Acceptance Instructions, Sydney Engineering Program, Spring 2015

Congratulations on your acceptance to Boston University’s Sydney Engineering Program! We are looking forward to your participation. The following contains forms and information that will help prepare you for your experience abroad. You can also visit the BU Sydney website.

Online General Forms

Please log in to your online application and complete your general pre-departure forms. These ‘general’ forms are common to all students going on one of the BU Study Abroad programs. All forms should be completed within two weeks of your acceptance.

Program-Specific Forms and Instructions

This is a second set of forms and instructions, specific to the Sydney Programs.

Instructions

Below are pre-departure forms that each student is required to complete and submit online or return to Boston. Please carefully read the instructions on the forms and the details below as you will be required to submit some materials to the Boston office and submit some materials to Sydney. All forms should be submitted by the deadline listed for each item.

  • Notarized photocopy of the signature page of your passport. This is the page in your passport with your picture and personal details. The copy quality must be good. You can get the photocopy notarized by a notary public. The best places to find a public notary are banks, certain post offices, and some FedEx locations. Don’t forget that you will need to bring your actual passport and the photocopy with you to the notary public, as well as some money to pay for this service.
  • Completed University of Sydney Unit of Study Form (download here). Please note this form must be signed by Ruthie Jean from ENG.
  • Completed University of Sydney Application (download the blank form, and follow this sample).
  • Official BU transcript. You can order one online on the Office of the University Registrar website, or obtain one in person at 881 Commonwealth Ave, second floor.

Forms and Materials to Send to Sydney

  • Results of Police Background Check (see instructions below)
  • ID Photo — Email a recent photograph which will be used for your student ID card. The photo must be an image of your entire face from the top of your head to your shoulders against a plain white background (similar to a passport-style photo). Emailed images must be at least 200 dpi and a high-quality JPG file. We can accept photos you have taken with your smartphone. The name of the file should be your name and semester of study in the format “Last name, First name, S15.” Photos that do not meet these requirements will not be accepted.
  • Expression of interest in Resident Assistant or Program Assistant position (optional) by November 1st (see instructions below)

    Police Background Check

    All students are required to get a background check. We understand that it may take longer than two weeks for you to receive confirmation of your police background check. It is fine if you send other materials first and send your police background check when you receive it.

    When you receive the results of your background check, please scan and email the confirmation to busydney@bu.edu and bring the original copy with you to Sydney.

    CORI Form

    In Massachusetts, the Criminal Offender Record Information (CORI) is the official document that is issued when a background check is requested. Anyone with a Massachusetts mailing address, including BU students, and students from other schools in Massachusetts may use the CORI request form to obtain their police background check.

    Students should submit the CORI request form along with the $25 processing fee, by mail to the address below. You must pay with a bank check or money order made payable to: the Commonwealth of Massachusetts (please note: they do not accept personal checks). Note that you must get this form notarized (bring your passport with you to the notary public). The results of your CORI request will be mailed to you at the address you provide on the form.

    Non Residents

    Non residents will need to contact their state agency.
    *A background check from your local police department is acceptable.

    Resident Assistant or Program Assistant Application Instructions (Optional)

    The Boston University Sydney Program has openings for several Resident Assistants (RAs) and Program Assistants (PAs). Being an RA or a PA in Sydney requires maturity, flexibility, problem-solving, and people skills.

    Job Descriptions

    Resident Assistant

    RAs are accountable for four basic areas: guiding students in their proper use of the BU residence, developing student well-being, planning community building activities, and enforcing the rules of the Sydney Program in a positive and fair manner.

    RA Responsibilities:

    • Attend and participate in the RA Orientation and Training Program
    • Assist with arrival day and student departures—RAs must notify the Residential and Property Manager (RPM) of all possible travel plans and have them approved by the RPM before making any official arrangements.
    • On-call duties
    • Prepare floor for student arrivals (room inventories/inspections, bulletin boards, etc.)
    • Ensure residential policies are being followed
    • Complete administrative paperwork (including incident reports)
    • Assist with referring maintenance requests
    • Develop community activities and promote student well-being

    Program Assistant

    The PA is an integral member of the administrative support team in regard to library/classroom support and is also involved in organizing the social, cultural, and educational programs for students.

    PA Responsibilities:

    • Attend and participate in the PA Orientation and Training Program
    • Assist with arrival day and student departures — PAs must notify the Assistant Director of all possible travel plans and have them approved by the Assistant Director before making any official arrangements
    • Perform designated duties as classroom/library assistant
    • Develop, implement, and ensure the smooth running of social, cultural, or educational programs

    Dates

    RAs and PAs must arrive in Sydney a few days early for orientation and training and must remain a couple of days after the program ends.

    • A statement expressing your interest in the position (indicate RA or PA) and any relevant experience you have
    • Your CV/résumé
    • Your telephone contact details (including the best time we can reach you and your location)

    After an initial review of this information, selected students will be invited to take part in telephone interviews. After further consideration and a possible second interview, the successful candidates will be contacted by email or telephone with a decision.

    Program Dates & Cost

    Pre-departure Meeting Dates

    There is a mandatory, program-specific pre-departure meeting for all Boston University students. The exact time and location of this meeting will be communicated to you by your program manager. Local non-Boston University students are encouraged to attend.

    Program Dates

    The Sydney Engineering Program runs from January 14 (depart US on January 12) to June 29, 2015.

      Program Cost

      • Spring 2015 Tuition & Fees: Download the 2014 to 2015 Academic Year Budget Sheet. Financial aid is available. BU Study Abroad arranges a trans-Atlantic group flight that is not included in the program fee. We recommend that students take this flight. The program fee will be charged to your Boston University student account, which must be settled by the deadline established by Boston University’s Office of Student Accounting Services.
