Job: Administrative Manager for Choral Music
The Administrative Manager for Choral Activities program under the Office for the Arts (OFA) provides administrative and student support. The position manages the administrative, production, and financial management of the Harvard Choral Program and reports to the Office for the Arts Director of Choral Activities (DCA). The position will work closely with OFA Choral activities colleagues, with three professional pianists on staff and the OFA central admin and finance leadership.

RESPONSIBILITIES INCLUDE:
Student Mentoring
- Trains, advises and oversees the student leaders of the Harvard Choruses in their assigned choral management tasks (including concert production, financial management, marketing, alumni relations, and tour planning, among other tasks);
- Supports the managerial work of the Holden Voice Program, Cambridge Common Voices, Harvard Choruses New Music Initiative, and Kuumba Singers;
- Assists with concert production (8-10 performances per year), annual auditions, community engagement, recording, and broadcast;
- Elevates diversity, equity, inclusion, and belonging as core values of the choral program.
Choral Activities Program Administration
- Serves as the primary contact for the choral program (media, prospective students, alumni, University Libraries, Dean of Students Office, Media Production Center, among others)
- Develops and implements marketing, promotion, and communication strategies for the Harvard choral program including website design, social media content, and bi-annual newsletters
- Contracts and hosts professional artists for guest performances, residencies, and commissions
- Manages recruitment and hiring of choral support staff including preparing offer letters and preparing monthly payroll documentation
- Curates the Harvard Choruses choral library and oversees the choral office space
- Provides administrative support for the Director of Choral Activities
Financial Management
- Oversees the Office for the Arts’ Choral Activities program budget as well as the financial administration for the Harvard-Radcliffe Chorus, an OFA-sponsored community ensemble
- Works closely with DCA and central OFA Admin and Finance leadership on program budget planning and submission, monitoring restricted choral fund balances, budget, and actual expenses, and ensures accurate program expense allocations
- Manages program business operations including the timely processing of payments
- Assists with external and internal grant writing and fundraising support.
BASIC QUALIFICATIONS:
Undergraduate degree and a minimum of three years of relevant experience in the nonprofit sector, such as managing artist personnel, concert production, venue management, concert promotion, fundraising, budget planning, audience development, or comparable arts management. Strong administrative, organizational, and communication skills.
ADDITIONAL QUALIFICATIONS AND SKILLS:
- Master’s degree in arts management or an artistic field preferred.
- Experience in creating and monitoring budgets
- Experience in student support and/or engagement
- Knowledge of financial systems preferred.
- Ability to proactively set priorities among multiple tasks and lead projects independently.
- Proficient in Microsoft Office and Google Suite
WORKING CONDITIONS:
The position has the potential for a hybrid schedule during times. During the academic year, there are frequent weekend obligations that will require the position’s presence.
