This note is to inform you that the Professional and Non-Professional PARs for the effort certification period from July – December 2011 were recently distributed on the Charles River Campus. Detailed instructions for completing the PARs were included in the packets. As in the past, you should have received the packets through inter-office mail.
PARs contain pre-printed information indicating the percentages of the employee’s University salary that were allocated to sponsored project agreements and other non-sponsored University activities. With the transition from the legacy system to SAP, we are now extracting data from the new payroll system to create the PARs. We have thoroughly tested the data and the new forms, however, due to some of the challenges many of you experienced in setting up payroll distributions in the new system, there is a possibility that the forms may contain salary distribution errors that require adjustment. In addition to the Faculty and Principal Investigators (PIs), we ask that all employees certifying these reports carefully scrutinize the data before certifying the forms and working closely with department and / or grant administrators to make any necessary retroactive adjustments.
1.) Review: If your role is that of an effort certification coordinator, please request that your faculty, Principal Investigators (PIs) and other sponsored projects personnel carefully review the salary data contained in these PARs prior to certification, as an additional check to make sure all information is accurate.
2.) Make adjustments: If any retroactive salary adjustments are required, refer to the Salary Adjustment Policy. This document contains step-by-step instructions on how to make adjustment requests in SAP.
3.) Return the PARs: The deadline to certify and return PARs to Post Award Financial Operations is Tuesday, May 1, 2012. Please make every effort to return PARs as soon as possible. In order to be in compliance with federal regulations, it is imperative that each PAR is accurately certified and received by this date.
Post Award Financial Operations will be conducting two information sessions to review the effort certification process, provide guidance on making changes to the PARs, and answer any questions you may have on the following date. As a closing follow-up to the series of recent communications to you, the third of three new grant reports is available for your access. This report is called “Grant Expense Detail” and has been developed as a streamlined version of the existing “Budget vs. Actual” report. It provides line item detail expenses per sponsored program based on the time period entered by the user. This report is intended to allow you the ability to more easily reconcile individual grant accounts and verify accurate, timely posting of expenses, such as labor distribution and operating expenses, in a single view.
To access this report, go to BUworks Central click on the Reporting tab, then on the Accounting (FI) tab, then on the folder entitled Grants Management (Faculty). “Grant Expense Detail” is the third item in the folder.

As we promised in a series of recent communications to you, the first two of three new grant reports are available for your access. We are providing you advanced notice of these reports prior to announcing the rollout of these reports to Faculty on Thursday Nov 10, 2011. We ask that you use this lead time as an opportunity to familiarize yourselves with the reports and to enable you to assist Faculty in their use. These new reports are the result of specification and testing by a joint team of Post Award Financial Operations (PAFO), BUworks Faculty Advisory Committee, BUworks and several experienced Department Administrators. The reports align very closely with reports previously available in legacy systems.
Brief descriptions of the new reports “Grants by Investigator” and “Grant Expenses by Sponsored Class” are provided below. The following link will take you to a simple reporting guide that will show you step by step how to access and view the reports:
- “Grants by Investigator”
This report creates a summary list of grants by investigator and is designed to provide a snapshot view of the financial status of grants and associated sponsored programs. This report can be used simply as a summary report or to provide users more detailed expenditure information through drill down functionality.
- “Grant Expenses by Sponsored Class”
This report creates a summary of the expenses for a single sponsored program by Sponsored Class. The Sponsored Class is a summary grouping of expense categories such as Salaries & Wages, Capital Equipment, Sub-awards, and Research Supplies. Next week, users will be able to use this report to drill down to view the third report, “Grant Expense Detail” which contains specific line item detail expenses.
To access these reports, go to BUworks Central http://www.bu.edu/buworkscentral, click on the Reporting tab, then on the Accounting (FI) tab, then on the folder entitled Grants Management (Faculty). You will see the two reports described above.
