What paperwork do I need to fill out to get paid?

Please note that the I-9 must be filled out before you start working. If you are working and have not filled out the I-9 you must stop working until the I-9 is completed. Please click on your situation below to find out what you must do in order to get paid:

Employees that Have Worked at BU Before

Please come to the payroll office located in room 452. You will need to bring your BU ID with you. Students will need to fill out the Student Worker Information Form. All other employees will just need to bring their BU ID. If you did not have direct deposit at your previous job on-campus we highly recommend that you fill out the direct deposit form. In order to complete the form you will need to bring one of the following: a voided check, a photocopy of a check, or a letter from your bank stating the routing number of the bank.

**Please note that if you worked at BU as a student but you are no longer a student you will need to  complete your paperwork again. Please see below for instructions.

Student, Casual, and Permanent Employees (Non-International)

You will need to come to room 452 to fill out the following documents:

  • The I-9 is the employment eligibility form. In order to complete the I-9 you will need to bring certain documents with you to the office. The following options are the most popular:
    • US Passport
    • Permanent Resident Card
    • Unexpired Foreign Passport
    • Driver's License or School ID and Social Security Card
    • Driver's License or School ID and Birth Certificate
  • The W-4 is used to claim either a number of allowances or exempt on federal taxes. You cannot claim both a number of allowances and exempt.
  • The M-4 is the same as the W-4 except that it is for Massachusetts state taxes. The M-4 is optional. We recommend that you fill out the form if you file your taxes in a state other than Massachusetts.
  • Direct Deposit will soon be required by the University. Students may sign up for direct deposit through the Student Link (instructions) while permanent employees and casual employees with a Kerberos password may sign up through the Link (instructions). Casual employees that do not have a Kerberos password must fill out the Direct Deposit Form and bring it to room 452 along with a voided check.
  • Students must also fill out the Student Worker Information Form.

International Employees

All international students must fill out the I-9 at ISSO. ISSO is located at 888 Commonwealth Ave, 2nd Floor. The walk-in hours to complete the I-9 are: Tuesday 9-10am or Thursday 1-2pm. If neither of these times works you may call ISSO at (617) 353-3565 to set up an appointment. Please note that ISSO is closed every Wednesday morning until 12pm. International Student Employees

If you do not have a social security number.

International students without a social security number must have their supervisor fill out the Social Security Number Certification Form. The SSN Certification Form must be printed on the department letterhead and then the completed form must be brought to ISSO (888 Commonwealth Ave, 2nd Floor, 617.353.3565) along with the student's passport, I-20, I-94, BU ID, etc. ISSO will provide further instructions to the Social Security Office.

Once you have received your social security card please bring the card, as well as all of the identification that you brought to ISSO, and come to room 452 to fill out your W-4, M-4, foreign national form, and direct deposit form:

  • The W-4 is used to claim either a number of allowances or exempt on federal taxes. You cannot claim both a number of allowances and exempt. If your country has a tax treaty with the United States than you will have to go to Student Payroll to be put into Windstar (directions will be provided at the time that you fill out your W-4.)
  • The M-4 is the same as the W-4 except that it is for Massachusetts state taxes. The M-4 is optional. We recommend that you fill out the form if you file your taxes in a state other than Massachusetts.
  • Foreign National Form: Must be filled out before you can be paid. Information that you will need to provide includes you address, immigration status, any previous immigration statuses in the United States, etc.

Please bring your passport, I-20, I-94, social security card, BU ID, etc. to ISSO in order to fill out your I-9. The walk-in hours to complete the I-9 are: Tuesday 9-10am or Thursday 1-2pm. If neither of these times works you may call ISSO at (617) 353-3565 to set up an appointment. Please note that ISSO is closed every Wednesday morning until 12pm.
