Constitution of the School of Education Graduate Student Association (SED-GSA)

July 2013

Purpose

To address the concerns and issues of graduate students in the School of Education at Boston University.

Membership

All matriculated students enrolled in School of Education programs leading to a M.A.T., M.Ed., CAGS, or Ed.D. are eligible for membership. Other Boston University graduate students affiliated with the college through research assistantships are also eligible and must pay the semester fee.

Voting

The four (4) slate members must be present to vote on expenditures above $500 or to modify this Constitution. Voting by email will be accepted.

Officers

There shall be six officers: President, Vice-President, Secretary, Treasurer, First Year Liaison, and International Student Liaison. All officers must be full- or part-time graduate students in the School of Education; the first year liaison must be a matriculating student in their first year of graduate studies at the School of Education; the international student liaison may be either a returning or a matriculating student.

Duties of Officers

President: The President shall call meetings and coordinate activities of the organization. S/he shall meet with the Associate Dean as necessary to keep him/her informed of the activities and needs of the organization, and shall attend SAO meetings as required to renew registration of the organization. S/he will appoint committees as necessary.

Vice-President: The Vice-President shall assist the President in the above-mentioned responsibilities and oversee subcommittees.

Secretary: The Secretary shall be responsible for keeping records of all meeting proceedings, keeping a role of participants, carrying on all correspondences, reading communications at each meeting, and publishing meeting notices via email in a timely manner. The secretary shall, at the expiration of his or her term, make arrangements for all items belonging to the club to be given to his or her successor.

Treasurer: The Treasurer shall be responsible for all fiscal matters of the organization, keep an account of all receipts and expenditures, and attend the SAO meetings as necessary. The Treasurer shall become knowledgeable of the procedures and policies of the SAO and ensure that paperwork for club activities is submitted in a timely manner. S/he should present a financial statement at each meeting and all financial records shall be available upon request to any member. The Treasurer shall be the only person authorized to initiate purchase orders or to otherwise withdraw funds from SED-GSA’s account in accordance with Boston University policy. At the end of the Treasurer’s term, s/he shall make arrangements for all items belonging to the club to be given to his or her successor.

First Year Liaison: The First Year Liaison shall be responsible for relating the needs of first year students, as essential members of the School of Education. S/he will assist in the planning and carrying out of all SED-GSA events, as well as assisting in the recruitment of first year graduate students.

International Student Liaison: The International Student Liaison shall be responsible for bringing the needs of international students to the attention of the board. S/he will assist in planning and carrying out of all SED-GSA events, and work towards increasing the level of integration of international students within the SED community.

Elections

Elections for the one-year term of all officers shall be held in the spring for the upcoming school year. Vacancies occurring between elections due to a withdrawal or resignation shall be filled by special election following an announcement of the vacancy. Members running for office must intend to remain a student through the duration of their term. The first year liaison will be appointed in the fall of the new school year, and will hold a one-year term. The international student liaison may be either elected during the annual election, or appointed in the fall of the new school year, and will hold a one-year term.

Meetings

Meetings shall be held at least once per semester or as necessary, after at least one week’s notice by email.

Amendments and Modifications to SED-GSA Constitution

Approval of modifications and amendments to this Constitution require a 4/6 favorable vote of the slate of six (6) elected officers. Amendments and modifications to this Constitution shall be voted upon using email as the process, with the amended Constitution as an attachment, and with a minimum one (1) week duration deadline for voting.
