REGULARLY SCHEDULED CONFERENCES



Here are all the tools you will need to follow the guidelines necessary for your regularly scheduled series (whether that be a grand round, case conference, tumor board or M&M), to be sponsored for CME accreditation.

UPDATED APPLICATION DOCUMENTS ARE NOW AVAILABLE!

  • Please note we need separate applications for each different series.

  • Grand Rounds series should fill out the Grand Rounds Application.

  • Case Conferences, Morbidity and Mortality Series, and Tumor Board Series must fill out the CC.MM.TB Application.

  • Please include Disclosure forms for ALL Course Directors and Planning Committee Members (if applicable) with ALL Application submissions.

Reapplying:
For continuing series, your next application will be due September 15, 2009. Applications should be filled out by the course director and must include disclosure forms for the course director and the planning committee. If you have any questions about the application, please call Patty Dickerson at (617) 638-4605.

New Series:
For new series, your application should be completed by the course director before the first event. If this is your first time applying for accreditation for your RSS, please contact our office for a full explanation of the CME process. No first time applications will be approved without attending a brief training to learn the accreditation process. For each session of your series:

RSS Planning Form

Before each session of an RSS the course director or presenter should complete the RSS planning form.  Please attach documentation of the specific need that called for the topic of this particular session to be chosen.  Because we understand the difficulty of having this form completed for each series we merely ask that course directors and course coordinators try to complete this form for a majority of their sessions.  Since this form also contains information on risk management credit, if you are seeking risk management credit, this form must be submitted.  Please use Tips for Writing Objectives

RSS Disclosure Guidelines

The Accreditation Council for Continuing Medical Education (ACCME) has issued new guidelines that ask all individuals who are in a position to control the content of the CME activity to disclose all of their commercial relationships. These new guidelines also ask that any conflict of interest that an individual may have be resolved before the activity takes place. The RSS Disclosure policy explains the process that needs to be followed to be compliant with these guidelines.


RSS Disclosure Form

This form must be completed BEFORE the activity by all those who are in a position to control the content of the RSS. In addition to presenters, this would include course directors, members of any planning committees, and those who prepare and present cases. Please contact our office if you have any questions regarding who should complete this form. Please follow the RSS Disclosure Guidelines in the review process of these forms. If the course director has a conflict of interest for a particular session, please contact our office.

RSS Resolution of Conflict of Interests Form

After the Course Director reviews the completed RSS Disclosure Forms, if a conflict of interest is identified, the Course Director must complete the RSS Resolution of Conflict of Interests Form. This form provides different ways to resolve conflicts of interests. Please note that at least one method must be completed BEFORE the start of the activity.

RSS Promotion Checklist

Any email, flyer or poster that announces your RSS to your audience needs to include all of the elements on the RSS Promotion Checklist. Here is an RSS Promotion Template
(Microsoft Word, 25KB) that might help you in determining what needs to be included in all of your promotions. (This includes emails, web postings and flyers.) If you do not announce your RSS to your audience, you must have some other mechanism of notifying the audience of the educational objectives and the accreditation statement before the activity. We suggest that you add this information to the top of the sign-in sheet or to the evaluation page.

RSS Sign-In Sheet Template

All RSSs must provide a mechanism for attendees to prove their attendance. We recommend that this is done with a sign in sheet. If you have another method, please contact our office to receive approval.

RSS Evaluation Template

All RSSs must evaluate their activities. Please use this evaluation template to evaluate each session of the RSS. You may change the order of the questions or add questions, but we ask that this template be used as a guide as to what questions to ask. We ask that you please try to have attendees fill out evaluations at the end of each session.

The RSS checklist lists all material that needs to be submitted. Please return this form with the packets.


RSS Session List Template
(Microsoft Excel, 14KB)

Please use this template to submit your session list. The information submitted must include the title of the session, the date, the number of credits, the number of risk management credits, whether or not commercial support was received, and a list of people in a position to control content for that session.


RSS Participant List Template

Please use this template to submit your participant list. This list should include the full name, degree and number of hours the participant attended the series. Please note that the participants' names will appear on the certificate exactly how they appear on this list. Also the participants? degrees must be included. The certificates will be returned to the course coordinator who will then be responsible for delivering these certificates to the participants. Please note that if an attendee for one of your programs is not a member of your department, you might want to gather mailing information so you can send their certificate to them.

 
 


Commercial support:

If you receive money from a commercial interest you must follow the RSS Commercial Support Guidelines (Microsoft Word, 181KB). If this is the first time your RSC is receiving commercial support, please review the ACCME Commercial Support Standards (Adobe PDF, 212KB) and contact our office to review the process. A Letter of Agreement (Microsoft Word, 126KB) must be signed the Course Director, the CME Administrative Director, and a representative from the commercial interest. The completed LOA and a copy of the check must be submitted with your packet.
