TITLE: Administrative Officer

DEPARTMENT: Family Medicine Specialty Training Programme (FMSTP)

LOCATION: Motebang District Hospital, Leribe with travel to Maseru

POSITION SUMMARY: The Administrative Officer reports to the Leribe-based Director of FMSTP and also to the Finance and Office Manager in Maseru and provides effective administrative support to FMSTP

ROLES AND RESPONSIBILITIES: Include but are not limited to the following:

  • Ensure that the reception area is covered at all times during normal hospital working hours
  • Provide a high quality service and ensure that cleanliness is maintained at all times around the office area
  • Be an ambassador for the program including public relations with other District Departments, the general public and the Ministry of Health, maintaining good up to date relationships with all units/departments within the hospital
  • Be proactive while working and try to independently develop solutions to identified problems
  • Ensure that payments are processed for items such as catering, electricity, and the house cleaner by documenting purchases, maintaining receipts, and forwarding invoices to Maseru
  • Maintain and reconcile vehicle log books and keep an updated directory of telephone, email and websites
  • Organize logistical support in ICT and office maintenance, and know how to use/troubleshoot the copy machine/printer
  • Ensures safe keeping of office supplies at agreed levels to avoid shortages
  • Proactively prepare agendas for and take minutes during the internal weekly staff meetings and follow up on activity points and to-do lists as well as organize full LeBoHA staff meetings
  • Take responsibility for asset management and track asset register updates in all facilities which belong to or may be occupied by FMSTP
  • Coordinate logistics for the FMSTP, which include catering, transportation, housing and registrar attendance on a daily basis
  • Maintain a positive and compassionate attitude on a daily basis, especially while being the first point of contact for the day to day concerns of our registrars
  • Make logistical arrangements for both local and international staff visits including accommodation and transportation
  • Take attendance at all workshops, meetings, and Grand Rounds, along with coordinating with catering when applicable
  • Assist in preparing reports when needed for the Global Fund quarterly and monthly reports by keeping documentation of attendance, and receipts for Global Fund-relevant purchase

QUALIFICATIONS, SKILLS AND ABILITIES:

  • Background in Business Administration or equivalent, some experience in a medical field would be an added advantage
  • Apart from fluency in Sesotho, the applicant must show very good command of spoken and written English
  • Relevant experience in NGO Sector
  • Good negotiation skills
  • High level of responsibility
  • Good interpersonal skills
  • Be a team-player at all times
  • Knowledge of Microsoft Office is essential
  • A valid driver’s license is a must

Lesotho-Boston Health Alliance

The Lesotho-Boston Health Alliance (LeBoHA) aims to strengthen management, policy, planning, and clinical capacity in the health sector of Lesotho. Our intent is to assist the country in responding to the HIV/AIDS crisis with the long-term goal of contributing to the development of a sustainable health sector that is attractive to Basotho physicians and nurses.
