Student SAP Access

Certain Student Employee assignments may require access to BUworks (SAP). We have prepared the following guide to help make the process of obtaining this access as clear and concise as possible.

Student Employees may not be provisioned with SAP access until they have been hired via the Student Employment process. Please complete this process before submitting your request to HR Systems.

  1. The student’s department is responsible for creating a non-compensated position via the Create Position form in BUworks.
    • Directions are located here.
    • Student SAP Access job code: 20002651
    • Start date should be the earliest you might ask for access
    • Position title should be “SAP Student Access”
  2. After the position has been created, complete the Student SAP Access Form to request that HR Systems assign the student to the non-compensated position.
    • Important – do not attempt to hire the student into the newly-created position via the normal BUworks hiring process. This assignment must be completed by HR Systems.
  3. Do NOT attempt to process a hire within SAP for this student. HRIS will execute this based on the information you provide in the webform.
  4. HRIS will notify the submitter when complete. Please allow up to three business days for this request to occur.
  5. Contact your DSA within your department to request the needed roles via the DSA security tool.
    • Note: DSA must indicate in the notes field that this request is for a student employee
    • The DSA should choose the record for the student’s 00000001 position (rather than the newly created position). Choosing this ‘student position’ will allow you to see the student’s user ID (choosing their new secondary position will not).
    • Most common roles that are typically requested for students are:
      • Time Role: E.HR.UNITDPT_CRC_STU_TM_M
      • Shopper Role: E.FI.SHOPPER
