NIH and NSF (non-financial) Report Reminders

As the recipient of sponsored funding, Boston University is required to provide accurate, timely, and complete reports outlining the results of the sponsored awards and programs. Timely processing and submission of Non-Financial Reports are important since lack of adherence to the sponsor’s closeout requirements could affect future funding for both the Principal Investigator and the Institution. In an effort to support this obligation, BU Sponsored Programs implemented a centralized reminder process for Final NIH and NSF closeout reports. Many faculty have already started receiving emails from ospclose@bu.edu. Sponsored Programs is committed to sending out an initial reminder 30 days prior to the project end date in order to allow time to submit a no cost extension request (if appropriate), 15 days prior to the report due date, and up to 4 subsequent overdue reminders. An escalation protocol for overdue reminders will include the following individuals:

  1. First overdue reminder- email to PI with copy to DA
  2. Second overdue reminder-email to PI with copy to DA, and Diane Baldwin
  3. Third overdue reminder- email to Department Chair with copy to PI, DA, Diane Baldwin and Associate Dean for Research
  4. Fourth overdue reminder- email to Associate Dean of Research with copy to PI, DA, Chair and Diane Baldwin
  5. After fourth reminder, this is escalated to the Vice President for Research

Your Sponsored Programs RA will be copied for NIH reminders.

This proactive approach will prevent unilateral close out of non-compliant NIH and NSF grants, per the GONE Act, and any negative repercussions to the investigator that may follow. If you have faculty that are departing, it is critical that you ensure they are up-to-date on reporting requirements.
