Fill an Open Position—Charles River Campus

Do you have an opening on your staff due to a promotion, resignation, or transfer? Or, perhaps your department is growing and you received approval to add a new position. Either way, you can fill a vacant position in your department by following these simple steps.

Create a Job Requisition (PS-1)

First, you must complete a job requisition (PS-1) form.

Each department has a different internal process for approving PS-1s, so please check with your department administration to learn your process. After your department completes and approves the PS-1 form, it is sent to the President, Executive Vice President, or Provost for executive approval.

The approved PS-1 should be sent to the Budget Office before being forwarded on to Human Resources. Human Resources will post the job on the BU HR website based on the information included in the written job description. Please make sure the job description is accurate and reflects the total scope of the position. Visit the job descriptions for more information.

Once HR posts the approved requisition online on the BU HR Jobs website, both internal and external candidates may begin to apply.

Giving Your Job Posting Additional Exposure

If you aren’t receiving enough applications or attracting the right candidates and feel your posting needs greater exposure, contact your Employee Relations Representative (ERR) or Employment & Training Specialist (ETS) to discuss advertising in other print or electronic media. All outside advertising must be coordinated through HR. We can provide you with print and electronic media recommendations, creative services, sample ads and copy, posting requirements, deadlines, and estimated costs to help you develop your external advertisement. Please note that all outside advertising and media costs will be paid for by your department.

The Hiring Process: Non-Exempt Positions (grade 21-26) vs Exempt Positions (grade 41 and above)

The hiring process for non-exempt and exempt positions varies as follows.

For Non-Exempt positions:

  • The ETS will contact you to discuss the hiring process and your specific position needs.
  • The ETS will screen and interview all applicants and ensure that they complete an employment application, Conflict of Interest form, Disclosure and Acknowledgement for background checks, and Release and Authorization for background checks at their interview in HR.
  • The ETS will contact you to review qualifications and use the University’s applicant tracking system, OpenHire, to forward any qualified internal and external candidates for your consideration.
  • The ETS will work with you to set up interviews.
  • After interviewing candidates, you will provide feedback to the ETS.
  • The ETS will conduct employment reference checks and advise you of any issues.
  • Upon review of the candidates, and in consultation with your ETS, you will provide your hiring recommendation to the ETS.
  • The ETS will conduct past employment verification and academic credential verification on the final candidate.
  • Offers of employment will not be made until the background check has been conducted and the results have been reviewed by HR.
  • The ETS will extend a job offer to the candidate.
  • Once the candidate accepts, HR will close the job requisition and remove the position from the HR website.
  • HR will notify all candidates who were interviewed that the position is filled.

For Exempt positions:

  • The ETS or ERR assigned to your area will contact you to discuss the hiring process and your specific position needs.
  • The ETS (for grade 51- 75 positions) or ERR (for grade 76 and above and grade 41-43 positions) will screen all applicants.
  • You will receive resumés of both internal and external candidates from the ETS or ERR through OpenHire.
  • You will be responsible for conducting an initial resumé review or phone screen.
  • After identifying potential candidates, in consultaion with your ETS or ERR, you will contact candidates to schedule interviews.
  • You will coordinate any necessary departmental interviews.
  • All final candidate(s) you select will be interviewed by HR.
  • Final candidate(s) will complete an employment application, Conflict of Interest form, Disclosure and Acknowledgement for background checks, and Release and Authorization for background checks at their interview in HR.
  • You will be responsible for conducting employment reference checks for final candidates.
  • Upon review of the candidates, and in consultation with your ETS or ERR, you will provide your hiring recommendation to the ETS or ERR.
  • The ETS or ERR will conduct past employment verification and academic credential verification on the final candidate.
  • Offers of employment will not be made until the background check has been conducted and the results have been reviewd by HR.
  • You will discuss terms of offer with HR.
  • The ERR or ETS will make the formal offer of employment to the candidate.
  • Once the candidate accepts, HR will close the job requisition and remove the position from the HR website.
  • You will be responsible for notifying all candidates who were interviewed that the position is filled.
  • HR will close the job requisition and remove the position from the HR website.

Please note that all positions must be posted for at least five business days before an offer of employment can be made. All offers of employment must be made through HR. If you are ready to make an offer, contact your ERR or ETS.
