI446 A1 would read, “Mts w/GRS BI646.”

How Can I Find a Student Population?
- Under Administrator’s Tools click “Select Student List by College”
- Name your search (e.g.: Classical majors not yet registered)
- Click on “by degree level and hegis”
- Click on “show additional options”
- From here, choose what options apply to the kind of search you wish to conduct (e.g. majors, eligible to register, entering freshman, etc.)
- Scroll back up to above the options and click on “Get population”
How Can I See the Number of CAS Students Registered As Orientation Progresses?
- Log onto the Faculty/Staff Link
- Under Administrator’s Tools click “Select Student List by College”
- Name your search (e.g.: Classical Studies majors not yet registered)
- Click on “By Degree Level and Hegis”
- Click on “Show Additional Options”
- Under Student Population, choose “Registered”
- Under “Choose”, select “Both”
- For Class years, you can either choose only “Freshman” or choose other years as well if you are interested in transfers
- “Clear All” for Graduate, Professional, and Medical
- Under Continuation Codes, choose “Entering Freshman” (and if you are interested in all students who may register in CAS this summer as transfers you can also choose “Intra-University Transfer” and “Transfer From Outside BU”)
- Scroll back up to above the options and click on “Get Population”
How Do I Download The Class Schedule from the Link?
- Log onto the Faculty/Staff Link
- Choose whether you wish to include course comments (for course evaluation purposes, “N” is better)
- Choose school (you will want to do this twice, once each for CAS and GRS)
- Check “Charles River Campus only” (this eliminates DRS and study abroad courses)
- Click on “Go”
- Excel spreadsheet will download to the location of your choosing
Note: You should re-save an Excel version of the document with a new title. If you edit the original download it may not save your edits.
How Can I Grant Course Access to Teaching Fellows?
As a reminder, if a TF is the person responsible for teaching a class/section and the section is for-credit (lecture, independent), you may list the TF as the person teaching the course. However, if the TF is assisting an instructor, please have the instructor grant the TF access using the instructions below.
The Office of Institutional Research is particularly rigorous in requiring of all academic departments that teaching fellow and research assistant names should not be attached to labs or discussion sections. The faculty member responsible for the Lecture is generally the only acceptable person to be attached to zero-credit course components (the exception being some very large courses in the sciences with numerous lab and pre-lab sections, which are taught by specific faculty).
Should you wish to grant TFs access to class information under the supervision of a faculty instructor, the faculty member should go to the Faculty & Staff section of the OUR website and follow the steps described here.
How Do I Know if Registered Students Are Available at an Alternative Time?

- Log onto the Faculty/Staff Link
- Under Administrator’s Tools click ‘Instructor’s Class List Matrix’
- Type in the ID number or last name of the instructor (for a class without an instructor you will need to temporarily assign someone)
- Click on the desired class
- The number in each block indicates the number of students with a conflict at that time if you are attempting to move a class to a new schedule.
