Fiscal Year Closing - June 30, 2009 Deadlines for Invoices and Pcard Purchases

All invoices related to Purchase Orders received by BU Sourcing @985 Commonwealth Avenue by Noon, Monday, June 22, 2009, will be considered as expense for the fiscal year ending June 30, 2009. Purchase Order related invoices should be mailed directly to BU Sourcing 985 Commonwealth Ave, attn: Invoice processing by the vendor.

Invoices received after Noon, Monday, June 22, 2009, will be processed as expense to the proper fiscal year as time permits. If you have any questions, please contact Rick Aronofsky, Purchasing Operations Administrator (telephone: 3-6700 or e-mail: raronofs@bu.edu).

The DEADLINE TO MAKE P-CARD PURCHASES for Fiscal Year 2009 is Thursday, June 25, 2009, at 5 p.m. This deadline should ensure that the charges post by June 30, 2009. All charges with post dates through June 30, 2009, will be mapped and processed as Fiscal Year 2009 expenses; final mapping for these transactions is scheduled for Wednesday, July 1, 2009, at 3 p.m. for regular p-card purchases and Thursday, July 2, 2009, at 3 p.m. for Office Depot activity. Transactions must be fully edited in SAM by Thursday, July 2, 2009, at 3 p.m.

You now have direct access to Boston University branded websites from Apple, Lenovo, HP, Dell and our new supplier for computer accessories and peripherals, GovConnection.

To make a purchase, visit the "How to Buy" - Computers, Software & Peripherals page of our website. You will authenticate into the system using your Kerberos password. From there, you will have access to shop at any of our computer hardware supplier on-line stores (Apple, HP, Dell and Lenovo) and GovConnection, our supplier for peripherals.

On the homepage of each supplier’s website you will see Boston University recommended systems. These systems were designed by our IT staff for typical Boston University office use and are being offered to you at heavily discounted prices. New Ultra Low Freezer Agreement

Sanyo Commercial Solutions has been awarded the primary supplier at Boston University for laboratory ultra low freezers. The decision to award the contract to Sanyo was based on very competitive pricing, product quality, extended warranty period, storage capacity and small exterior foot print.

GE Healthcare / Amersham to Discontinue Radioactive Products

At the end of 2009 GE Healthcare will be exiting the radiochemical business. Researchers who have a history of results with Amersham 14C and 3H products should consider ordering in the near future in order to ensure consistency and avoid the expense of custom preparations. GE has stated that they will maintain a high level of availability through the end of the year but it is expected that availability will be increasing spotty as year end approaches. radium used in paint for luminous dials on ships and airplanes.

Toner Scams Targeting BU Departments

Several departments across campus have been targeted for toner scams. The scamming companies pose as suppliers like IKON and as BU departments like IT. They call to solicit orders or to ask you to help take unwanted toner off their hands.

Our contracted suppliers do not call customers to take orders. If someone other than your known account representative is soliciting sales and service, you have every right to refuse service and report the event to Sourcing & Procurement.

Pcard Training Schedule announced

We have successfully migrated to the American Express Purchasing Card (PCard) program. By now, you should have received your new American Express PCard. While the American Express PCard has many of the same capabilities as the former card, there are changes within the S.A.M reconciliation tool. For that reason, it is imperative you attend an upcoming training class.

BU Sourcing & Procurement is conducting comprehensive WebEX training sessions for the upgraded PCard software (SAM) as well as a review of the current policies and procedures. Training classes are held on Tuesdays and Thursdays from 10:30-11:30 a.m. Training sessions are easy to attend via the web. There is no need to leave your office. All card holders will be invited to the training sessions via outlook.
