SAP SRM – Out of Office – How to Create a Substitution Rule

Before you begin:
  • Here are situations in which a substitution should be used
    • When you will be out of the office
    • When you require that someone to perform cart approvals, cart resubmissions or cart rejections on your behalf
  • Communicate to the nominee of your substitution that you plan to create a substitution rule
    • This is essential since the substitution rule has to be accepted by the receiver in order to be turned on
    • The nominee of your substitution rule should be someone comfortable with performing your responsibilities within SAP
  • By creating a substitution rule you are handing over your tasks to the assignee for the duration of your planned absence

Click the Worklist tab

Click on the Manager Substitution button

Click the Create Rule button

Click the Select button

Use the Search button to find a substitute

With the substitute highlighted, click the Apply button

Make sure Receive My Tasks radio button is selected

Click the Next button

When you arrive at this screen, you can select the activation setting for the rule before it goes live

In this tutorial, we will choose to have rule on upon saving

By selecting the Rule On activation setting, you will be given a field to specify date

Once you have selected the start date for your rule, click the Save button

In the case you want to terminate a substitution, click the Turn Off button
