Scout the Location

At least a week, and preferably two weeks, before the date of your webcast visit the location it will be taking place. If you're working with BU Productions for audio and video coverage, it's a good idea to have someone from their staff join you for the site visit.

There are three important reasons for the visit:

  • Check the network access. Bring a laptop with you. Ideally, you should bring the same system you will use for the actual webcast. Verify that you can connect to the campus network.

  • Determine setup logistics such as how much space is available for a table, how much network and a/v cable you will need, and so forth.

  • Establish a preliminary plan for the actual webcast, such as how much setup time will be required.
