{"id":330,"date":"2025-02-19T12:18:49","date_gmt":"2025-02-19T17:18:49","guid":{"rendered":"https:\/\/www.bu.edu\/aida\/?page_id=330"},"modified":"2025-10-28T16:40:52","modified_gmt":"2025-10-28T20:40:52","slug":"administrative-processes-task-force","status":"publish","type":"page","link":"https:\/\/www.bu.edu\/aida\/about\/administrative-processes-task-force\/","title":{"rendered":"AI Task Force for Administration"},"content":{"rendered":"<p><span style=\"font-weight: 400;\">The AI Task Force for Administration evaluated the potential for integrating Generative AI (GenAI) within administrative processes along with the organizational structure and support needed to do so successfully.<\/span><\/p>\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h4 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Key Recommendations<\/h4><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/p>\n<p><b>The task force\u2019s key recommendations are as follows:<\/b><b><\/b><\/p>\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li aria-level=\"1\"><b>Establish a Unified AI Approach: <span style=\"font-weight: 400;\">Establish a central AI Center of Excellence (COE) working in a hybrid model with school\/college and departmental AI teams to drive a central AI strategy and provide AI resources to the BU Community.<\/span><\/b><\/li>\n<li aria-level=\"1\"><b>Leverage Strategic Vendor Partnerships: <span style=\"font-weight: 400;\"> Work with our strategic software vendors on their AI offerings and roadmaps rather than building our own AI infrastructure.<\/span><\/b><\/li>\n<li aria-level=\"1\"><b>Prioritize AI Readiness:<span style=\"font-weight: 400;\"> Offer AI Literacy Training and create resources to assist departments with AI change management efforts.<\/span><\/b><\/li>\n<li aria-level=\"1\"><b>Align with University Data Strategy &amp; Activities:<span style=\"font-weight: 400;\"> Work with Data Leaders on the use of data to enable accurate, ethical, and impactful AI solutions.<\/span><\/b><\/li>\n<li aria-level=\"1\"><b>Leverage Existing Budget Processes: <span style=\"font-weight: 400;\"> Rather than create new processes to request AI funding, departments should leverage existing processes.<\/span><\/b><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><\/div>\n<\/div>\n\n<h3>Pilot Programs and Competitive Landscape<\/h3>\n<p><span style=\"font-weight: 400;\">This task force identified areas of Boston University that could benefit the most from using AI. Then, the Task Force ran three pilot programs with over 60 participants from administrative units across the University to test AI tools and assess other factors associated with AI implementation, such as cost effectiveness, data security considerations, and more. All participants received foundational AI training from Azer Bestavros, Assoc. Provost for Computing &amp; Data Sciences.<\/figcaption><\/figure>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\">Throughout the pilot programs, participants took surveys at the beginning, mid-point, and end of the pilots to understand general sentiment, identify use cases, assess effectiveness, and gather insights on training and support needs. In addition, the Task Force conducted research to better understand how AI fits into the larger university environment. Below are a few highlights from this research:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Prior to the program, <\/span><b>63%<\/b><span style=\"font-weight: 400;\"> of leaders shared they were not awaiting central guidance from BU before exploring AI initiatives in their administrative area. However, a lack of coordination in these efforts can lead to increased risk, inefficient use of resources, and make it difficult to measure AI maturity as a University.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The percentage of AI Pilot Participants who rated their AI knowledge as \u201cModerate\u201d or above increased by <\/span><b>32%<\/b><span style=\"font-weight: 400;\"> after basic AI literacy and tool-specific training.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>67%<\/b><span style=\"font-weight: 400;\"> of pilot participants found software was somewhat or extremely effective at assistance with completing tasks<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>62%<\/b><span style=\"font-weight: 400;\"> of leaders shared that they would like to see a dedicated AI support team<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Data quality, privacy, security, regulations, ethics, and guidelines are top concerns of AI implementation<\/span><\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>The AI Task Force for Administration evaluated the potential for integrating Generative AI (GenAI) within administrative processes along with the organizational structure and support needed to do so successfully.
