Faculty Payroll
There are two types of faculty at the College: teaching faculty and research faculty. In order to be hired, each must first be appointed to the position. Departments will need to work with the College’s Faculty Actions Office to determine what type of forms need to be completed and what type of supporting documentation will be required to get a faculty member appointed. Faculty can either be full-time (object code 0900) or part-time (object code 0901). Teaching faculty have 9-month appointments, (September–May) with their annual base salary spread evenly over 12 pay periods (September–August). Requests to have a base salary paid in fewer than 12 months must be approved by the Dean and then the Office of the Provost. Research faculty have 12-month appointments.
Once a faculty member has a valid appointment, he/she can be set up on payroll. The department has responsibility to obtain from the faculty member a completed I-9, W-4, and Patent Policy agreement. The Department Administrator is responsible for certifying the I-9 in accordance with federal regulations, but this can only be done if the faculty member is a U.S. citizen or permanent resident alien. If the faculty member is not a U.S. citizen or Permanent Resident Alien, the faculty member must schedule an appointment with the International Students and Scholars Office (ISSO), at 617-353-3565, which will certify the I-9 and return the original to the faculty member. In turn, the faculty member should make sure that the certified I-9 is brought to the Department Administrator so it can be forwarded to the Business Office as a package along with the W-4 and Patent Policy agreement.
If an international faculty member believes his/her home country has a tax treaty with the United States, he/she should schedule an appointment with the Payroll Office (617-353-2270) to complete the appropriate paperwork.
