{"id":1458,"date":"2022-06-12T20:17:14","date_gmt":"2022-06-13T00:17:14","guid":{"rendered":"https:\/\/www.bu.edu\/asir\/?page_id=1458"},"modified":"2022-08-04T11:05:09","modified_gmt":"2022-08-04T15:05:09","slug":"guidelines-identity-data","status":"publish","type":"page","link":"https:\/\/www.bu.edu\/asir\/data-use\/data-usage\/guidelines-identity-data\/","title":{"rendered":"Standard for Storing and Using Name, Sex\/Gender, and Pronouns"},"content":{"rendered":"<p>These guidelines are for use by BU technical and client service owners responsible for all university technology services ranging from unit-specific applications to university-wide administrative systems, collaboration services and infrastructure.<\/p>\n<p>Standards are available for:<\/p>\n<ol>\n<li><a href=\"#Name\">Name<\/a><\/li>\n<li><a href=\"#Sex\/Gender\">Sex\/Gender<\/a><\/li>\n<li><a href=\"#Pronouns\">Pronouns<\/a><\/li>\n<li><a href=\"#Gender References\">Gender References<\/a><\/li>\n<\/ol>\n<p><strong>Scope<\/strong><\/p>\n<p>The collection of data covered by this Standard includes the items listed below. IS&amp;T Service Owners and Project Managers will be alerted as additions are made to it. Others who collect, store or use personal information for anyone in the BU Community should refer to this Standard often.\u00a0 Any service intending to customize identity information fields must contact the Identity Access Management service to discuss before enabling local customization.<\/p>\n<ol start=\"1\">\n<li><strong><a id=\"Name\"><\/a>Name<\/strong><\/li>\n<\/ol>\n<p>Boston University is committed to addressing people by the name they choose to be called, even when that is different from the name that appears on legal documents. To support this, BU Identity and Access Management services include a self-service feature for members of the BU Community to provide a Display Name.<\/p>\n<p><strong><u>Standard<\/u><\/strong>: \u00a0<span style=\"text-decoration: underline;\">Any BU Service or project that involves the use of Name for members of the BU community should use the &#8220;Display Name&#8221; field.\u00a0<\/span> Display Name should be obtained from the \u00a0IS&amp;T Identity and Access Management directly or via the IS&amp;T Integration service. If there is a legal\/regulatory or other business constraint that requires use of Legal Name, this must be requested in writing and approved by the Chief Data Officer. In cases where Legal Name is required to be stored and used, Display Name should still be accessed and\/or stored to support user interfaces and communications (not subject to the legal\/regulatory requirements cited above).<\/p>\n<p>Display Name should be labeled as such (or \u201cName\u201d) and not as \u201cPreferred Name\u201d, reinforcing and affirming self-identification among all members of the Boston University Community.<\/p>\n<p>Questions about this guideline can be directed to <a href=\"mailto:asirhelp@bu.edu\">asirhelp@bu.edu<\/a>.<\/p>\n<ol start=\"2\">\n<li><strong><a id=\"Sex\/Gender\"><\/a> Sex\/Gender<\/strong><\/li>\n<\/ol>\n<p>Boston University is an LGBTQIA+ affirming institution and strives to foster an inclusive experience to all members of its community. To that end, the BU Identity and Access Management service collects self-identified Gender Identity information from members of our community who choose to provide it.<\/p>\n<p><strong><u>Standard<\/u><\/strong>:\u00a0 All BU Service Owners and Project Managers are encouraged to examine and evaluate whether data describing a person\u2019s Sex or Gender is truly required to support business requirements. <span style=\"text-decoration: underline;\">Unless Sex or Gender is an integral part of the service provided, it should not be stored, used, or displayed.<\/span><\/p>\n<p>Any BU Service or project that does require Sex or Gender must use Gender Identity values collected via the IS&amp;T Identity &amp; Access Management service. If there is a legal\/regulatory or other business constraint that requires legal Sex, for example current reporting requirements instituted by health insurance partner companies, this must be requested in writing and approved by the Chief Data Officer. The BU Identity and Access Management service collects self-identified pronouns for members of our community who choose to provide them.<\/p>\n<p>Pronouns should be labeled as such and not as \u201cPreferred Pronouns\u201d, reinforcing and affirming self-identification among all members of the Boston University Community.<\/p>\n<p><strong><u>Standard<\/u><\/strong>:\u00a0 Any BU Service or project that has a business need to use Pronouns must obtain this information from the IS&amp;T Identity and Access Management or Integration service. \u00a0Questions about this guideline can be directed to <a href=\"mailto:asirhelp@bu.edu\">asirhelp@bu.edu<\/a>.<\/p>\n<ol start=\"4\">\n<li><strong><a id=\"Gender References\"><\/a> Gender References <\/strong><\/li>\n<\/ol>\n<p>As BU advances its data and communication systems to better reflect our diverse community, service owners should review any use of gender references such as salutation or descriptors that are derived from binary sex code.<\/p>\n<p><strong><u>Standard<\/u>: <\/strong>Wherever language or title is used that has been translated from sex code, the following replacements should be implemented:<\/p>\n<ul>\n<li>Where a legal requirement exists to use or display sex as opposed to gender identity, a blank sex code (neither male nor female) should be displayed as \u201cOther\u201d.<\/li>\n<li>Use of \u201cHim\u201d or \u201cHer\u201d should be replaced with a description of the person to whom the information display or communication is addressed (i.e., \u201cStudent\u201d in place of \u201cson\u201d or \u201cdaughter\u201d; \u201cEmployee\u2019s\u201d instead of \u201chis\u201d or \u201chers\u201d).<\/li>\n<li>Do not use gendered titles (Mr., Mrs., Ms., etc.) that have been derived from a binary sex code.\u00a0 Instead, use first and last Display Name as the salutation.<\/li>\n<\/ul>\n<p>Questions about this guideline can be directed to <a href=\"mailto:asirhelp@bu.edu\">asirhelp@bu.edu<\/a>.<\/p>\n<p>&nbsp;<\/p>\n<p>These guidelines have been developed and approved in consultation with the Strategic Information Group.\u00a0 Please send any questions to <a href=\"mailto:asirhelp@bu.edu\">asirhelp@bu.edu<\/a>.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>These guidelines are for use by BU technical and client service owners responsible for all university technology services ranging from unit-specific applications to university-wide administrative systems, collaboration services and infrastructure.
